A full-page capture helps when a single step is long; it cannot show later states that appear only after you submit or advance.
Plan which form states to document
Start by listing the states a reader needs to understand and the image that will prove each one. Depending on the form and procedure, that might mean the opening screen, a validation message, a conditional field, a later step, a review screen, or the completion state. These are possibilities, not stages every form contains.

Give every screenshot a purpose. If an action or expected result is not obvious from the image, add a short caption beside it in the documentation rather than crowding the screenshot with explanation.

Prepare a safe, readable browser view
- Use a test account and dummy values where available. Avoid capturing real names, addresses, account numbers, health or payment details, and authentication codes.
- Close unrelated tabs and keep the relevant form fields and page heading in view.
- Decide whether the state needs a visible-area or region capture, or whether it is long enough to justify a full-page image.
- Check your workplace’s capture rules if the browser or device is managed. Do not try to bypass a restriction.
Capture each step in order
- Open the form at its initial state and set up the safe example.
- Capture the visible form state before taking an action that changes it.
- Advance or submit using the test values. If your procedure needs to document an error or conditional branch, create that state with safe values and capture it separately.
- Review the new state, then capture it before advancing again.
- Continue until you have recorded each state needed to explain the procedure.
- Open the saved images and check legibility, context, sequence, and sensitive information before sharing them.
For a long static step, a full-page capture can preserve content below the fold. It does not replace separate captures of subsequent form steps.

Choose a capture method
Firefox: visible area or full page
Mozilla Support documents capturing either visible parts of a page or the full page, then copying or saving the image. Right-click an empty part of the page and choose Take Screenshot, or use Ctrl+Shift+S on Windows or Linux, or Command+Shift+S on macOS. Choose Save visible for the current view or Save full page for the entire page. You can download the result or copy it to the clipboard. Mozilla Support: Firefox screenshots
Windows: Snipping Tool
Press Windows key + Shift + S to open the capture overlay. Snipping Tool offers rectangular, freeform, window, and full-screen captures. After taking a shot, you can annotate, crop, and save it; Text actions can extract recognized text. Microsoft’s documentation says text recognition runs locally on the device and Quick redact can redact recognized email addresses or phone numbers. That is a limited aid, not a guarantee that every sensitive detail has been found or removed. The cited documentation describes individual capture modes, not a stitched full-page browser capture. Chrome: optional full-page extension
The Chrome Web Store listing for GoFullPage describes an extension that scrolls through the current page and assembles the parts, with PNG, JPEG, and PDF export. Its listing says the crop and annotation editor is premium. This can be useful for a long page state; you still need separate captures for states reached by progressing through the form. Managed Edge: respect administrator policy
Microsoft’s Edge policy documentation says the Disable taking screenshots policy blocks screenshot keyboard shortcuts and extension APIs when enabled. It notes that Web Capture or methods outside the browser may remain possible. Name, caption, and preserve the images
Use a consistent sequence such as 01-start.png, 02-details.png, and 03-review.png. Match the filenames to the order of the written procedure. Place each image beside the relevant instruction and add a brief action/result caption when the screenshot alone does not explain what happened. If you crop or annotate copies, retain the unaltered originals separately for reference.

Troubleshoot common capture problems
- The screenshot shows only the first step. That is expected when later steps appear after an action. Advance the form and capture each distinct state separately.
- The image is too tall or hard to read. Use a visible-area or region capture for a single step, reserving full-page capture for a long state whose complete content matters.
- A validation message or conditional field is missing. Recreate the state with safe test values, wait until the change is visible, and capture before proceeding.
- Private information is visible. Do not rely on cropping or OCR redaction alone. Prefer dummy data, inspect the saved image at full size, and remove or replace exposed sensitive information before distribution.
- Screenshot shortcuts or extensions are blocked. Ask the administrator which documentation method is approved. Edge policy may block shortcut and extension-API captures; a remaining technical method is not permission to bypass policy.
- The screenshot sequence is confusing. Compare filenames and captions against the written instructions, then reorder or recapture states that are missing or ambiguous.
Keep the workflow reliable and proportionate
Capture only states that help explain the process: extra images add review and privacy work without necessarily clarifying the instructions. Check each image as you create it so a missed state or unreadable label can be corrected before the session ends. Use test data and distribute only the images needed by the audience.
