Start with your actual cost to deliver each service, then build a clearly bounded recurring offer around the users, devices, sites, and response commitments you can support consistently. There is no universal per-user price or guaranteed margin: profitability changes with labor capacity, software, security tools, overhead, client complexity, geography, and the amount of support a contract consumes.
A profitable practice usually replaces unpredictable break/fix revenue with subscriptions for ongoing management. That only works when the agreement states exactly what is monitored, maintained, secured, backed up, supported, and excluded—and when one-time onboarding and project work are priced separately.

What a profitable MSP practice actually sells
An MSP sells an operating commitment, not simply access to a technician. The recurring fee pays for proactive work performed continuously across a defined environment. Depending on your capability, an offer may include network monitoring, endpoint monitoring, patch management, security operations, backup, disaster recovery, compliance assistance, cloud administration, security-awareness training, and support during specified hours.
Each item creates cost and risk. Monitoring produces alerts that someone must triage. Patching requires testing, scheduling, and remediation. Backups need verification and recovery procedures. Security services generate investigations and escalations. Cloud and productivity platforms change frequently. A package is profitable only when those obligations fit the capacity and skills you have sold.

Move from break/fix to a subscription deliberately
Break/fix work charges for incidents after they occur. A managed model charges for prevention, maintenance, and an agreed support relationship. The change is a business-model choice, not a promise that every client will be cheaper or easier to serve. Keep project work, hardware, licenses, migrations, and remediation outside the recurring fee unless you have included their cost explicitly.
Start with a service catalog you can deliver repeatedly
Begin with a small set of offers your team can perform to a consistent standard. For every service, document:
- Covered users, endpoints, servers, sites, cloud tenants, or other units.
- Included tasks and their frequency, such as monitoring, patch windows, backup checks, or reporting.
- Service hours, channels, response targets, and escalation responsibilities.
- Required client controls, such as supported operating systems, administrative access, or approved maintenance windows.
- Explicit exclusions, including unsupported equipment, major remediation, new deployments, and third-party outages.
- Work that is quoted separately, including onboarding, projects, after-hours response, and out-of-scope changes.
Put these definitions in the contract and the statement of work. A sales description that says complete IT support is not a usable scope boundary.

Choose a customer segment before you set a price
Your target client determines the unit economics of the offer. A 20-person office with standardized laptops and cloud applications creates a different workload from a 20-person manufacturer with production systems, legacy servers, multiple sites, and regulatory obligations. The second environment may need more discovery, specialist skills, security controls, and response coordination.
Define the environment you will accept
Set written fit criteria for operating systems, network equipment, cloud platforms, backup requirements, industry constraints, geographic coverage, and minimum documentation. Decide whether you will accept inherited technical debt. If you do, price a paid assessment and remediation plan rather than silently absorbing it into the monthly fee.
Use discovery to estimate support load
Before quoting, inventory users, endpoints, servers, sites, line-of-business applications, cloud tenants, security controls, backup jobs, vendors, and known incidents. Ask how often changes occur, who approves maintenance, what outages cost the client, and which responsibilities remain with internal IT. The goal is not just to count devices; it is to estimate the labor and coordination the environment will consume.
Calculate your complete cost to deliver
What costs should you include when pricing managed services? Include every recurring and variable cost required to meet the promised scope. Atera’s pricing guidance identifies technician labor, the software stack—including remote monitoring and management, professional services automation, and security tools—and fixed overhead as core inputs. In practice, add pass-through services, training, quality assurance, management time, and the cost of non-billable coordination when they are necessary for delivery.
1. Technician labor at realistic capacity
Use loaded employment cost, not salary alone. Loaded cost can include wages, payroll taxes, benefits, leave, recruiting, training, and equipment. Then convert paid hours into realistic productive capacity. Meetings, documentation, sales support, internal escalation, sick leave, and administration reduce the hours available for client work.

