Identify the exact data and actions requested, choose the narrowest scope, read retention and training disclosures, avoid long-lived credentials, and verify how to revoke access. Review three separate layers: the provider’s authorization, the agent’s ability to perform actions, and the service’s handling of retrieved data.
What you are actually authorizing
An AI agent connection can expose more than the single task you have in mind. A request to “organize my inbox,” for example, may involve reading message bodies and attachments, creating labels, archiving mail, sending replies, or changing account settings. The agent’s description is not a permission statement. The consent screen issued by the account provider is the authoritative place to see the scopes being granted.

Write down the intended task before you approve anything. Then name the account, data categories, and actions that task genuinely requires. This turns a vague question—“Is this agent safe?”—into a reviewable authorization decision.
Recommended Free Tools
- Account: Identify the specific mailbox, calendar, file store, contact directory, or other service.
- Data: List the records the agent could retrieve, including message content, attachments, metadata, document contents, and personal details.
- Actions: Record whether it can only read, or can also create, edit, send, delete, share, purchase, or change settings.
- Duration: Determine whether access is one-time, task-limited, session-based, or ongoing until manually revoked.
OpenAI’s developer security guidance summarizes the governing principle as least privilege: request only the scopes, storage access, and network permissions needed. Apply that principle even when the consent screen uses friendly labels instead of technical OAuth scopes.

How do I check an AI agent’s privacy before connecting my accounts?
1. Inspect the provider consent screen
When the account provider asks you to approve the connection, read every listed permission. Do not infer access from the agent’s marketing copy or from the task name. Look for separate entries for profile information, message or file content, contacts, and administrative settings. An entry that sounds broad—such as “access your files” or “manage your account”—deserves clarification before approval.
Capture the account identity shown on the screen. Authorizing the wrong work or personal account is an easy mistake, particularly when several browser sessions are open. If the provider lets you choose individual folders, calendars, labels, or repositories, select only those needed for the task.
2. Translate scopes into real consequences
| Permission pattern | What it can allow | Questions to ask |
|---|---|---|
| Read or view | Retrieve messages, documents, events, contacts, or metadata | Which records are visible? Are attachments and deleted items included? |
| Create or edit | Add or change drafts, events, files, labels, or records | Can the agent overwrite existing information? Is version history available? |
| Send, publish, or share | Transmit messages, invitations, files, or posts to other people | Does it require confirmation immediately before sending or sharing? |
| Delete or move | Remove, archive, relocate, or trash records | Is the action reversible, and for how long? |
| Settings or administration | Change forwarding, access, security, billing, or other account controls | Why is this needed, and can the task work without it? |
Read access is not automatically harmless. A mailbox, drive, or contact list can contain credentials, financial details, confidential correspondence, and personal information. Write access adds the possibility of corruption or unauthorized changes. Sending, sharing, deleting, purchasing, and settings changes are higher-impact because they can affect other people or be difficult to undo.
3. Reject unnecessary breadth
If an agent requests write access for a read-only task, stop and look for a narrower mode, a different workflow, or a manual export. For a one-time job, prefer a one-time grant or a temporary connection over permanent access. If the provider offers folder-, project-, or calendar-level scope, do not approve an account-wide alternative merely because it is faster.
What permissions should I give an AI agent?
Give the minimum set that completes the stated task, and no more. A useful sequence is to start with read-only access, test the result, and add a narrowly defined write capability only if the task demonstrably requires it. Keep high-impact actions—sending, sharing, deleting, purchasing, or changing settings—separate from ordinary editing whenever the product allows.
Use a task-to-permission map
| Task example | Usually necessary | Usually excessive unless specifically justified |
|---|---|---|
| Find an event in a calendar | Read the relevant calendar | Edit events, invite attendees, or manage calendars |
| Summarize selected documents | Read the selected files | Read the entire drive, share files, or delete documents |
| Draft an email | Read the information needed and create a draft | Send mail, alter mailbox rules, or access unrelated folders |
| Clean up duplicate contacts | Read contacts and edit the specified contact group | Delete all contacts, export the address book, or change account settings |
These are decision examples, not universal permission names. Providers use different scope taxonomies, and a single label can bundle several capabilities. Always confirm the actual consent text for the account you are connecting.

