You can use OpenClaw to automate appointment conversations by connecting a calendar, defining booking rules, exposing the agent in a chat channel, and using its built-in automations scheduler for reminders. OpenClaw is a self-hosted gateway, so a computer or server must stay online. The calendar remains the authority for availability; OpenClaw handles the conversation and scheduled follow-up.
Antihost offers VPS plans with one-click OpenClaw, NVMe storage and a 14-day free trial.
The overall workflow is well established, but the exact calendar integration and command syntax are not fully documented in the available official material. Treat the steps below as an implementation plan, verify the current OpenClaw CLI reference before entering commands, and test bookings, changes, cancellations, time zones, and reminders before allowing real clients to book.

What OpenClaw does in an appointment workflow
OpenClaw is a self-hosted gateway that connects chat applications to AI coding agents. The official channel list includes Discord, Google Chat, iMessage, Matrix, Microsoft Teams, Signal, Slack, Telegram, WhatsApp, and Zalo. For scheduling, the agent receives a message such as “Do you have a 45-minute consultation next Tuesday afternoon?”, checks the configured calendar, proposes available times, and records the selected appointment through the calendar capability you connect.
OpenClaw does not replace the calendar. The calendar is the source of truth for working hours, existing events, and conflicts. OpenClaw supplies the conversational layer: it collects the service, duration, attendee details, and preferred time; applies your rules; and sends confirmations or reminders through a connected channel.

Its skills are repeatable procedures that the agent loads when needed. A booking skill can therefore contain your intake questions, availability checks, confirmation wording, rescheduling policy, and cancellation policy. The built-in automations scheduler handles recurring work, one-shot reminders, cron expressions, and inbound webhook triggers. Scheduled jobs can deliver to a channel, send an HTTP POST webhook, or produce no delivery when the job is intended only to update state.
Before you start: requirements and boundaries
Keep a host online
Because OpenClaw is self-hosted, run it on a machine or server that remains powered on and connected to the internet. If the host sleeps, loses network access, or stops the gateway process, clients may not receive responses and scheduled reminders may not run at their intended times.
Choose one calendar as the authority
Decide which calendar or calendars represent staff availability. The calendar must contain existing commitments and time blocks that should prevent double booking. If several staff members can take appointments, decide whether each person has a separate calendar or whether a shared calendar is the availability source.
Google Calendar, Outlook, and iCal are mentioned in third-party OpenClaw scheduling guides, but the official documentation reviewed here does not provide a confirmed calendar-integration page. A Google Workspace skill named “gog” is described by one guide as covering email and calendar; that integration is not verified by official OpenClaw documentation. Confirm the current supported connector, authentication flow, and permissions before relying on any of these options.
Prepare an account with the least access needed
Use a calendar identity created for scheduling rather than a personal account when possible. Grant only the permissions required to read availability and create, modify, or cancel the events your workflow needs. If the integration can read all event details, consider using a dedicated availability calendar or private event titles to limit exposure of unrelated information.
Choose a client channel
Pick the channel your clients already use and that your OpenClaw deployment can operate reliably. Common choices described by scheduling guides include WhatsApp, Telegram, Slack, Discord, SMS, and web chat; OpenClaw’s official channel list also includes several other chat systems. The channel affects identity, message formatting, consent requirements, and whether a client can receive a reminder after the original conversation.
Write your booking policy first
Before configuring the agent, document the decisions a human scheduler would make:
- Services offered and the duration of each service.
- Operating days and hours, including holidays and exceptional closures.
- Which calendar or staff member handles each service.
- Buffers between appointments, such as 15 minutes for cleanup or travel.
- Minimum lead time before a client may book.
- How far into the future appointments may be created.
- Required client fields, such as name, email address, phone number, or notes.
- Confirmation, rescheduling, cancellation, and no-show policies.
- The time zone shown to clients and the time zone used by the calendar.