A simple calculation is:
loaded hourly cost = annual loaded employment cost ÷ realistic productive hours
For a service unit, estimate:
direct labor cost per unit = expected support and maintenance hours per unit × loaded hourly cost
Use historical tickets and maintenance records where available. For a new offer, state assumptions and revisit them after the first contracts produce actual workload data. Do not price from an ideal utilization rate that your team has never achieved.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problems2. Software, security, and third-party services
List the recurring cost of your remote monitoring and management platform, PSA, endpoint and email security, backup, documentation, password management, cloud administration, reporting, and other tools required by the package. Record whether each charge scales by user, endpoint, tenant, site, technician, or a flat subscription. Include implementation, minimum commitments, overages, and support-plan costs when they apply.
A per-user contract can be attractive when your RMM or management platform is priced by technician rather than endpoint, but that relationship is vendor-specific guidance, not a universal profit rule. Model your actual license terms and the way your client mix changes them.
3. Allocated overhead
Allocate a fair share of rent, connectivity, insurance, accounting, legal work, management, sales, recruiting, training, compliance, and internal systems to the managed-services practice. An offer that covers technician wages but not management and operating overhead is not profitable; it is subsidized by the rest of the business.
4. Onboarding, remediation, and project labor
Discovery, documentation, agent deployment, policy configuration, backup testing, network cleanup, and security remediation are often front-loaded. Estimate those hours separately and charge a one-time onboarding or project fee. If you waive them, record the subsidy and test whether the recurring term recovers it. Do not hide a major migration inside a monthly price intended for steady-state support.
Build a unit economics worksheet
Choose the unit that best reflects the service: user, endpoint, client, site, server, tenant, or a hybrid. For each prospective client, calculate:

- [Dont Hesite to Order] 24 hours customer services and professional technology team are standing by

- Software and security cost at the actual billing unit.
- Allocated overhead and third-party pass-through cost.
- One-time onboarding and project cost, shown separately from steady-state delivery.
- Contribution remaining after direct delivery cost, with the assumptions and uncertainty visible.
Then stress-test the worksheet. Recalculate the result if ticket volume rises, a key employee is unavailable, a vendor raises a license fee, the client adds a site, or after-hours work becomes frequent. A price that works only under perfect conditions is not defensible.
Compare the main MSP pricing models
No pricing model is universally best. Compare each one by client fit, bill clarity, workload variability, software-cost behavior, scope control, and your ability to deliver consistently.
| Model | Billing basis | Where it can fit | Risks to model |
|---|---|---|---|
| Per user | A fee for each supported person | Organizations where people use a consistent set of services across several devices | Shared accounts, contractors, service accounts, and users with unusually demanding applications can distort the workload |
| Per device | A fee for each managed endpoint or other device class | Environments where endpoints are the main cost and work unit | Device sprawl, servers, network equipment, and users with multiple devices can make the bill or workload uneven |
| Tiered packages | Predefined service levels with different inclusions | Clients that need a clear choice of scope and response commitments | Poorly separated tiers create upgrade disputes or force premium work into a lower package |
| Co-managed | A fee for the responsibilities assigned to the provider | Organizations with internal IT that want outside capacity, specialist work, or defined strategic functions | Unclear ownership can create duplicate effort, missed tasks, and escalation friction |
Per-user pricing
Per-user pricing is easy for a client to understand when the supported experience is consistent. State whether a user may have multiple computers, mobile devices, or locations without extra charges, and define treatment of shared, temporary, and privileged accounts. Compare the fee with the labor and software behavior of the actual environment rather than assuming every user generates equal work.

Per-device pricing
Per-device pricing aligns with endpoint monitoring and maintenance when the device inventory is stable. Create separate rates or classes for workstations, laptops, servers, network devices, and specialized equipment if their support effort differs. Define how newly discovered devices are added and how retired devices are removed.
Tiered packages
Tiering lets a client select scope. An illustrative structure might be a core management tier, a security-enhanced tier, and a complete tier that adds strategic or compliance work. The names do not matter; the inclusions do. Each tier should state support hours, response targets, maintenance, reporting, security responsibilities, backup coverage, and exclusions in measurable terms.
Co-managed services
Co-managed agreements work when the responsibility matrix is explicit. Specify who owns endpoint policy, identity administration, patch approvals, incident response, vendor management, documentation, and after-hours decisions. Include a process for resolving conflicting instructions and for changing the division of labor as the client’s team changes.
Turn the catalog into contracts with boundaries
Huntress advises clear service boundaries, contracts or subscriptions, statements of work, and regular pricing review as environments and services change. Translate that guidance into operational clauses rather than vague promises.

