How to Audit an ATS-Friendly Resume Template: Headings, Text Extraction, and Scanner Limits

A practical ATS resume audit checks clear headings, clean text extraction, and truthful job-description keywords. It can reveal risks, but not certify a template for every employer’s system.

A resume template cannot be called ATS-friendly just because it looks clean—or because its headings sound familiar. A useful audit checks whether the document’s text remains readable in a simple extraction test, whether its sections are easy to recognize, and whether its content truthfully reflects the job description. Those checks can identify warning signs, but they cannot prove that a particular employer’s applicant tracking system will parse the resume correctly.

What this audit can—and cannot—establish

Applicant tracking systems (ATS) help employers collect, sort, and review applications. The University of Texas at Austin Career Services describes systems that may compare resumes with job descriptions, but employer workflows and software differ; that description is guidance, not a specification for every ATS. The audit described here reports zero network references, three heading vocabularies, and zero scanner tests. It does not identify the templates, explain what “network references” means, or name the heading sets. There is therefore no basis to rank those heading vocabularies or say that any template passed or failed a scanner.

“ATS-friendly” is best treated as a design goal, not a certification. A vendor scanner can report what that specific service detects; its result is not proof of compatibility with every employer system. Jobscan describes parsing as identifying resume segments such as work experience, education, and skills. Jobscan’s explanation of ATS resume parsing is useful context, not evidence that a particular template succeeds across platforms.

How to compare the three heading vocabularies

Because the three sets of headings are not supplied, compare the actual labels in the templates rather than assuming what they are or declaring a universal winning phrase.

Recognizability

Prefer labels that make the section’s purpose plain—for example, a heading that clearly signals employment history, education, or skills. Parsing software may identify sections by their content and structure; clear labels give both software and people a more direct cue. This is a practical criterion, not a claim that every ATS requires an exact heading.

Consistency

Check whether headings follow a predictable hierarchy and naming style throughout the document. Avoid relying on decorative wording, unexplained abbreviations, or visual treatment alone to show where one section ends and another begins.

Truthful relevance

Use terms from a job description only when they accurately describe your qualifications and experience. UT Austin advises tailoring resumes to the specific job and identifying relevant keywords. The University of Victoria likewise cautions against keyword overstuffing and hidden text. University of Victoria resume guidance.

Run a practical template audit

  1. Inspect the layout. Look for text placed in headers or footers, columns, tables, graphics, text boxes, or other objects that may complicate extraction. UT Austin cautions against tables, columns, graphics, objects, LaTeX, and design websites in its resume guidance. Iowa State LAS Career Services also advises avoiding templates and layout elements that may not parse. UT Austin resume guidance; Iowa State LAS Career Services resume guidance.
  2. Use the file format requested by the employer. Do not assume one format is always preferred; follow the instructions for the application. Keep a copy for testing if you want to inspect extraction.
  3. Check the extracted text. Select and copy the resume into a plain-text editor, or save a separate copy as plain text. Read it from top to bottom. The University of Victoria recommends a plain-text check to catch unreadable elements, and Indeed similarly recommends copying resume text into a simple editor. University of Victoria resume guidance; Indeed’s ATS resume template guidance.
  4. Look for extraction problems. Confirm that contact details, section labels, dates, employers, and bullet points remain present and understandable, and that the section order still makes sense. Missing or jumbled text is a reason to simplify the layout and check again.
  5. Tailor the content carefully. Adjust relevant wording to the job description when it truthfully matches your background; do not add unsupported skills or hide keywords in the document.
  6. Interpret scanner results narrowly. If you use a commercial resume scanner, identify the service and what it checked. Report its result as that service’s assessment, not as a general ATS pass.

What a plain-text check tells you

A plain-text extraction check is a useful first-pass screen: it can reveal text that disappears, appears in the wrong order, or becomes difficult to interpret when visual formatting is removed. It does not recreate every employer’s software, configuration, or application workflow. A clean result is encouraging, not a guarantee of successful parsing.

Choosing a template when advice differs

Career-service recommendations are not identical. UT Austin provides editable Word and Google Docs resume templates and recommends chronological organization while cautioning against several complex layout elements. Iowa State LAS says there is no single definitive resume format and advises avoiding templates and layout elements that may not parse. These are cautious recommendations, not a universal compatibility guarantee.

For a straightforward application document, prioritize a clear reading order, conventional section labels, and text that remains intelligible when copied out of the file. If a template’s design depends on columns, graphics, or positioned text, test its extraction carefully and consider a simpler version when the result is confusing. Preserve the substance of your experience; the goal is readable, relevant information, not keyword stuffing.
