How to Automate Screenshots of Power BI Reports

For scheduled Power BI report images, use a Power Automate scheduled cloud flow if your workspace and tenant meet Microsoft’s export requirements. For programmatic control over pages, filters, bookmarks, identity, and file handling, use Power BI’s ExportTo REST API: submit an export job, poll it until it succeeds, then download the file. Microsoft calls this an export rather than a screenshot. PNG produces report-page images; PDF and PPTX produce documents.

Choose the right kind of export

Power BI’s export capability is the supported route for capturing report pages. Choose PNG when you need images of pages, or PDF or PPTX when a document is more useful. The choice matters downstream: a multipage PNG export is packaged as a ZIP containing one image per page, not as a single image.

  • Use Power Automate for recurring exports and delivery, such as emailing a report on a schedule without building your own job-polling logic.
  • Use the REST API when code needs to select report pages, configure supported filters or bookmarks, set an effective identity, or handle the exported file in another system.

Both routes depend on Power BI’s export service and its capacity, tenant, rendering, and content limitations. Neither guarantees a faithful image of every interactive state or every visual.

Scheduled exports with Power Automate

Check prerequisites first

Microsoft’s Power Automate walkthrough requires a workspace backed by reserved capacity. The API documentation specifies Premium, Embedded, or Fabric capacity and says the API is not supported for Premium Per User. Confirm that the workspace’s actual capacity meets the applicable requirement before building the flow.

PNG export also depends on a tenant setting for export to image. Microsoft says that setting is disabled by default. The PDF/PowerPoint export setting is enabled by default, according to the API overview. Tenant administrators may need to enable the image setting. Power Automate licensing and connector availability can also depend on the tenant’s current licensing; verify this in your environment rather than assuming a Microsoft 365 subscription covers every needed configuration.

Build the scheduled flow

  1. Create a scheduled cloud flow in Power Automate and choose its recurrence, such as weekly.
  2. Add the Export to File for Power BI Reports action.
  3. Select the workspace and report, then choose PNG, PDF, or PPTX. If the action offers page selection, specify the pages you need.
  4. Pass the action’s file content to a delivery or storage action, such as an email attachment. For PNG exports of multiple pages, plan to handle the ZIP file if recipients or downstream systems need separate images.
  5. Save and run the flow, then inspect the resulting file and verify its report state and audience before enabling routine distribution.

The Microsoft walkthrough describes a flow that sends an exported report weekly. Its important state caveat is that the export reflects saved default slicer values; changing a slicer in an interactive session does not mean that change will be captured by the flow.

Configure row-level security deliberately

If the report uses row-level security (RLS), the walkthrough calls for an effective username, semantic model ID, and role. These values determine which data the export represents. Check that the resulting file contains the intended audience’s data before sending it broadly; a successful export alone does not prove that the identity was configured correctly.

Use the ExportTo REST API for programmatic control

Submit, poll, then download

The API is asynchronous: the initial ExportTo request returns HTTP 202 Accepted and creates an export job, rather than returning the completed file. A robust integration must retain the job information, poll its status, and retrieve the output only after the job succeeds. Microsoft states that the returned retrieval URL is available for 24 hours, so download the file promptly after success.

  1. Authenticate with an identity authorized for the report and dataset. The documented required scopes are Report.Read.All or Report.ReadWrite.All, and Dataset.Read.All or Dataset.ReadWrite.All.
  2. POST an ExportTo request for the workspace report, specifying the desired output format and any supported report configuration.
  3. Read the accepted job response and retain its export-job identifier.
  4. Poll the job’s status endpoint until it reaches Succeeded or a terminal failure state. Do not assume that HTTP 202 means the file is ready.
  5. After success, call the file retrieval endpoint and save the returned content. Extract the ZIP when the result is a multipage PNG and separate page images are required.

The Microsoft ExportTo API uses workspace-report, export-job, status, and file endpoints. Consult the current Microsoft API reference for the exact endpoint paths and request schema for your report type; do not substitute paginated-report examples for ordinary Power BI reports.

Configure the report state explicitly

Without supported report-level filters or bookmarks in the request, the API exports default values. Configure the request for the pages and supported state you need rather than expecting it to inherit a user’s open browser session. Personal bookmarks and persistent filters are listed as unsupported. If a capture is embedded in an application, wait for the report’s Rendering event to finish before starting the export; triggering it earlier can capture before visuals have rendered.

Choose the format carefully

For ordinary Power BI reports, the documented output formats are PNG, PDF, and PPTX. A PNG export of several pages arrives as a ZIP with one image per page. Microsoft’s broader REST schema includes formats such as TIFF or JPEG for paginated reports under IMAGE; that does not establish TIFF or JPEG as formats for ordinary Power BI reports.

Limits and content that can affect an export

Microsoft Learn’s export documentation, accessed September 29, 2026, lists these service limits. They are documented ceilings, not a promise of throughput or completion time; Microsoft may change them.

Microsoft lists unsupported visuals including uncertified custom visuals, R, PowerApps, Python, Power Automate, paginated report, Visio, and ArcGIS visuals. Unsupported portions may show an error symbol. Check the current limitations documentation against the report’s visuals and data connections before relying on automated output.

Troubleshoot common failures and incorrect captures

The flow or API cannot export the report

  • Check capacity: confirm that the workspace is backed by an eligible capacity. The API is not supported for Premium Per User.
  • Check tenant settings: for PNG, ask an administrator to verify that export to image is enabled. PDF/PPTX and PNG have different tenant-setting defaults.
  • Check access: verify that the caller can access the report and its dataset, and that the API identity has the required scopes.
  • Check licensing and connectors: validate current Power Automate licensing and standard-connector access for the tenant.

The file is missing pages or contains an error symbol

  • Compare the requested pages with the report and the export job’s page or visual ceiling.
  • Check for unsupported visuals and data connections; Microsoft says unsupported portions may render as an error symbol.
  • For an embedded report, wait for the Rendering event before triggering export.
  • If PNG contains several pages, inspect the ZIP rather than expecting a standalone multipage image.

The capture shows the wrong slicer values or audience

  • Power Automate exports saved default slicer values; it does not automatically capture a user’s later interactive slicer changes.
  • For API exports, specify supported report filters or bookmarks when a non-default state is needed. Do not rely on personal bookmarks or persistent filters, which Microsoft lists as unsupported.
  • For RLS, verify the effective username, semantic model ID, and role, then inspect the resulting data before distribution.

The API job is accepted but no file is available

HTTP 202 means the export job was accepted, not completed. Poll the status endpoint and retrieve the file only after success. If the job succeeds, download promptly: Microsoft says the retrieval URL expires after 24 hours. If a job reaches failure, inspect its status response and resolve the capacity, configuration, permissions, or report-content issue before retrying.

Plan for dependable recurring exports

  • Run a test export for every required format and representative report state before scheduling distribution.
  • Validate the file itself, including ZIP contents for multipage PNG, expected pages, slicer values, and audience-specific data.
  • For API jobs, implement status polling and prompt download rather than treating request acceptance as completion.
  • Keep concurrent jobs and file sizes within Microsoft’s documented capacity and output limits, and account for unsupported visuals.
  • Recheck Microsoft’s current export and licensing documentation when capacity, tenant policy, or Power Automate licensing changes.

Does Power BI send an exported report directly to email?

Power Automate’s documented pattern passes the exported file content to an email action; the export action itself is not described as an email-delivery service.

Can I export an individual visual instead of a whole report page?

The documented per-job ceiling counts pages or visuals, but the exact request configuration depends on the current ExportTo API schema. Check Microsoft’s current API reference for the report type and supported visual-export configuration.
