How to Back Up and Migrate Settings for Open-Source Desktop Apps

There is no universal settings folder for open-source desktop apps. Identify each app’s documented export or profile, close it before copying, keep a separate recoverable backup, and restore through the destination app’s instructions.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

There is no universal “settings folder” that safely migrates every open-source desktop application. The reliable method is app-specific: identify the program’s documented profile or export feature, make a separate copy while the app is closed, restore it using the destination app’s instructions, and verify the result before removing the original. A profile can contain far more than interface preferences—including mail, passwords, bookmarks, extensions, and other personal data—so inventory what you are actually moving first.

What a desktop app backup actually contains

“Settings” is an imprecise term. Desktop applications commonly keep preferences alongside operational data, credentials, extensions, indexes, templates, and caches. Mozilla describes a Firefox profile as containing personal data such as bookmarks, passwords, and extensions. Thunderbird’s profile includes messages, passwords, user preferences, and other data created while you use the mail client.

That means copying a profile can move sensitive personal information as well as your preferred theme or toolbar layout. Conversely, copying only a visible preferences file may omit the data you expected to preserve. Before choosing a method, write a short per-application inventory:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Interface and behavior preferences you want to retain.
  • Accounts, saved passwords, certificates, mail, calendars, bookmarks, or address books.
  • Extensions, add-ons, dictionaries, templates, and custom scripts.
  • Local databases, indexes, and other data the app says belongs to its profile.
  • Items you deliberately do not want to copy, such as caches or temporary files.

Treat the inventory as a boundary decision. A full profile is convenient for recovery on the same platform, but it may be too broad for a move between operating systems, a major application-version change, or a computer shared with another person.

The safe migration workflow

Use this sequence for each app. It works whether you are moving to a new computer, recovering from a damaged installation, or creating a restorable archive.

1. Define the migration goal

Decide whether you need a disaster-recovery copy, a move to a new device, selected settings only, or a clean installation with imported personal data. An app-native export is usually the best fit for a new device when one exists. A manual profile copy is more useful for targeted recovery or troubleshooting, provided the application documents the procedure.

2. Find the official profile or export route

Open the application’s current help or support documentation and look for “backup,” “export,” “profile,” or “transfer.” Mozilla’s help for Firefox and Thunderbird directs users to the Troubleshooting Information page to open the profile folder. Do not infer a path from another application: profile locations and file layouts differ.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. Prefer a built-in export or backup for a new device

If the app supplies an export or transfer tool, use it first. Firefox currently recommends its built-in Backup tool for moving desktop data to a new device. Thunderbird documents an export tool for backing up data and describes profile copying as an alternative. A native export can select or transform data in a way that a raw folder copy cannot, which matters when the destination uses a different operating system or application version.

4. Close the application completely before copying files

For a manual copy, quit the application and confirm that no background process is still writing to the profile. Firefox’s manual instructions and Thunderbird’s copy instructions both require the app to be closed. Copying an active profile can capture files mid-update and leave an archive that cannot be restored reliably.

5. Copy to an independent destination

Place the exported file or closed-app profile copy on a separate destination such as an external drive. Thunderbird’s instructions give a USB stick as one example. Choose storage with enough capacity for the data and a file system your source and destination computers can read; the cited application documentation does not prescribe a particular capacity, speed, encryption method, or device model.

A second live copy is not automatically a backup. Thunderbird makes this distinction explicitly: a profile stored on the local computer, another computer, or cloud storage is still not a backup merely because it exists somewhere else. A backup is a separate, recoverable copy that you can use after the working profile is lost or damaged. Keep the copy independent from the profile being edited and avoid treating synchronization as an archive with historical recovery.

6. Restore through the destination application

Use the destination app’s documented import or profile-management process. If the instructions require a new profile, create it first, close the application, and then copy the backup contents into the new profile as directed. Do not replace files in a guessed directory simply because the folder name looks familiar.

7. Verify before deleting anything

Launch the restored application and check the items in your inventory: accounts, messages, bookmarks, extensions, passwords, templates, and important preferences. Test a representative workflow, such as opening a message, loading a saved bookmark, or changing a setting and restarting the app. Keep the original installation and the independent backup until verification is complete.

Where common Mozilla profiles live

Mozilla’s technical documentation describes a profile root for persistent data and a separate local/cache area in common default installations. The following are common Firefox profile-root locations; they are not a universal rule for every installation.

