Build a Zap with three parts: a trigger that collects an image request, an image-generation action, and a destination that stores or sends the result. For example, Zapier’s documented workflow uses Google Forms, ChatGPT’s Generate an Image action, and Email by Zapier. The important detail is to copy generated files to durable storage when you need to keep them: the image link in Zapier’s AI-image template expires after a few hours.
How the workflow fits together
Think of automated image creation as a pipeline, not a single button: trigger → generation → delivery. The trigger supplies an idea or structured fields; an AI action turns that input into an image; one or more later actions put the file somewhere useful. Zapier’s tutorial documents a Google Forms-to-ChatGPT-to-email example, while its templates and catalogs also show other intake and output patterns.
Before building, decide what “done” means. A one-off image emailed to its requester needs a different destination and review process from a recurring branded social graphic. In particular, settle where the original file will live, who can access it, and whether somebody must approve it before it is sent or published.
Build a basic Zap, step by step
- Choose the intake app. Start with the place people already submit requests: a form, chat message, spreadsheet row, Airtable record, Trello card, or another documented entry point. Use a test submission with realistic input so the later steps have fields to map.
- Add an image-generation action. In the action step, choose ChatGPT and the Generate an Image event, then connect the OpenAI account. Zapier’s tutorial notes that an API key may be required. Follow the connection prompts shown for the account and plan you are using; the documentation does not establish one universal authentication setup for every user.
- Map the request into the prompt. Insert the trigger’s prompt field into the action. If the form captures separate details—such as subject, setting, audience, or style—combine them into an instruction that makes their role clear. Set the available number of variations, image size, quality, and style options, then test the action and inspect what it returns.
- Add a destination action. Choose an action that matches the intended use: email the result, upload it to Google Drive, write a record to a spreadsheet or database, or post it to a chat channel. For a handoff workflow, the message should identify the request and point to the stored file rather than relying on a temporary generation link.
- Test each handoff and publish. Test the trigger, image action, and destination separately, then run the full path. Open the resulting file, check that it is the expected image, verify destination permissions, and confirm that the recipient can reach it. Publish only after those checks pass.
Choose an intake method that fits the request
A conversational prompt is convenient when people need to describe an idea in their own words. A form or table is more consistent when downstream automation depends on predictable details. For example, a request form can collect a subject, intended channel, visual style, and a short prompt in separate fields, then map those values into one generation instruction. This does not guarantee a particular image; it makes the input easier to review and reuse.

Zapier documents chat, forms, Airtable, Trello, spreadsheets, and browser-extension entry points for this kind of workflow. Select based on where requests already happen and whether the source can provide the fields your action needs. Avoid building a second intake system if a suitable source is already in use.
Make the prompt and controls repeatable
Use the prompt field for the creative brief, but also consider what the destination or reviewer needs to know. For a recurring workflow, standardize the fields that materially affect the result and map them consistently. Test with representative requests rather than only an unusually simple prompt.
The documented ChatGPT action offers controls for number of variations, image size, quality, and style. Their exact choices can depend on the action interface and connected account, so inspect the options available in your Zap rather than assuming a fixed list of values. If users need materially different output types, separate those choices in the intake step and test each route.

Route the output to storage, email, or a channel

Email by Zapier is part of Zapier’s documented Google Forms and ChatGPT example. It is a straightforward route when the requester should receive the result. Check what file or link the action passes along and test access from the recipient’s perspective before relying on it.

Google Drive for an archive
Zapier also documents workflows that save generated images to Google Drive. This is generally the more useful pattern when the file must remain available after the generation step. Choose an appropriate folder and access model, and make sure the automation copies or uploads the actual asset rather than merely recording a short-lived link.
Spreadsheets, databases, and chat
A spreadsheet or database can keep request details alongside a result, while a chat action can notify a team that an image is ready. These are routing choices, not substitutes for durable file storage when long-term access matters. Include enough identifying context in the record or message for someone to find the matching request later.

Keep generated files available
Zapier’s AI-image template says that an OpenAI image link expires after a few hours. Treat that link as a temporary handoff, not an archive. If the asset needs to survive beyond that window, add a storage action that copies or uploads it promptly, then use the stored file’s location in later notifications or records.
Verify the durable copy in a test run: open it, check that the file is the expected format and content, and confirm who can access it. A link that works for the Zap owner may not be available to a recipient if the destination’s sharing permissions are too restrictive.

AI-generated imagery and branded graphics solve different parts of a production workflow. If the final asset needs a fixed logo position, typography, colors, or campaign layout, use a design or templated-rendering step rather than expecting a free-form image prompt to enforce exact composition. Zapier’s social-media asset catalog lists Canva, Placid, Creatomate, and Bannerbear workflows for this kind of templated production.
Choose the workflow according to the degree of control required. A template can keep repeated campaign elements consistent while variable text or imagery changes from one request to another. Decide whether a review gate belongs in the Zap
Not every generated image should be sent or posted automatically. If a human must approve wording, brand fit, or suitability before publication, route the result to a review destination first and make approval a deliberate stage. The right amount of review depends on the audience and use; the Zap should make the status clear rather than silently treating generation as approval.
When comparing workflow designs, assess the prompt source, generation provider, controls for size and style, template support, durability of storage, review needs, output channel, permissions, and expected task volume. A simple email flow may be enough for individual requests; recurring social production usually has stronger reasons to add a template, archive, and review path.

Troubleshoot common failures
- The generation step cannot connect. Check that the intended OpenAI account is connected and follow the authentication prompts; Zapier’s tutorial notes an API key may be required. Retest the action after correcting the connection.
- The prompt is blank or incomplete. Revisit field mapping and test the trigger with a real sample. Confirm the selected trigger record actually contains the mapped field and that the generation action receives the combined prompt you expect.
- The image is available at first, then the link stops working. Do not treat the temporary OpenAI image link as long-term storage. Add a Google Drive or other suitable storage action and copy the asset shortly after generation.
- A recipient cannot open the file. Check the destination folder or file permissions, then test with an account that has the same access as the recipient. Keep the stored file reference in the notification if a temporary link was used during generation.
- The output does not look consistently on-brand. A prompt alone may not provide the fixed layout control needed for repeated graphics. Add a Canva or templated-renderer workflow such as Placid, Creatomate, or Bannerbear, and inspect the final rendered asset.
- The destination receives the wrong request’s image. Test the full workflow with multiple distinct samples and verify that the trigger’s identifying fields travel with each result. Keep request metadata alongside the stored asset or notification.
- The test looks successful but the workflow is not live. Zapier’s tutorial includes testing and publishing as separate steps. Confirm the Zap is published after the trigger, generation action, and destination have all passed their tests.
Frequently Asked Questions
Can Zapier generate images from a Slack message?
The documented materials establish chat-message intake as a possible pattern, but do not specify a Slack-specific trigger and field mapping. Check the current Slack trigger and ChatGPT action options available in your Zapier account before building that exact route.
Can the same workflow create social graphics with a fixed brand layout?