Provider authorization and agent action controls are different
Two settings can look similar while controlling different things. The provider authorization determines whether the agent has an account token or other approved connection at all. The agent’s action setting determines what it may do with an already-authorized connection, such as whether it must ask before sending a message.
Changing an approval or action setting does not necessarily revoke the underlying provider authorization. ChatGPT’s app documentation illustrates this distinction: changing an app permission does not disconnect the provider account. The same separation can exist in other products, even when labels differ.
Check both layers
- Authorization layer: Which account scopes were granted, when they expire, and where the provider lets you revoke them.
- Execution layer: Which actions the agent is allowed to attempt automatically, and which require a confirmation prompt.
- Data layer: What the service stores or sends for processing after retrieving information from the account.
An approval prompt is valuable, but it is not a substitute for narrow provider scopes. A prompt can be bypassed through a mistake, a compromised session, or a product change; excessive underlying access remains excessive.
Can the agent act without asking?
Find out exactly when the agent pauses for approval. A useful prompt identifies the specific action, destination, content or records affected, and connected account. “Allow agent to continue?” is weaker than a prompt that says it will send a named message to a named recipient or delete a defined set of files.
Actions that should normally require deliberate confirmation
- Sending messages or invitations.
- Sharing files or changing their audience.
- Deleting, overwriting, or moving records in bulk.
- Purchasing, submitting forms, or accepting commitments.
- Changing passwords, forwarding rules, security settings, or account membership.
Read the approval request each time rather than approving a standing “always allow” option for high-impact operations. If the product cannot distinguish a low-risk draft from a consequential send or delete action, treat that limitation as part of the risk assessment.
Read the privacy policy for the data lifecycle
After retrieval, the information may pass through the agent’s logs, storage systems, model-processing pipeline, support tools, or service providers. Before connecting a sensitive account, locate clear answers to each of these questions:

- Retention: How long are prompts, retrieved records, tool traces, screenshots, and outputs kept?
- Model improvement: Are your inputs or connected data used to train or improve models? Is there an opt-out, and does it apply to all relevant data stores?
- Deletion: Can you delete a conversation, task history, cached copy, or account connection separately? What delay applies?
- Logging: Which events are recorded, and can administrators or support personnel view them?
- Human and vendor access: Can authorized staff, contractors, or service providers access content for security, support, abuse prevention, or other stated purposes?
- Location and transfer: Does the policy identify processing regions or cross-border transfers that matter to your organization?
OpenAI’s ChatGPT agent documentation states that agent content, including screenshots, may be accessed by authorized personnel and service providers for specified purposes. That is a ChatGPT-specific disclosure; it is not evidence that every agent handles content the same way. Evaluate the exact service policy you intend to use.
If a material point is unclear—especially retention, training use, deletion, or human access—treat it as unresolved. Do not connect a sensitive mailbox, health record, legal archive, or confidential company repository until the provider answers the question or you have an approved risk decision.
How credentials and tokens change the risk
Many connections use bearer tokens rather than asking the agent to see your password. That is generally preferable, but a bearer token must still be protected: anyone who obtains it may be able to present it as the authorized client. NIST warns that a person, system, or service with access to a bearer token can present it.

- Choose narrow scopes and an audience restricted to the intended service.
- Prefer dynamic or time-limited credentials when the provider supports them.
- Use a one-time authorization for a one-time task instead of an indefinite grant.
- Never paste passwords, API keys, session cookies, multifactor recovery codes, or private keys into an agent prompt.
- Do not upload a credential file as a shortcut for connecting an account.
NIST notes that tightly scoped, audience-restricted, dynamic credentials are available today. If a product asks for a long-lived token with broad access when a narrower mechanism exists, ask why before proceeding.
Broad access also increases the blast radius of a compromised or misbehaving agent. NIST cautions that an agent with broad access may use unexpected tools or data, causing damage such as deleting entire datasets or codebases. Limit both what the token can reach and what the agent can do with it.
A step-by-step privacy audit before you click Allow
- Define the task. Write the desired outcome in one sentence and list the minimum records the agent must inspect or change.
- Identify the account. Confirm the provider, account identity, organization, and data region if those matter to you.
- Open the current consent screen. Read every scope or permission instead of relying on the agent’s description. Stop if the screen is unavailable or unexpectedly broad.
- Classify each capability. Mark it read, create, edit, send, share, delete, or settings-changing. Separate high-impact actions from routine retrieval.
- Narrow the grant. Select specific folders, calendars, projects, or labels; choose read-only or temporary access where possible.
- Review execution controls. Determine which actions require confirmation and whether prompts name the account, target, and exact operation.
- Read data-handling terms. Record retention, training or model-improvement use, deletion, logging, and human or vendor access. Do not proceed with an unanswered material question for sensitive data.
- Check credential properties. Prefer scoped, audience-restricted, time-limited tokens. Refuse requests to paste secrets into chat.
- Record the exit path. Before connecting, find the agent’s disconnect control and the provider’s revoke-authorizations page. Note whether both are required.
- Run a low-risk test. Start with a non-sensitive folder or test account. Confirm what appears in logs, what prompts appear, and whether the resulting data is accurate.
- Recheck after the task. Remove temporary access, delete retained task data where supported, and review provider activity logs for unexpected use.
How to audit a work account
Personal consent may not be sufficient for an organization-managed account. Ask the administrator or security team which policies apply before authorizing an agent to access company data.