Design the scheduling flow
1. Identify the request
The agent should first determine whether the message is a new booking, a reschedule, a cancellation, a request for information, or a reminder response. Do not let a vague request create an event. Ask for the service and the client’s preferred date or date range when those details are missing.
2. Normalize the details
Convert natural-language dates and times into an unambiguous date, time, and time zone before checking availability. “Tomorrow afternoon” depends on the current date and the client’s location. Ask the client to confirm the interpreted time when there is any doubt, especially around daylight-saving changes or cross-border appointments.
3. Apply duration, buffers, and lead time
Availability is not merely an empty calendar slot. The agent must reserve the service duration, add the configured buffer before or after the appointment, and reject times inside the minimum lead window. For example, a 45-minute service with a 15-minute post-service buffer occupies a 60-minute block for scheduling purposes.
4. Query the calendar and offer options
Check every relevant calendar before proposing a time. Offer a short list of actual open slots rather than asking the client to guess. Include the date, local time, time zone, service, and expected duration in each option. If no slot matches, offer the next available alternatives or route the request to a human.
5. Obtain explicit confirmation
Before creating an event, repeat the final details and ask for a clear confirmation. A confirmation message should include the service, start and end time, time zone, staff member or location when relevant, and the cancellation or rescheduling instruction. Do not infer consent from a client changing the subject or sending an ambiguous reply.
6. Create and report the event
After confirmation, create the calendar event with a consistent title and the minimum necessary client information. Return the calendar’s resulting date and time to the client, not a time calculated independently by the agent. If event creation fails or the slot disappears during the transaction, explain that the booking was not completed and offer a fresh availability check.

7. Handle changes as new availability checks
A reschedule should not overwrite the original appointment until a replacement slot is available and the client has confirmed it. For a cancellation, identify the exact event, verify the client’s authority when your channel supports identity checks, cancel it, and send the cancellation outcome. Keep an audit trail in the calendar or your chosen system if your policy requires one.

The documented workflow in third-party guides is to authenticate a calendar provider with OAuth, select the calendars that represent staff availability, and give the booking skill access to those calendars. Since the official documentation reviewed for this topic does not publish a calendar integration page, treat provider names and skill names in those guides as examples, not guarantees.
Authentication checklist
- Confirm the current OpenClaw calendar connector or skill in the official documentation.
- Review the OAuth scopes it requests. Prefer read-availability and event-management scopes over unrestricted account access.
- Authenticate the dedicated scheduling account and record which calendar IDs or names are used.
- Create a test event directly in the calendar and verify that OpenClaw can see the resulting busy period.
- Remove or mask unrelated calendars so the agent cannot expose private event information.
- Test token expiry and reauthorization before launch; an expired token should produce a clear operational alert rather than silent booking failures.
Do not assume that a calendar name alone identifies the correct resource when several calendars have similar names. Record the provider, account, calendar identifier, and time zone in your deployment notes.
Define services, hours, and booking rules
Some guides describe a booking_rules.yml file containing service durations and operating hours. That filename and format are not confirmed by official OpenClaw documentation, so do not create it solely because a tutorial uses that name. The same policies may instead belong in a skill, configuration screen, environment setting, or another supported format.
Rules your skill must express
- Service catalog: Give each service a unique name, duration, price display if you choose to mention one, and the calendar or staff assignment.
- Hours: Specify ordinary hours by weekday and list closure dates separately. Avoid relying on the host machine’s local time if the business operates elsewhere.
- Buffers: Apply preparation, cleanup, travel, or recovery time consistently. Third-party guides cite a 15-minute buffer as an example, not as a universal requirement.
- Lead time: Block last-minute bookings according to your actual staffing policy. A minimum lead time must be evaluated in the calendar’s time zone and the client’s displayed time zone.
- Booking horizon: Limit how far ahead the agent may create events so that distant calendar changes do not produce unwanted commitments.
- Capacity: State whether one staff member, a pooled team, or multiple simultaneous resources are required.
