Zoho Flow does not document a built-in action that takes a screenshot of a Freshsales lead’s website. You can build the workflow by using a Freshsales lead trigger, passing a valid website URL to an external screenshot API through a Zoho Flow custom function or outgoing webhook, and deciding where the returned image or image URL will be stored. The connector and API mechanisms are documented; this end-to-end setup is an implementation pattern that needs testing.
What the workflow can—and cannot—do natively
Zoho Flow’s Freshsales integration lists a new-lead trigger and CRM actions such as creating, updating, or fetching records and adding a note. It does not list screenshot capture as a built-in action. See Zoho Flow’s Freshsales integration.

The documented route is to connect the lead trigger to a generic external API call. Zoho Flow custom functions run Deluge code and can use invokeURL; outgoing webhooks can send HTTP requests to external services. Neither mechanism, by itself, establishes that a particular screenshot provider or image-storage destination will work in your flow.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesBefore building the flow
- Choose the lead trigger. Confirm whether you want every new lead or only leads that meet a condition.
- Find the website field. Check the actual Freshsales field available in your Flow mapping. Do not assume every lead has a public, well-formed website URL.
- Choose an API and destination. Verify the screenshot provider’s endpoint, authentication, request parameters, response format, and response time. Separately decide where the image or its URL will live. The reviewed Freshsales integration documentation does not establish a native image-attachment action for this use case; a storage service or another application may be needed.
- Check access and limits. Zoho’s documentation says custom functions are available on Standard and Professional plans, not Free, and have a 30-second maximum runtime. Verify current plan entitlements and limits in your account before publishing the flow. Zoho Flow custom functions documentation.
Build the integration in Zoho Flow
- Create the trigger: In Zoho Flow, create a flow with the Freshsales trigger for a new lead. Authenticate the Freshsales connection and select the relevant event.
- Inspect the trigger data: Use a sample lead to identify the field containing the website URL. Decide what the flow should do when the field is empty or malformed; typically, stop the screenshot branch rather than send an invalid request.
- Choose the API-call step: Add a custom function if you need Deluge logic to construct the request or interpret the response. Add an outgoing webhook if the provider’s request can be sent directly and the flow can handle its response appropriately. Zoho describes a custom function as “a reusable block of Deluge code that runs as a step in a Zoho Flow workflow.” Read the custom-function guidance and outgoing-webhook guidance.
- Configure the provider request: Use the provider’s documented method, endpoint, authentication, URL parameter, and image format. Do not copy credentials into public fields or logs. The reviewed sources do not identify a screenshot API or verify any provider-specific request contract.
- Handle the result: Determine whether the response contains image bytes, a file, or a URL. Route it to a storage service or application that accepts that result. If you only save a link or note to Freshsales, verify that the link is accessible to the intended users and that the selected Freshsales action accepts the value you supply.
- Test before enabling: Test with representative leads, including missing URLs, redirects, inaccessible sites, slow responses, and repeated trigger events. Check for duplicate captures and define image-retention behavior.
Custom function or outgoing webhook?
| Consideration | Deluge custom function | Outgoing webhook |
|---|---|---|
| Best suited to | Requests that need Deluge logic, such as preparing values or interpreting a response. | Sending an HTTP request to an external service when a built-in app action is unavailable. |
| External API support | Zoho documents invokeURL for calling external APIs. |
Zoho documents HTTP requests to external applications or services. |
| Execution constraint | Zoho documents a maximum runtime of 30 seconds; confirm current account entitlements. | Check the current webhook documentation and your flow’s behavior for the selected request and response. |
| What remains provider-specific | Authentication, parameters, response parsing, and image storage. | Authentication, parameters, response handling, and image storage. |
The documentation establishes both as generic integration routes, but not which is preferable for a particular screenshot provider. Choose based on the provider’s authentication and response requirements, the transformations you need, and how the image will be stored.

India-specific considerations
The available product documentation does not establish India-specific hosting, data residency, or processing behavior for this workflow. If lead data or captured pages are subject to your organization’s location, privacy, or retention requirements, confirm the terms and data handling of Freshsales, Zoho Flow, the screenshot provider, and any storage service directly before sending URLs or lead information through the flow.
Or skip the browser setup
Instead of configuring and maintaining a browser capture service, you can call ScreenshotNeo, a website screenshot API and MCP server. Before capture it accepts cookie or consent banners like a visitor and removes 60+ known consent platforms, newsletter popups, and chat widgets; each of those steps can be turned off. Bot checks, blank pages, timeouts, failed loads, and cache hits are not billed, and responses identify the page verdict and billing status. Its MCP server provides take_screenshot, get_page_info, and capture_pdf tools for AI agents. The API can return PNG, JPEG, WebP, or PDF; review the API documentation for the request contract before wiring it into Zoho Flow.
curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://stripe.com -o shot.webp
For a Freshsales workflow, replace the example URL with the mapped lead website URL and use the access key securely. Confirm that the resulting response and your chosen storage destination fit your flow; this example does not configure a Freshsales attachment or storage step. ScreenshotNeo offers 1,000 screenshots per month free with no card; paid plans start at $5 for 3,000. Sign up for ScreenshotNeo.

Troubleshooting and validation
- No website URL reaches the API: Recheck the Freshsales trigger sample and field mapping. Leads may not contain a website value, so add a condition or branch for empty values.
- The screenshot request fails: Check the provider’s required authentication, URL encoding, parameters, and allowed response time. The reviewed Zoho sources do not specify a screenshot provider’s contract.
- The function times out: A custom function has a documented maximum runtime of 30 seconds. Check the current limit and provider response time; consider an asynchronous provider workflow if available and supported by your chosen design.
- The image is not visible on the lead: Confirm what the provider returns and whether your selected Freshsales action accepts that result. A note containing a URL is not the same as an attached image; a separate storage or application step may be necessary.
- Leads produce duplicate screenshots: Test repeated trigger events and decide how the flow should identify an already-processed lead. Idempotency behavior is not established by the reviewed integration documentation.
- The flow cannot add a custom function: Verify your Zoho Flow plan. Zoho’s cited documentation lists custom functions for Standard and Professional, not Free; confirm current availability in the account.
Frequently Asked Questions
Can Zoho Flow take a screenshot of a Freshsales lead’s website by itself?
The reviewed Freshsales connector page does not list a native screenshot action. The documented approach is to call an external screenshot API using a custom function or outgoing webhook.
Does this workflow require a specific screenshot provider?
No provider is identified by the reviewed Zoho and Freshsales documentation. Select one only after checking its current API contract, authentication, response format, and timing.
