How to Block Access from Unmanaged Devices on SharePoint

Use SharePoint’s unmanaged-device policy to block access entirely or allow restricted browser access, with tenant, site, and rollout considerations.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

To prevent unmanaged devices from opening SharePoint and OneDrive content, go to the SharePoint admin center and select Policies > Access control > Unmanaged devices, choose Block access, and save. The setting is enforced through Microsoft Entra Conditional Access. If you need a different policy for a particular site, configure it with SharePoint Online PowerShell instead.

Choose between blocking access and browser-only access

Microsoft treats a device as unmanaged for this control when it is neither hybrid Active Directory joined nor compliant in Intune. Decide whether those devices should have no access or a restricted browser experience before changing the policy.

Choice What users can do When it fits
Block access Users on unmanaged devices cannot access covered SharePoint or OneDrive content. The product error reads: “Access Denied. Due to organization policy, you can’t access this resource from this untrusted device.” Use when content must not be available from unmanaged endpoints.
Allow limited, web-only access Users can preview files in a browser, while downloading, printing, syncing, and access through apps—including Office desktop apps—are restricted. Browser editing can be allowed or disabled; additional settings can make a site read-only or change which file types can be previewed. Use when users need limited browser access without normal file-handling capabilities.

Microsoft describes these controls in its SharePoint unmanaged-device documentation. Limited access is not equivalent to a full block: previewing or rendering some files may require a download, and settings that permit downloads for files that cannot be previewed reduce protection.

Set the organization-wide policy in the SharePoint admin center

  1. Open the SharePoint admin center.
  2. Go to Policies > Access control > Unmanaged devices.
  3. Choose Block access to deny access, or the limited-access option if users should retain restricted browser access.
  4. Save the change.

This control applies organization-wide. Saving a block or limited-access choice creates a new Conditional Access policy for all users and disables earlier policies created from that admin-center page; their customizations are not carried forward. Microsoft says a change can take up to 24 hours to take effect, and it does not affect users already signed in from unmanaged devices. Plan for existing sessions and inspect the resulting Conditional Access policy. See Microsoft’s regional setup guidance.

Apply a policy to a selected site with PowerShell

Use SharePoint Online PowerShell when the requirement applies to a specific site rather than the whole tenant. Microsoft documents these site-level values:

  • Block a site: Set-SPOSite -Identity https://<SharePoint online URL>/sites/<name> -ConditionalAccessPolicy BlockAccess
  • Limit a site to restricted browser access: set -ConditionalAccessPolicy AllowLimitedAccess for that site.

For an organization-wide limited-access setting, Microsoft documents Set-SPOTenant -ConditionalAccessPolicy AllowLimitedAccess. Follow Microsoft’s tenant and site PowerShell guidance and its Zero Trust recommendations when choosing a scope.

A site cannot be more permissive than the tenant policy: a tenant-wide block does not allow a site-level limited-access exception. Microsoft’s recommended pattern is to establish limited access at tenant level, then use limited access for enterprise sites and a full block for sites with specialized security needs.

Use Conditional Access for app-enforced restrictions

For site-specific app-enforced restrictions, Microsoft directs administrators to create a Microsoft Entra Conditional Access policy and select the Use app-enforced restrictions session control. Exclude emergency access (break-glass) accounts to reduce the chance of locking administrators out through a misconfigured policy. Consult Microsoft’s app-enforced restrictions guidance before configuring the policy.

Microsoft’s Zero Trust guidance says the described settings require Microsoft Entra ID P1 or P2. Confirm that your organization’s licensing and tenant entitlements cover the configuration you intend to deploy; the guidance is at SharePoint device policies in Zero Trust.

Check these risks before rollout

  • Anyone sharing links: These policies do not affect Anyone links; recipients with one can still download the shared item. Review or disable Anyone links on sites the policy is meant to protect. Microsoft documents this and related file-preview caveats in its unmanaged-device guidance.
  • Legacy or unsupported clients: Also block apps that do not use modern authentication. Some third-party apps and Office versions earlier than Office 2013 cannot enforce device-based restrictions and can bypass the intended control. Conversely, managed-device users may be restricted if their OS and browser combination is unsupported; validate Microsoft’s supported combinations for your environment.
  • File previews and downloads: Preview choices include OfficeOnlineFilesOnly, WebPreviewableFiles (the default described in Microsoft’s documentation), and OtherFiles. The last option permits downloads of files that cannot be previewed, so it provides less security. Microsoft also notes PDF and image problems with some preview settings.
  • Teams and other service dependencies: A SharePoint-only block can leave Teams chat available while denying the Files tab. Test the apps staff actually use, including Office, Power Apps, and Power Automate, and decide whether the policy should cover broader Microsoft 365 services. See Microsoft’s testing guidance.
  • Geography and service accounts: Microsoft says this control affects all geographies in the tenant because Entra ID does not provide Multi-Geo capabilities for it. Apps running in app-only mode in the service, such as antivirus apps and search crawlers, are exempt.

Pilot before enforcing broadly

Test the chosen policy with a pilot group before applying it across the organization. Include managed and unmanaged devices, the OS and browsers employees use, desktop and web Office, Teams file access, and the file types people need. Check both new and already signed-in sessions, plus shared-link behavior, so the observed outcome matches the intended security boundary.