Operating system Common Firefox profile root
Windows %APPDATA%MozillaFirefoxProfiles
Linux ~/.mozilla/firefox
macOS ~/Library/Application Support/Firefox/Profiles

Firefox profile selection can also depend on profiles.ini, environment variables, and command-line arguments. The local cache directory is separate in the documented default setup. Therefore, copying one remembered folder may miss application state, while copying every hidden directory in your home folder can bring along unnecessary or incompatible data. Use the profile folder opened by Firefox’s Troubleshooting Information page and follow the current restore instructions for the destination profile.

Firefox desktop: backup, portability, and recovery

Use Firefox Backup when moving to another device

Mozilla’s current help says the Firefox Backup tool is easier and recommended for most users moving desktop data to a new device. This is the first choice when your goal is a normal transfer rather than forensic recovery of a damaged profile. The tool is designed around Firefox’s own data model, so it is preferable to guessing which files represent bookmarks, passwords, or extensions.

Use manual copying for a documented recovery case

Manual copying is described for situations such as a broken profile, recovering selected files, or troubleshooting. Fully exit Firefox, copy the documented profile folder to your independent destination, and preserve the folder structure. Restore only through the profile and file-replacement steps Mozilla currently documents for the destination; exact folder names and the files required can depend on how the destination profile was created.

Do not assume a whole profile is portable

Mozilla warns that profiles are not always portable across operating systems because paths and application versions can differ. A complete profile copied from one operating system to another may reference platform-specific locations or contain data that the destination version handles differently. For a cross-platform move, prefer Firefox’s supported backup route or import selected data rather than promising that a raw profile replacement will work.

Remember that this is the desktop workflow

The paths and procedures above apply to desktop Windows, macOS, and Linux installations. Firefox on mobile uses a different backup and synchronization workflow and should not be treated as another desktop profile directory.

Thunderbird: profile copying and the meaning of “backup”

What the Thunderbird profile holds

Thunderbird documents that its profile stores messages, passwords, preferences, and other user data accumulated during use. That scope makes a profile copy valuable for recovery, but it also means the archive contains private communications and credentials. Protect the copy accordingly and decide whether the destination should receive all of that information.

Locate the profile from Thunderbird

Thunderbird’s help provides profile-discovery instructions and default locations for Windows, macOS, and Linux. Use the application’s profile information rather than assuming that Firefox’s path applies. If the app offers an export tool for your particular data, compare its scope with the full profile before choosing.

Make a closed-app copy

Quit Thunderbird, then copy the profile folder to a separate location. A USB stick is one documented example of a destination, but no specific size or model is required by the instructions. Preserve the copied folder as a recoverable archive rather than editing it in place.

Move the profile to a different location

For a different destination, Thunderbird’s documented route is to create a new profile with Profile Manager, close Thunderbird, and copy the backup contents into that profile. Reopen Thunderbird and inspect the accounts, folders, messages, passwords, and preferences that matter to you. Keep the original profile until those checks pass.

Why a second location is not enough

Thunderbird’s warning is concise: “But storing it separately is NOT a backup.” A profile synchronized to another computer or cloud location can reproduce accidental deletions or corruption. Maintain a separate copy that is not simply the currently active profile mirrored elsewhere, and test that the copy can be opened or restored when practical.

LibreOffice: document recovery is not a complete settings migration

LibreOffice’s 26.2 Getting Started Guide describes AutoRecovery information for open documents and an option to save a previous version of a document as a .BAK copy. It also discusses settings that may be stored with documents. These features protect work in progress or preserve document-level information; they do not establish a complete export of every LibreOffice user preference.

  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.

Use AutoRecovery for interrupted work

AutoRecovery is intended to help recover an open document after an interruption. It should not be presented as a substitute for copying your LibreOffice configuration, templates, extensions, or personal files to a new computer.

Use previous-document copies for document history

The optional .BAK copy is a previous version of a document. Include those files in a document backup when you need that history, but do not assume that a collection of .BAK files contains your application preferences.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Separate document migration from application migration

For a LibreOffice move, make two explicit inventories: documents and application configuration. Follow current LibreOffice documentation for configuration locations or exports rather than inferring them from AutoRecovery guidance. The cited guide supports document-recovery features, not a universal user-configuration migration procedure.

