Backing up Microsoft Teams means protecting two different kinds of data: messages and files. For messages, use the Teams Export APIs for an export or configure retention and eDiscovery for compliance; neither is a one-click restore of a full Teams conversation. Files shared in Teams are stored in SharePoint or OneDrive, so protect and restore them through those workloads.
What a Teams backup needs to cover
Start by listing the data and the outcome you need. A message archive for investigation is different from restoring a deleted document, and neither alone recreates a complete live Teams environment.

- Messages: 1:1, group, meeting, and channel messages.
- Files: documents and other files shared in chats or channels, stored in the relevant SharePoint site or OneDrive account.
- Related content: attachments, recordings, and transcripts may have separate storage locations and policy scopes.
- Recovery goal: decide whether you need compliance preservation, a searchable export, file recovery, or some combination.
Microsoft’s Teams Export APIs cover messages. Microsoft’s Microsoft 365 Backup Storage APIs overview lists SharePoint, OneDrive, and Exchange workloads—not Teams chat messages.
How to export Teams chat and channel messages
Microsoft documents exporting 1:1 chats, group chats, meeting chats, and channel messages through the Teams Export APIs. This is an API-based workflow, not a button that restores conversations to their original place in Teams.

- Inventory the scope. Identify the users, teams, channels, date ranges, and message types that matter, including whether attachment information or attachment files are needed.
- Have an appropriately authorized administrator assess the API. Confirm the permissions and licensing requirements in Microsoft’s current Export content with the Microsoft Teams Export APIs documentation before implementation.
- Plan a repeatable export. Define a schedule, date filters, pagination handling, and a durable destination for the exported data. Check the API’s supported message properties and throttling guidance; do not assume a single request retrieves everything.
- Handle attachments deliberately. Validate how the export represents attachment information and how any required attachment content is retrieved. Do not assume that exporting message records automatically creates an independently restorable copy of every file.
- Test the result. Confirm exported records can be parsed, the intended date and conversation scope is present, and required attachments can be accessed from the saved export.
Microsoft documents specific retrieval windows for some deleted content: user-deleted messages may be accessible through export for up to 21 days, while deleted teams or channels and related messages have a documented window of up to 30 days in the described cases. These are conditional API windows, not a general backup-retention guarantee; verify current behavior and the applicable case in the documentation before relying on them.
When retention and eDiscovery are the right tools
Teams retention policies are compliance controls for managing content over time, and eDiscovery supports locating and reviewing preserved material. They are not conventional backups that provide an ordinary user-facing restore of a deleted chat. Microsoft explains that retained message copies are held in hidden Exchange mailbox folders for compliance search and are not designed for direct user or administrator access. See Microsoft’s Teams retention policy guidance.

- Get NVMe solid state performance with up to 1050MB/s read and 1000MB/s write speeds in a portable, high-capacity drive(1) (Based on internal testing; performance may be lower depending on host device & other factors. 1MB=1,000,000 bytes.)
- Up to 3-meter drop protection and IP65 water and dust resistance mean this tough drive can take a beating(3) (Previously rated for 2-meter drop protection and IP55 rating. Now qualified for the higher, stated specs.)
- Use the handy carabiner loop to secure it to your belt loop or backpack for extra peace of mind.
- Help keep private content private with the included password protection featuring 256‐bit AES hardware encryption.(3)
- Easily manage files and automatically free up space with the SanDisk Memory Zone app.(5). Non-Operating Temperature -20°C to 85°C
Use these controls when the requirement is preservation and compliance search. For an operational message archive, plan a separate Export API workflow. For files, set the applicable policy scope separately: Teams message retention alone does not cover every file, recording, or transcript. Microsoft’s retention guidance for SharePoint and OneDrive explains those workload-specific scopes.

Teams is the collaboration interface; the backing location for a file depends on where it was shared. Channel files are generally stored in the team’s SharePoint site, while files shared in chats are commonly stored in the sender’s OneDrive. Identify the actual location before choosing a recovery path.

- Plug-and-play expandability
- SuperSpeed USB 3.2 Gen 1 (5Gbps)
- Locate the backing workload. Determine the SharePoint site or OneDrive account associated with the file, and check the relevant site, user, and policy configuration.
- Use the workload’s recovery controls. SharePoint and OneDrive have recycle-bin and file recovery options. Microsoft’s SharePoint and OneDrive data resiliency documentation describes SharePoint recycle-bin retention of 93 days and Files Restore for returning a SharePoint document library to a point in time within the previous 30 days. Availability and exact recovery options depend on the workload and tenant configuration; check the current documentation.
- Consider Microsoft 365 Backup for supported workloads. Microsoft describes Backup Storage API recovery points every ten minutes and retention up to one year for the service’s supported workloads. The API overview covers SharePoint sites, OneDrive accounts, and Exchange mailboxes, not Teams chat messages. Confirm the service’s scope and configuration against your recovery requirements in the Microsoft Graph Backup and Recovery APIs overview.
- Verify recovery. In a controlled process, confirm that a test file can be restored from the applicable workload and that the recovered version meets your needs.
Choose a method by the job it solves
| Approach | What it covers | Purpose and recovery outcome | Important limits |
|---|---|---|---|
| Teams Export APIs | 1:1, group, meeting, and channel message exports | Creates exported message data for archival, investigation, or other downstream use; it does not restore a live conversation in Teams. | Requires API permissions and applicable licensing; scope, message properties, attachment handling, deletion windows, and throttling require planning. |
| Teams retention and eDiscovery | Teams messages under applicable compliance policies | Preserves content for compliance lifecycle management and search or review. | Retained copies are in hidden compliance storage, not ordinary user-accessible restore copies. Files may need separate SharePoint, OneDrive, or group policy scope. |
| SharePoint and OneDrive recovery | Files in the relevant SharePoint site or OneDrive account | Uses workload-specific recovery controls, including recycle bins and, for SharePoint libraries, Files Restore. | Options depend on workload, tenant configuration, and the recovery window. It does not export Teams messages. |
| Microsoft 365 Backup Storage APIs | SharePoint sites, OneDrive accounts, and Exchange mailboxes, as listed in Microsoft’s overview | Microsoft describes retention up to one year and recovery points every ten minutes for this service. | The listed coverage does not establish Teams chat message backup; check service scope and configuration. |
Build a practical protection routine
A useful plan assigns each data type its own control, owner, and recovery test rather than treating the Teams app as a single storage location.
