Before you capture the email
A useful screenshot gives the recipient enough context to understand the message without exposing unrelated data. Open the message in your mail app or webmail and adjust the window first.
- Resize the window so the subject, sender, date and required body text are legible.
- Scroll to the exact section you need. If the message is longer than one screen, plan several captures or use the email’s print/export option for a complete record.
- Close or hide unrelated messages, browser tabs and desktop notifications.
- Decide whether the recipient needs the full email window, a selected paragraph, or only a specific attachment or error.
Do not assume that a screenshot is harmless. It can contain email addresses, phone numbers, signatures, order numbers, account identifiers, attachments and links.
How to screenshot an email in Windows
Best option: Snipping Tool
- Open the email and position the message so the required content is visible.
- Press Windows logo key + Shift + S. Microsoft describes this as opening the Snipping Tool overlay.
- Choose a capture mode: Rectangle for a precise region, Window for the mail window, Full screen for every display, or Freeform for an irregular shape.
- Drag around the message area, or select the email window when using Window mode. The result is copied to the clipboard and opens in the Snipping Tool editor.
- Use the editor to crop or annotate. Select Copy to place the edited image on the clipboard, Save to create a file, or Share to send it through an available app.
Snipping Tool supports keyboard commands such as Ctrl+C and Ctrl+S, and it can delay a capture by one to five seconds. A delay helps when a menu or hover state must be visible.

Fast keyboard alternatives
- Print Screen: captures the full screen to the clipboard. Open your email or document and press Ctrl+V to paste it.
- Alt + Print Screen: captures only the active window. Click the email window first, press the shortcut, then paste with Ctrl+V.
Windows can save screenshots in the Screenshots folder, while Snipping Tool’s Save as command lets you choose another location and file name. If you cannot find a capture, check the folder shown by Snipping Tool or search for recently modified PNG files.
Redact information on Windows
Snipping Tool’s Text actions can recognize email addresses and phone numbers and provide quick redaction. Microsoft says this recognition and redaction processing happens locally on the device. Still inspect the final image yourself: recognition is not a guarantee that every private value was found. For highly sensitive data, cover the text with an opaque shape or edit a copy rather than the original evidence.
How to screenshot an email on a Mac
Capture a selected part of the message
- Open the email and make the needed text readable.
- Press Shift + Command + 4. The pointer changes to a crosshair.
- Drag over the message area and release. macOS saves the image as a PNG by default.
Capture the email window
- Press Shift + Command + 4.
- Press Space so the pointer becomes a camera.
- Click the email window. macOS captures that window rather than the rest of the desktop.
Use the Screenshot panel
Press Shift + Command + 5 to open Screenshot. Choose the entire screen, a window or a portion of the screen. The panel also provides a timer and lets you choose the save location. This is the easiest method when you need consistent settings or a delayed capture.
Copy instead of saving a file
Hold Control while using a screenshot shortcut when you want the result on the clipboard. You can then paste it directly into an email, chat or document. Apple also provides a clipboard option from the floating screenshot thumbnail. The thumbnail can be dragged directly into an email or document before it disappears.
macOS normally saves screenshots to the desktop as PNG files. If the desktop becomes cluttered, change the destination in the Screenshot panel or move the file after checking it.

Choose the right capture scope

For support tickets, a window capture with the subject, sender and date is usually more useful than a tightly cropped sentence. For privacy-sensitive sharing, capture the smallest region that still proves the issue.
Review, edit and attach the screenshot
- Open the saved image or paste it into an editor.
- Zoom in and check that text is readable at the size the recipient will see.
- Remove email addresses, phone numbers, signatures, account numbers, order IDs, attachments and links that are not needed.
- Use an opaque redaction, not a translucent highlight. Test the exported file by reopening it; hidden text under a semi-transparent mark may still be recoverable.
- Save a copy in PNG when sharp text matters. JPEG can be smaller but may blur small type after compression.
- Attach the image using your mail client’s attachment button, or paste it inline with Ctrl+V on Windows or the clipboard shortcut on Mac.
- Add a sentence explaining what the recipient should inspect and include the original message separately when legal, billing or security context matters.
Long emails, scrolling content and attachments
The built-in shortcuts capture what is currently visible; they do not automatically create one tall image of an entire scrolling email. For a long message, take consecutive captures with a little overlap and label them “1 of 3,” “2 of 3” and so on. Overlap helps the reader follow the sequence.
If the email contains an attachment, capture the attachment name and the relevant message text separately. Do not open an attachment merely to make a screenshot if your security policy prohibits it. For a formal record, use the mail service’s print or export-to-PDF feature and attach the PDF alongside a focused screenshot.
Common problems and fixes
The shortcut does nothing on Windows
Click the desktop or message window and try Windows + Shift + S again. If a keyboard utility has reassigned the keys, open Snipping Tool from the Start menu and use its New command. For a quick test, press Print Screen and paste into Paint or an email.
The capture shows the wrong window
Window capture uses the active, selectable window. Bring the email to the front, wait for it to finish rendering, and then select Window mode. If a pop-up or notification appears, dismiss it and repeat.

The screenshot is blank or missing images
Wait until remote images finish loading before capturing. Some mail clients block remote content; enable it only if your organization’s policy allows and you trust the sender. A blank image can also result from capturing a minimized or covered window, so restore the email and try again.
The Mac file cannot be found
Check the desktop and the save location shown in Shift + Command + 5. If you used a Control-modified shortcut, the image may be on the clipboard rather than saved as a file; paste it into Preview, Mail or another editor and save it.
Text is too small to read
Increase the mail app’s zoom or enlarge the window before capturing. A tighter crop is usually clearer than a full-screen image. Do not enlarge a tiny screenshot repeatedly; recapture at a larger display scale instead.
Private data remains after redaction
Reopen the exported image and test it at 100% zoom. If text can still be selected, copied or seen through a translucent overlay, redo the redaction with an opaque fill and export a flattened image.

Can I screenshot only part of an email?
Yes. Use Rectangle mode in Windows or Shift-Command-4 on Mac, then drag around the required text or image.
How do I paste an email screenshot without saving it?

What format should I send?