- Escalation: Define when the agent must stop and hand the conversation to a person, such as a complex group booking, accessibility request, payment question, or conflicting records.
Use plain language, then test edge cases
Whether the configuration is a file or a skill prompt, write rules that a nontechnical operator can review. Include examples of valid and invalid bookings, but do not allow examples to override the calendar. Test appointments at the opening and closing boundary, across midnight, on a holiday, immediately before another event, and during a daylight-saving transition.
Connect the client messaging channel
Install and authenticate one channel at a time. Confirm that inbound messages reach the intended OpenClaw agent and that outbound replies return to the same conversation. A booking skill should know which channel identity maps to the client record; otherwise, a reschedule request may be treated as a new client.
Channel decisions
| Channel type | Useful for | Points to verify |
|---|---|---|
| Business messaging | Existing client conversations and reminders | Business-account rules, opt-in, message windows, and delivery status |
| Team chat | Internal scheduling or staff-assisted booking | Workspace membership, private data visibility, and who can authorize cancellations |
| SMS | Simple client notifications | Consent, country-specific messaging rules, number ownership, and delivery failures |
| Web chat | Public booking entry point | Session identity, spam controls, transcript retention, and handoff to a human |
Ask clients to confirm the time zone whenever the channel does not reliably provide a location. Store the canonical appointment time in the calendar and render it in the client’s agreed zone in every confirmation.
Set up confirmations and reminders with Automations
OpenClaw’s built-in automations scheduler supports one-shot work, recurring intervals, cron expressions, and inbound webhook triggers. For appointment scheduling, create a reminder only after the event has been successfully created and retain the event identifier so a cancellation or reschedule can invalidate the old reminder.
Reminder pattern
A third-party guide describes reminders 24 hours and one hour before an appointment, followed by a post-meeting follow-up. Those intervals are examples; choose times that fit your service and client expectations. Each reminder should look up the current event before sending so a moved or cancelled appointment does not generate stale messages.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- When the booking is confirmed, save the event identifier, client channel, destination, time zone, and consent status.
- Create one-shot jobs for the selected reminder times, or run a recurring job that finds upcoming events and sends only unsent reminders.
- Deliver the message to the client channel, an HTTP POST webhook, or no external destination when another system handles delivery.
- Record delivery success, failure, and retry state without storing more client content than necessary.
- On cancellation or rescheduling, cancel or mark obsolete any pending jobs tied to the original event.
The official automation page and CLI reference use different command terminology: one documents an openclaw automations edit command, while the CLI reference lists cron as a utility command. A third-party tutorial shows openclaw cron add. Because these sources conflict, consult the current official CLI reference installed with your OpenClaw version before running any command. Do not copy a command from an older tutorial into production without checking its help output and testing it in a nonproduction workspace.
Webhook-based delivery
Use a webhook when a separate service is responsible for sending messages or recording reminders. Authenticate requests, validate the payload, reject replayed event identifiers, and set a timeout and retry policy. A webhook that returns an error should not silently mark the reminder as delivered.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Test before allowing live bookings
Run the complete workflow with test calendars and test recipients. Third-party guides identify time-zone errors as the most commonly cited pitfall, but every state transition deserves a test.
Minimum test matrix
| Scenario | Expected result |
|---|---|
| New booking during open hours | The agent offers a real free slot, obtains confirmation, creates one event, and sends the confirmation. |
| Overlapping request | The occupied period is not offered; the agent proposes alternatives. |
| Insufficient lead time | The request is rejected or moved to the first permitted slot. |
| Buffer collision | A slot that would touch the configured buffer is unavailable. |
| Reschedule | The replacement is confirmed before the old event is changed, and old reminders are removed. |
| Cancellation | The exact event is cancelled and no later reminder is sent. |
| Daylight-saving transition | The displayed local time and stored calendar time remain consistent. |
| Expired authentication | The agent reports that it cannot complete the booking and alerts an operator. |
| Duplicate confirmation | Retries do not create duplicate events or duplicate reminders. |
| Human handoff | Complex or unsupported requests reach a person with the conversation context. |
Verify actual delivery times
Use test appointments close enough to the reminder windows that you can observe them. Compare the calendar’s time zone, the host operating system’s time zone, the scheduler’s interpretation, and the channel’s displayed time. Check logs for the event identifier and delivery result, but redact tokens and private client details before sharing logs.