- Confirm that the organization permits the agent and the connected data class.
- Ask how retention, legal holds, deletion, and audit exports are handled.
- Verify that data-loss prevention (DLP) rules still apply to the agent’s reads and writes.
- Determine whether administrators can review prompts, tool calls, approvals, and provider activity.
- Use a test account or limited project when policy allows, rather than a tenant-wide connection.
Microsoft documents that Microsoft 365 Copilot agents operate within existing permissions and that DLP, retention, and audit controls remain relevant. The exact behavior and log detail depend on service configuration, so an administrator should verify the settings for the specific tenant and agent.

How to compare two AI agents on privacy
Do not compare labels such as “secure,” “private,” or “approval required” in isolation. Put both products through the same questions and document the answers.
| Comparison axis | What to record | Better outcome |
|---|---|---|
| Data and actions | Accounts, data categories, read/write scopes, and high-impact operations | Narrow, task-specific access |
| Authorization granularity | Folder, project, calendar, or account-wide scope; one-time or ongoing duration | Fine-grained and time-limited grants |
| Approval behavior | Which operations pause and how specific each prompt is | Explicit confirmation for send, share, delete, purchase, and settings changes |
| Retention and training | Storage period, model-improvement use, opt-outs, and deletion workflow | Clear, limited retention with a usable deletion process |
| Human and vendor access | Who may view content and for which purposes | Specific purposes, limited personnel, and transparent controls |
| Credential handling | Token type, audience restriction, expiry, and secret-storage practices | Scoped, dynamic, short-lived credentials |
| Revocation | Agent disconnect steps, provider-side revoke steps, and confirmation of completion | Simple, visible, independently verifiable removal |
A product that provides more approval prompts is not automatically safer if it still requests broad provider scopes or retains retrieved content indefinitely. Evaluate all seven axes together.
Can I revoke an AI agent’s access to my account?
Usually, but the exact path depends on the agent and account provider. Plan for two separate operations: disconnect the connection inside the agent, then revoke the authorization at the provider if it remains listed. Removing a conversation or disabling an action permission may not do either.
When you should revoke immediately
- The agent requested permissions unrelated to the task.
- You cannot find a clear retention or deletion policy.
- A token, password, API key, or recovery code may have been exposed.
- The agent performed an unexpected read, write, share, or settings change.
- The service or organization policy no longer permits the connection.
After revocation
- Use the agent’s current Connections, Apps, Integrations, or equivalent control to disconnect it.
- Open the account provider’s authorized-apps or connected-services page and revoke the agent there too.
- Rotate any credential that could have been exposed; revoke active sessions or tokens when the provider supports it.
- Review account activity, sent mail, sharing history, file changes, and administrator logs for unexpected actions.
- Request deletion of retained agent data where the policy provides that right, and preserve the confirmation.
For ChatGPT, changing an app’s action permission alone does not disconnect the provider account. Verify the provider-side authorization separately.

Common audit mistakes and how to correct them
“It only needs to read, so any read scope is fine.”
Correction: limit the account area and data type. Read access to an entire mailbox or drive can reveal far more than the task requires.
Best Value
“The approval prompt protects me.”
Correction: treat approval as an execution safeguard, not a replacement for least-privilege provider authorization. Keep the underlying scope narrow.
“Deleting the chat deletes the account access.”
Correction: check the agent connection and provider authorization independently. Conversation deletion and token revocation are different controls.
“A token is safe because it is not my password.”
Correction: protect bearer tokens as credentials. Whoever obtains one may be able to present it until it expires or is revoked.
“The privacy policy says data is secure, so retention is covered.”
Correction: look for concrete retention periods, model-improvement use, deletion mechanics, logging, and human or vendor access. General security language does not answer those questions.
“The agent works inside my company account, so company controls automatically cover everything.”
Correction: ask the administrator how existing permissions, DLP, retention, and audit settings apply to this particular agent and tenant configuration.
A practical go/no-go decision
Proceed only when all three control layers are acceptable: the provider grant is narrow, the agent’s actions are constrained and confirmable, and the data policy is clear enough for the sensitivity of the account.
- Go: The task needs limited scopes, high-impact actions require specific approval, credentials are constrained, retention and deletion are documented, and you can verify revocation.
- Pause: A scope is broader than necessary, the service’s training or retention terms are ambiguous, or the exit path is difficult to find. Ask for clarification or test with non-sensitive data.
- No-go: The agent demands passwords or recovery codes, requires unexplained administrative access, cannot provide material privacy terms, or offers no reliable way to revoke access.
Revisit the audit when the task changes, the provider adds a new scope, the agent gains new tools, or the service updates its privacy and retention terms. An authorization that was reasonable for a one-time document summary may be inappropriate for continuous mailbox management.