Using KDE KBackup for repeatable selected-folder backups

KDE KBackup addresses a different need: selecting a broader set of files and folders and saving that selection for reuse. Its handbook describes a reusable .kbp selection profile containing included and excluded files or folders, the destination, an archive prefix, and a maximum slice size.

When a selection profile helps

  • You need to back up configuration folders for several applications rather than one app’s native export.
  • You want exclusions for caches, temporary files, or data that should not leave the computer.
  • You repeat the same backup and want to reload the file-selection rules instead of rebuilding them.
  • You need archive naming and maximum-slice settings retained with the selection.

What KBackup does not solve

A reusable file list does not tell you which files each application requires, whether a profile is portable between operating systems, or how an app must be initialized before files are restored. Build the selection from each application’s official documentation, close the relevant apps before copying live profiles, and keep the app-specific restore instructions with the archive.

Choosing between export and manual profile copying

Decision factor App export or built-in backup Manual profile copy
Scope Defined by the application; may select the data intended for transfer. Can include the entire profile, including mail, passwords, bookmarks, extensions, and other personal data.
Best use Moving supported desktop data to a new device. Targeted recovery, troubleshooting, or a documented full-profile backup.
Cross-platform portability Use the app’s stated compatibility and import path. A whole profile may fail across operating systems or application versions.
Preparation Follow the app’s export steps. Fully close the app and copy the documented profile folder.
Restore Import or restore through the app’s interface. Create or select the destination profile as instructed, then copy files while the app is closed.
Repeatability Depends on whether the app offers a repeatable export. A KBackup .kbp selection profile can preserve a broader file-and-folder selection.

When the two methods are both available, choose based on scope and portability rather than convenience alone. A raw copy is not automatically more complete in a useful sense: it may also carry credentials, machine-specific paths, caches, and version-sensitive state.

Cross-platform and version-change pitfalls

Assuming one hidden directory works everywhere

Firefox, Thunderbird, LibreOffice, and other desktop applications do not share a universal profile layout. Even within one project, Windows, Linux, and macOS use different default locations. Start from the app’s profile discovery or export command.

Copying while the app is running

An open application may still be writing databases, indexes, or preference files. Close it completely before a manual copy. If you cannot determine whether it has exited, wait for its process to disappear before starting the copy.

Replacing a destination profile blindly

Destination profiles can have different names and identifiers. Create the destination profile through the app’s own manager when the documentation calls for it, then copy the backup contents into the correct location while the app remains closed.

Confusing cache with essential state

Mozilla documents Firefox’s local/cache directories separately from the profile root. Caches are often disposable, while profile data can contain the information you intend to preserve. Do not broaden a backup by copying every hidden directory without knowing its role.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Overlooking private data

Profiles can contain saved passwords, mail, and browsing data. Restrict access to the archive, choose storage appropriate for sensitive information, and remove temporary copies only after you have verified the migration.

Deleting the source too soon

A successful file copy does not prove a successful restore. Keep the old profile and the independent archive until the destination opens normally and your inventory checks are complete.

A practical checklist for each application

  1. Record the app name, desktop operating system, installed version, and the data you intend to move.
  2. Read the app’s current official backup, export, profile, and restore instructions.
  3. Decide whether an app-native export is safer than a full profile copy for this destination.
  4. Close the application before any manual file operation.
  5. Copy the documented profile or exported archive to an independent destination.
  6. Label the copy with the app, operating system, profile identity, and date so you can distinguish it from a live working folder.
  7. Prepare the destination through the app’s profile manager or import command.
  8. Restore while the app is closed whenever the instructions require it.
  9. Open the app and check the settings and personal data from your inventory.
  10. Keep the source and backup until verification is complete; then follow your normal retention and secure-deletion policy.

How to handle an app that is not covered here

The open-source desktop ecosystem is too broad for one universal list of paths and files. For any other application, consult its current official documentation before publishing or following a profile location, export command, or compatibility promise. Community anecdotes about hidden configuration folders can be useful leads, but they are not a dependable basis for a universal migration recipe.

If no native export exists, identify the app’s documented profile directory, determine which contents are personal data versus cache, close the app, and make an independent copy. Restore into a newly initialized destination profile when the project recommends that sequence. If the project does not document cross-platform or cross-version copying, treat a whole-profile move as unproven and migrate selected data conservatively.