Security, privacy, and reliability controls
Protect credentials
Keep OAuth tokens, channel credentials, webhook secrets, and calendar identifiers out of chat messages and publicly readable files. Rotate credentials when a staff member leaves or a device is compromised. Restrict shell and server access to operators who need it.
Minimize personal data
Collect only information required to provide the appointment. Do not place sensitive medical, financial, or identity information in an event title. Use private event descriptions and define a retention period for chat transcripts and reminder logs.
Prevent prompt-based policy bypasses
A client may ask the agent to ignore the buffer, reveal another person’s appointment, or book outside operating hours. Treat booking rules and calendar permissions as authoritative. Require explicit operator approval for exceptions instead of allowing a message to rewrite the policy.
Monitor failures
Alert on repeated calendar authentication failures, scheduler errors, webhook rejection, duplicate-event attempts, and a sudden rise in unanswered booking requests. Keep a manual booking route available while the automation is unavailable.
The Tool Desk
Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Troubleshoot common failures
The agent offers times that are not free
Check that every staff calendar is included, that busy events are visible to the authenticated account, and that buffers are applied in the same time zone as the calendar. Re-run the availability query after another user books a slot; stale cached availability can cause a race.
A reminder arrives at the wrong time
Compare the event time zone, OpenClaw host time zone, scheduler configuration, and channel rendering. Recreate the reminder from the event’s canonical time rather than from a client’s informal phrase such as “tomorrow morning.”
A booking is created twice
Make event creation idempotent. Store a request or conversation identifier and check for an existing event before retrying after a timeout. Ensure webhook retries cannot create a second event.
The command shown in a tutorial fails
Do not assume the tutorial matches your installed release. The documented terminology for automation editing and cron utilities conflicts across sources. Run the version-specific help and consult the current official CLI reference; if the feature is not documented for your release, use the supported interface or postpone deployment.

The calendar connector is missing
The official documentation reviewed here does not confirm a built-in calendar integration page. Verify whether the required provider connector is an official skill, a maintained community integration, or unavailable in your release. Do not grant credentials to an unverified package without reviewing its code, permissions, maintenance history, and data handling.
Choose an implementation pattern
| Pattern | Best fit | Trade-off |
|---|---|---|
| Chat agent plus direct calendar access | Small teams that want conversational booking | Simple user experience, but calendar permissions and policy prompts need careful control |
| Chat agent plus webhook scheduler | Teams with an existing notification or CRM service | Flexible delivery and logging, but adds another service and failure point |
| Recurring scheduler scan | Reminder systems that must recover from missed one-shot jobs | More resilient to restarts, but requires deduplication and careful polling intervals |
| Human approval for final booking | High-value, regulated, or complex appointments | Lower automation and slower confirmation, with stronger oversight |
Start with one service, one calendar, one channel, and a small test group. Add more staff, services, and channels only after the first flow has reliable time-zone handling, idempotent event creation, and observable reminder delivery.
What is confirmed and what still needs verification
OpenClaw’s self-hosted gateway model, supported channel concept, skills, and built-in automations scheduler are described in official documentation. The scheduler’s one-shot, recurring, cron, and webhook-triggered capabilities and its channel, webhook, or no-delivery options are also documented.
The exact calendar connector, the “gog” skill described by one third-party guide, the booking_rules.yml filename, and the command examples shown in tutorials are not confirmed by the official material reviewed here. Calendar provider support should therefore be treated as provider- and version-dependent until you verify it in the current documentation. No independently published statistic establishes a particular reduction in no-shows or other performance gain from OpenClaw appointment automation.
