Choose a format and set up one row per subscription
A spreadsheet is a practical starting point: it keeps the list easy to edit and can use dropdowns, formulas, and conditional formatting. Google Sheets documents these features in its guides to dropdown lists, formulas and functions, and conditional formatting. The fields below are a useful working template, not a required standard.

| Price | Amount and currency charged. |
| Billing cadence | Monthly, annual, weekly, or another interval. |
| Next charge | The next renewal or payment date; include a trial end date when relevant. |
| Status | Active, trial, paused, canceled, or review. |
| Billing route | Provider, Apple, Google, or a brief card or bank identifier. Do not store credentials or full payment details. |
| Manage or cancel | The account page, cancellation route, or concise instructions for finding it. |
| Verification | Last checked date and a note about commitment or cancellation terms. |
Use dropdowns for category, cadence, and status to keep entries consistent. Add a formula for expected monthly and annual costs, and use conditional formatting to highlight approaching renewals or trial endings. For cost comparisons, divide an annual fee by 12 to estimate its monthly equivalent, but keep the actual cadence and next charge date in separate fields. The equivalent is a comparison aid, not a statement of savings. Spreadsheet locale and time-zone settings can affect how dates and currencies display.

Start with the account dashboards for platforms you use, then reconcile what you find against service receipts and payment statements. Platform dashboards cover subscriptions routed through those platforms, not necessarily everything you pay for.

- Apple: Apple Account settings show subscriptions purchased through Apple’s in-app purchase system. Apple’s developer documentation links to the Manage Subscriptions page.
- Google: In Google Payments Center, open Subscriptions & services for recurring charges associated with that payments profile. Google notes that selecting a cancellation control may send you to the product where you subscribed; some cancellations must be completed with the provider. See Google’s guidance on managing subscriptions.
- Direct or other billing: Check provider account pages, email receipts, and payment statements for services that do not appear in those platform accounts.
For each entry, confirm the current amount, billing cadence, next charge date, and route. Record the account-management or cancellation path while it is in front of you, along with the date you checked it. A last-verified date makes it easier to spot rows that may have gone stale.
Calculate recurring costs without hiding when charges occur
Keep price, currency, and billing cadence as separate values. A monthly total can be useful for budgeting, but it should not obscure the larger annual or other periodic charge that will actually leave the account.

- For a monthly charge, use the listed amount as its monthly equivalent.
- For an annual charge, divide the amount by 12 for an estimated monthly equivalent, while retaining the full annual amount and renewal date.
- For weekly or other intervals, record the actual interval and use a clearly labeled estimate if you convert it for comparison.
Label the spreadsheet totals as estimates where the cadence is not monthly. Taxes, changing prices, currency conversion, and plan changes can make the amount charged differ from a simple projection.

A date formula or color cue can make a coming renewal visible, but a spreadsheet should not be assumed to email a personal reminder reliably. Google’s conditional notifications are limited to certain work or school accounts and do not support non-Google recipients. Google also warns that volatile functions such as TODAY() can cause notifications to miss changes while a sheet is closed. See Google’s conditional notifications guidance.

For an important trial end or renewal, add a reminder to a calendar or another reminder system you have verified. A monthly calendar review is a practical way to reconcile active rows against recent charges and receipts; update amounts, dates, and terms whenever a plan or price changes.
Check cancellation terms before acting
The cancellation route depends on how the subscription was purchased: a platform may manage subscriptions it billed, while another purchase may need to be canceled directly with the provider. Follow the route recorded in the tracker and confirm that the account shows the subscription as canceled or not renewing.

Read the specific service’s terms before canceling, especially if a trial, discounted offer, or commitment period is involved. For one Apple monthly subscription offer with a 12-month commitment, Apple says canceling before the commitment ends does not remove the remaining committed payments, and cancellation must occur at least one day before renewal to prevent renewal. Apple limits that offer by operating system and geography, so this is not a universal rule. Check Apple’s subscription cancellation guidance and the terms for your own plan.
Keep the tracker useful and private
Store only what you need to identify a service and its billing route. Do not put passwords, full card numbers, or bank credentials in the sheet. Limit access to people who need it, and review sharing settings in the spreadsheet tool you choose. Security, sharing, and sync behavior depend on that tool and its settings.
