iCloud backup or computer backup?
iCloud Backup is automatic and works without a computer, but it depends on available iCloud storage and an internet connection. A computer backup is stored locally, usually transfers faster over a cable, and does not use iCloud storage. An encrypted local backup also preserves more sensitive data.
| Situation | Best starting choice |
|---|---|
| No computer or automatic protection wanted | iCloud Backup |
| Large device, slow or unreliable internet | Encrypted computer backup |
| Passwords, Wi-Fi settings, Health or call-history data | Encrypted computer backup |
| Protection from theft, fire or hardware failure at home | iCloud Backup or another off-site copy |
| Strongest practical coverage | iCloud Backup plus an encrypted computer backup |
A computer copy is not automatically safer: it can be lost to theft, disk failure, ransomware or a forgotten encryption password. Apple’s iCloud terms also advise keeping alternate backups: iCloud terms.
Syncing is not the same as backing up
iCloud services such as iCloud Photos, iCloud Drive, Notes, Contacts, Calendars and Messages in iCloud synchronize data between devices. If you delete a synchronized item, that deletion can propagate. iCloud Backup instead saves a snapshot of device information and settings that are not already synchronized. Data synchronized through iCloud is generally not duplicated in the daily device backup; Apple explains the distinction at What does iCloud back up?.

- Turn off backup for replaceable, unusually large app data if appropriate.
- Delete backups belonging to devices you no longer use only after confirming another usable copy exists.
Apple’s iCloud+ tiers are 50 GB, 200 GB, 2 TB, 6 TB and 12 TB, with regional pricing and availability. The U.S. page currently lists $0.99, $2.99, $9.99, $29.99 and $59.99 per month respectively; check your local price at Apple iCloud+. If you do not want a subscription, use an encrypted computer backup.
What iCloud Backup contains
It generally includes device settings, Home Screen and app organization, app data, Apple Watch backup data associated with the iPhone, and messages or photos that are stored on the device rather than separately synchronized.

What it does not duplicate
- Photos and videos using iCloud Photos.
- Messages using Messages in iCloud.
- iCloud Drive files and other iCloud-synchronized data.
- App Store, iTunes Store and Apple Books purchases, which are normally redownloaded.
- Media synchronized from a computer.
“Not in the device backup” does not necessarily mean “not protected”; it may be stored by the relevant iCloud service. Synchronization is not, however, a historical archive.

When iTunes is still relevant
Older Windows installations, older Apple software or systems where Apple Devices is unavailable may use iTunes > device button > Summary > Back Up Now. Apple Devices is the current documented Windows method.
Why local encryption matters
Local backups are not encrypted by default. An encrypted backup can include saved passwords, Wi-Fi settings, website history, Health data and call history. It does not include Face ID, Touch ID or the device passcode. Apple says a previous encrypted backup cannot be used without its password, so save that password before starting; details are at About encrypted backups. Health data requires encryption, and Apple’s Journal guidance also recommends an encrypted computer backup: Journal backup guidance.

Troubleshooting
“iCloud Backup could not be completed”
- Check available iCloud storage and the next-backup size.
- Use reliable Wi-Fi, connect power and lock the device.
- Exclude unnecessary large app data or remove an obsolete device backup.
- Restart and install available software updates.
- Use a computer backup immediately if the deadline is urgent.
The computer does not detect the device
- Unlock the device and accept Trust This Computer.
- Try another cable and USB port, preferably a direct connection rather than a hub.
- Update macOS, Windows, Apple Devices or iTunes, then restart both devices.
- Check Finder or the Apple Devices sidebar again.
The local backup is too large
Check free disk space; the backup size will not necessarily equal the device’s advertised capacity. If you need independently accessible photos, videos or documents, export them separately. An external SSD can hold the computer’s broader backup system, but native Finder or Apple Devices workflows should not be assumed to support every arbitrary destination.
You forgot the encryption password
The old encrypted backup cannot be restored without its password. You can reset the local-backup password for future backups, but that does not unlock previous ones.
Health or Journal data is missing
Check that the local backup was encrypted. Apple states that Health data requires encryption, and Journal entries are not included in an unencrypted iPhone backup.
Backups are restricted
School- or employer-managed devices may disable iCloud Backup or enforce another method. Apple documents these controls in its professional training material: managed-device backup restrictions.
Quick Recap
A practical backup routine
- Enable iCloud Backup and verify its first completed timestamp.
- Keep an encrypted Mac or Windows backup, especially before repairs, resets, upgrades or replacement.
- Maintain separate file copies of irreplaceable photos, videos, documents and Journal exports.
- Store the local encryption password in a password manager.
- Periodically inspect iCloud Backup and Manage Backups rather than assuming they are current.