- Maintenance frequency, patch policy, backup retention, and monitoring coverage.
- Support channels, service hours, response targets, and escalation path.
- Client duties, approvals, access, and maintenance windows.
- Reporting cadence and the information the client receives.
Define what is not included
- New implementations, migrations, office moves, major upgrades, and remediation beyond the baseline.
- Unsupported or end-of-life systems unless a separate exception is documented.
- Third-party application defects, carrier outages, and client-caused incidents where your agreement assigns responsibility elsewhere.
- After-hours work, emergency response, travel, hardware, cloud consumption, and licenses that are billed separately.
Set review and change triggers
Include a scheduled review and immediate review triggers such as a material increase in users or devices, a new site, a regulatory requirement, a security incident, a major platform change, or repeated use of an excluded service. A review is not an automatic price increase; it is the point at which both sides compare the current scope with the contracted scope and agree on documented changes.

Price onboarding and projects separately
Recurring support assumes a known, supportable baseline. Onboarding creates that baseline. Build an onboarding plan with discovery, asset validation, credential collection, documentation, agent deployment, policy configuration, backup and restore testing, security remediation, and client handover. Assign an owner and acceptance criteria for each step.
- Assess: inventory the environment, risks, contracts, dependencies, and unresolved incidents.
- Stabilize: fix critical access, backup, patching, and security issues that would make steady-state support unsafe.
- Deploy: install and configure the agreed monitoring, management, security, backup, and documentation controls.
- Validate: test alerts, backup recovery, escalation contacts, maintenance windows, and reporting.
- Accept: record the baseline, open exceptions, client responsibilities, and the date recurring service begins.
Quote projects using the same labor and overhead assumptions as recurring work. If a project changes the managed baseline, update the statement of work and recurring unit count before closing it.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Build a tool stack you can operate
A service stack can include in-house tools, vendor platforms, or a combined approach. Compare options by integration effort, control, delivery capacity, and consistency of quality—not by feature count alone.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →In-house tools
Internal scripts and processes can provide control and fit, but they require maintenance, documentation, testing, and coverage when the author is unavailable. Assign ownership and a retirement process for every internal tool that affects client service.
Vendor platforms
External platforms can shorten deployment and provide supported workflows, but their licensing units, integrations, data handling, and service limits become part of your cost model. Verify what happens when a client exceeds a threshold or cancels a component.
Combined stacks
Combining tools may improve capability but also introduces duplicate alerts, inconsistent records, synchronization failures, and technician training. MSP Global respondents identified multiple-tool integration and consistent service quality as scaling challenges. Add coordination and quality-control time to the unit economics before expanding the stack.
Protect capacity and service quality
Profit disappears when an uncapped contract consumes more hours than the fee supports. Track the operating signals that reveal this early:
- Hours by client and by service category, including escalations and internal coordination.
- Ticket volume, reopen rate, aging, and after-hours incidents.
- Patch, backup, alert, and security exceptions that remain unresolved.
- Time spent on documentation, reporting, onboarding, and vendor coordination.
- Software license counts, unused seats, overages, and failed integrations.
Use these measures to adjust staffing, automation, scope, or price. Automation can reduce repetitive effort, but it does not eliminate review, exception handling, or accountability. Every automated action needs an owner, a test path, and a rollback procedure.
Best Value
Expand services only when the economics work
Security operations, security-awareness training, network security, cloud administration, backup and disaster recovery, and compliance can extend recurring revenue. Expansion should follow demonstrated capability and customer need, not a target number of products.
Barracuda Networks’ 2024 survey of 700 MSP respondents from organizations with 5–350 employees across 11 countries reported that 97% expected to expand their portfolio by around six services on average in 2024, with a strong security focus. That is a dated survey expectation, not proof that six additions are appropriate for your practice or that local demand will support them.
The same report said respondents expected managed services to represent 44% of total revenue in 2024, compared with 34% in 2023. Those are respondents’ expectations, not audited outcomes for every MSP. Use the figures as evidence of an industry theme, not as a forecast for your business.

