For a readable record of a long SharePoint page, open it in Microsoft Edge, use Ctrl+P on Windows or Command+P on macOS, and save the print output as a PDF if that destination is available. Inspect the preview and saved file: a PDF can span multiple pages, but it is not guaranteed to reproduce every live page element. Use Windows Snipping Tool only for supplemental evidence of what is visible on screen—not as a full-page capture.
Capture a long SharePoint page as a PDF
- Open the page using an account authorized to view it. Navigate to the exact page and allow its visible content to load. Modern SharePoint pages are stored in the site’s Pages library and may combine page text with web parts. Microsoft’s overview of modern SharePoint pages describes their structure.
- Record the page title and URL for the review handoff. Leave enough header or navigation context in view to identify the page. Check whether focus mode is active: it can hide the header and navigation. Microsoft’s focus-mode guidance explains the view.
- In Edge, open Print with Ctrl+P (Windows) or Command+P (macOS). In the preview, select all pages and check that the content continues through the final page. Adjust scaling and margins until text is legible. Add headers and footers if a printed date or page numbers are useful. If meaningful colors or styling disappear, enable background graphics. Microsoft advises: “If the print preview or output looks different from the web page you’re printing, you should include the background graphics.” See Print in Microsoft Edge.
- Choose the PDF destination available on your browser or managed device, then save the file to the organization’s approved evidence location.
- Reopen the saved PDF. Check the first and last pages, text legibility, and important images or web parts. Keep the source page URL and capture time with the file, following your organization’s rules for account identity, storage, access, and retention.
Edge exposes print controls, but Microsoft does not guarantee that every SharePoint page or web part will print exactly as it appears live. Treat preview and saved-file checks as essential, especially when the page relies on embedded or dynamic content.

When a screen capture is useful—and when it is not
Windows Snipping Tool can add an image of a specific visible state, such as an expanded panel or the page header. Its full-screen option captures the screen, not the page content below the viewport. Microsoft’s documentation does not establish a built-in scrolling-page capture mode, so an ordinary full-screen snip is not a full-page screenshot. The browser snip workflow can save a capture as HTML that shows the URL below the snip; see Microsoft’s Snipping Tool instructions.

What a screenshot or PDF proves—and what it does not
A capture records what was visible at that time. By itself, it does not establish who could access the SharePoint page, whether every embedded item had the same permissions, or what an audit log recorded. Modern pages may include documents, videos, or lists stored elsewhere in SharePoint or OneDrive; Microsoft advises checking permissions for such embedded content when sharing a page. There is also an important audit distinction: Microsoft’s SharePoint usage guidance says that views produced when a third-party tool renders PDFs from a SharePoint Online library are not recorded in file-view statistics in the audit log. Saving or rendering a PDF should not be presented as proof of a logged view event. See SharePoint usage reports.

Troubleshooting the evidence
- The preview is missing color or visual styling: Turn on background graphics in Edge’s print settings, then inspect the refreshed preview.
- Text is too small or cut off: Adjust scale and margins, and prioritize legibility over fitting more content onto each sheet. Reopen the saved PDF to verify the result.
- The PDF ends before expected content: Confirm that all pages are selected and that the final page contains the expected content. A print preview is not a guarantee that every web part rendered; capture additional visible states where necessary and document the limitation.
- The screenshot lacks identifying context: Check whether focus mode hid the header or navigation. Include the page title and preserve the URL and capture time separately.
- The review requires proof of access or an audit event: A visual capture cannot establish either. Verify permissions and consult the appropriate audit records through your organization’s process.
