What you need before generating a batch
Each certificate needs a template and a complete set of data for one recipient. Decide which details change from certificate to certificate, such as recipient name, course or award, date, and photo. Put each changing text value in its own placeholder, and reserve an image frame or other defined area for the photo.
Prepare the recipient information in a spreadsheet or another data source supported by the tool you choose. Keep one recipient per row and make the association between each person and their photo unambiguous. Before creating the full batch, check that the image field contains image content in a form the chosen workflow accepts; a URL that looks like a photo link may not be treated as an image.
Generate photo certificates with Canva Bulk Create
Canva’s certificate maker provides templates and editing tools for adding images and other design elements. Its Bulk Create feature connects rows of data to placeholders in a design. Canva documents Bulk Create as available on desktop for Canva Pro, Teams, Business, Enterprise, Education, and Nonprofits users; check Canva’s current Bulk Create help page for eligibility and interface details, because availability and limits can change.

1. Design the certificate
Start with a certificate template or make a new design, then add the fixed wording and visual elements. Add a separate placeholder for each value that will vary, such as the recipient’s name, award, or date. Add an image frame for the photo and consider how much space a portrait needs so the photo does not crowd the certificate text.
For print, Canva describes 8.5 × 11 inches as a common certificate size and landscape as the most popular orientation. It also names 8.5 × 14, 11 × 14, and 11 × 17 inches as other popular sizes. These are Canva’s design suggestions, not a universal certificate standard. Choose dimensions and orientation for the recipient’s intended use.
2. Prepare the records and photo fields
Canva’s Bulk Create instructions support importing CSV or XLSX data, entering data manually, and using images in Canva Sheets or XLSX. The important constraint is how the photo is supplied: Canva says image URLs from cloud photo storage are not supported and will be treated as plain text. For manual entry, its guidance uses an image column populated from the Canva media library. Do not assume that pasting a publicly accessible photo URL into a spreadsheet will fill a certificate’s photo frame.
Canva documents up to 150 data fields. Its Canva Sheets selection workflow documents limits of 300 rows and 150 columns. Those are documentation limits, not a guarantee that every account, data source, or future version will behave identically; consult the help page before preparing a very large batch.

3. Map fields and generate
- Open the certificate design and start the Bulk Create workflow in Canva on desktop.
- Import or enter the recipient data, then connect each column to its matching text placeholder or image field.
- Review the mapping, especially the photo field and the recipient-to-photo pairing.
- Generate the designs. Canva documents the choice to create one multi-page design or separate designs, and the option to name files or pages using a data column.
Use meaningful values for file or page names if you plan to export many certificates; names that identify the intended recipient are easier to check and distribute than a sequence of generic filenames.
4. Inspect before sharing
Review a sample certificate before generating or distributing a large batch, then inspect the completed output. Confirm that each photo belongs to the intended recipient, the crop is acceptable, names and dates are correct, and long names or award titles have not overflowed or become difficult to read. This is a practical quality-control step: the cited product documentation explains the creation workflow but does not report independent testing of a batch.
5. Export for the recipient
Canva’s certificate maker describes sharing by social media or email and saving print-ready PDFs. Choose the format and distribution method for the actual use: a print-ready PDF for printing, or an image format where the recipient or destination needs a standalone image. Review Canva’s export controls for the current choices in your account. If you print, confirm that the chosen paper and orientation match the design dimensions.

Automate certificates from Google Forms or Sheets
Google’s official Apps Script sample, Send personalized appreciation certificates to employees, uses Google Sheets data and a Google Slides template to create a slide per employee, export each slide as a PDF attachment, and send it through Gmail. The sample requires copying its template and assets and authorizing the script on first use.
This is a starting point for spreadsheet-driven PDF delivery, not documented proof of a photo-certificate workflow. The sample does not describe inserting recipient photos or exporting PNG or JPG images. If those are requirements, confirm that the specific script or add-on you use supports them before building the process around it.
Form-triggered add-ons
For generation after a form submission, the Google Workspace Marketplace listing for Smart Certificates describes creating certificates on form submissions, sending PDF or image attachments, storing files in Drive, and tracking file URLs in Sheets. The listing was updated September 11, 2026; these are vendor listing descriptions, not independent performance findings.
Certify’em describes certificates triggered by Google Form submissions, Slides templates with merge tags, email delivery, records, and QR codes for verification. Its site says templates can use fonts and images. That information does not establish that every recipient-photo batch workflow is supported. Check the add-on’s current photo handling and commercial terms against your exact needs before adopting it.

The practical decision points are the form in which your photos are available, whether creation must start manually or on a form response, whether you need PDFs or image attachments, where finished certificates and records should live, and whether certificates need a QR or record-based verification path. The cited product pages do not provide an independent comparison of reliability, cost, or time saved.

The photo URL appears as text
In Canva Bulk Create, this is expected for cloud photo-storage URLs: Canva says they are unsupported as image values and are treated as plain text. Use image content through a supported Canva Sheets or XLSX workflow, or populate a manual image column from Canva’s media library, then confirm the field is an image before generating the batch.
The wrong recipient appears with a photo
Check the row-to-image association and field mapping before exporting or emailing. Use a small sample to confirm that the name, other data, and photo are aligned; do not rely on filenames or row order without checking the generated result.
Text no longer fits the design
Inspect longer names and award descriptions in the template. Adjust the placeholder’s layout or wording, then regenerate and review affected certificates. The sources do not establish a universal text-fitting behavior across designs.

Canva documents Bulk Create as desktop-only and available to Pro, Teams, Business, Enterprise, Education, and Nonprofits users. Check that you are using desktop and that your account has an eligible plan or designation, then consult Canva’s help page for current access details.
The Google script does not create a photo image file
The official Apps Script example documents PDF creation and email delivery, not recipient-photo insertion or PNG/JPG export. If you need those capabilities, use a workflow whose current documentation explicitly supports them rather than assuming the sample does.