MSP Global’s Summer 2025 report found 58% of 64 respondents selecting recurring-revenue streams as a strategic priority for the next 12–24 months, and the same percentage selecting automation and AI. The small survey base and strategy-question wording matter. Validate demand, skills, delivery cost, and legal obligations in your own market before adding an offer.
A practical pricing workflow
- Choose a target segment: define the size, technology profile, geography, risk tolerance, and internal-IT relationship you can support.
- Document the baseline: inventory users, endpoints, sites, applications, cloud tenants, security controls, backups, vendors, and known exceptions.
- Select the billing unit: use user, device, site, client, or a hybrid basis that matches workload and is easy to audit.
- Estimate delivery effort: assign expected hours for proactive work, support, reporting, escalation, onboarding, and coordination.
- Add every cost: include loaded labor, software and security stack, third-party services, overhead, training, and quality control.
- Separate one-time work: quote onboarding, remediation, migrations, and projects outside steady-state recurring service.
- Design tiers or responsibilities: make each package or co-managed allocation measurable and mutually exclusive where possible.
- Stress-test the quote: model higher ticket volume, a new site, staff absence, license changes, after-hours work, and an incident.
- Write the agreement: include inclusions, exclusions, hours, response targets, client duties, review triggers, and change control.
- Review actuals: compare delivered hours, incidents, licenses, and exceptions with assumptions on a regular schedule, then correct scope, capacity, or price.
Common profitability failures and fixes
Vague, unlimited support
Symptom: clients interpret the fee as unlimited work across every system and hour. Fix: define supported units, service hours, response targets, exclusions, and separately priced emergency or project work.
Pricing from a competitor’s headline rate
Symptom: the fee looks marketable but does not cover your labor, tools, and overhead. Fix: calculate your own cost-to-deliver first, then use market feedback to test positioning rather than to replace the calculation.
Ignoring utilization
Symptom: a technician appears inexpensive on paper but has little productive capacity after meetings, leave, documentation, and internal work. Fix: use realistic productive hours and measure actual delivery time.
Bundling projects into recurring service
Symptom: migrations and remediation consume the team’s capacity while monthly revenue remains unchanged. Fix: scope, schedule, and bill them as projects, then update the managed baseline.
Adding tools or services faster than the team can integrate them
Symptom: duplicate alerts, inconsistent records, training gaps, and declining quality. Fix: price integration and quality-control work, assign ownership, pilot the change, and retire tools that do not improve delivery.
Failing to reprice changed environments
Symptom: users, devices, sites, risk, or response expectations increase without a contract change. Fix: monitor the review triggers and amend the statement of work when the service obligation changes.
Decision checklist before signing an MSP contract
- Can you state the supported users, devices, sites, and technologies in one page?
- Have you estimated proactive, reactive, escalation, reporting, and coordination hours?
- Are loaded labor, software, security, third-party services, overhead, and quality-control costs included?
- Are onboarding, remediation, projects, hardware, licenses, and after-hours work separated from recurring service?
- Does the chosen pricing unit match both client understanding and your cost behavior?
- Can your team deliver the promised response and maintenance consistently with current capacity?
- Are client responsibilities, exclusions, review triggers, and change control written into the agreement?
- Do you have a schedule for comparing actual workload and cost with the assumptions used in the quote?
Bottom line
A profitable MSP services practice is built by matching a narrowly defined recurring promise to measured delivery capacity. Price the labor, stack, overhead, onboarding, and risk you actually carry; choose a billing model that fits the client’s environment; separate projects from subscriptions; and review the contract when the environment changes. Industry surveys show strong interest in recurring revenue, security, and automation, but your own workload and cost data—not a headline benchmark—must determine whether an offer is profitable.
