Use Users > Add New to create an account, assign the least powerful role that fits the person’s job, and select Add New User. The Users screen then lets you search and filter accounts, edit profiles, change one or several roles, and delete an account. When deleting, choose whether the person’s posts and links should be removed or attributed to another user. On Multisite, check whether the task requires a Super Admin rather than an individual site Administrator.

Understand the decision you are making
A WordPress user is an account plus a set of capabilities. A role bundles those capabilities, such as publishing, uploading media, moderating comments, changing settings, or managing other accounts. Changing a role therefore changes what the person can do, not merely how their name appears in the dashboard.

Start with the narrowest role that allows the work. Someone who only needs to read private material may need a Subscriber account; a writer who submits drafts may need Contributor; a writer who publishes their own work may need Author. Reserve Editor and Administrator for people whose responsibilities genuinely include broader content or site administration. In a network, distinguish a site-level Administrator from a Super Admin before granting access.
Add a new WordPress user
Open the Add New screen
- Sign in with an account allowed to create users.
- In the dashboard, open Users > Add New.
- Enter a unique username. Treat it as a permanent account identifier and avoid sharing one login between several people.
- Enter the user’s email address. WordPress requires the email to be unique; an address already attached to another account cannot be reused for a second user.
Complete the optional profile fields
You can add a first name, last name, nickname, display name, website and other profile information. These fields affect how the person is identified in the dashboard and, depending on the theme, how an author name is shown publicly. They do not replace the username or email requirement.

Set a password and role
Use WordPress’s generated password or enter a strong, unique password through the password control. Give the credentials to the person through a secure channel rather than placing them in a public message. Select the role that matches the account’s duties; the role is the permission boundary for the new user.
When a site permits public registration, WordPress uses the value in Settings > General > New User Default Role for accounts created through that registration flow. Review that setting whenever your membership policy changes. It is separate from the role you choose manually on the Add New screen.
Create the account
Select Add New User. If WordPress reports that the username or email is already in use, choose a different unique identifier rather than creating a duplicate identity. If the account is created successfully, it appears in the Users list and can be edited later.
Find and edit existing users
Open Users to view the account table. For a large site, use the search box with a username, name, email address or website. Use the role filter to narrow the list to Administrators, Editors, Authors, Contributors, Subscribers or another role installed by a plugin.

Open the username or select its row-level Edit link to update the account. The edit screen is where you can change profile information, password and role. Review the account’s role whenever responsibilities change; leaving a former contributor with publishing access creates an unnecessary permission grant.
Make changes to one person at a time when the account needs a different password, contact address or profile. For a common role change affecting several people, use the bulk workflow described below instead of editing each account separately.

WordPress defines six standard roles. The exact result can be extended by plugins, but these are the capabilities supplied by a normal installation. The Administrator description below refers to a single-site installation; Multisite has an additional network-level role and restrictions.

“A user’s role determines their capabilities,” as the WordPress Users documentation explains. Roles are not a substitute for a written access policy: a plugin can add capabilities or create custom roles, and a network can impose limits that do not exist on a standalone site.

Change one or several users’ roles
Change a single account
- Go to Users and open the username or its Edit link.
- Find the role selector on the profile screen.
- Choose the new role and save the account.
Check the person’s actual duties before promoting them. Moving an Author to Editor, for example, gives them the ability to work with other users’ content, while moving an Editor to Administrator adds site-administration capabilities that are unrelated to publishing.
Apply a role to several accounts
- Open Users.
- Tick the checkboxes beside the accounts that should receive the same role.
- In the bulk-actions control, choose Change role to.
- Select the destination role.
- Select Change (or the equivalent apply control shown by your WordPress version).
Bulk role changes are useful for a team onboarding or a policy correction, but verify the selected rows before applying them. A mistaken bulk promotion can grant publishing or administrative access to every selected account at once. If a person needs a different password or profile data, edit that account separately after the role operation.

Deletion is both an account decision and a content-ownership decision. Before selecting Delete, identify whether the person’s posts or links must remain available and under whose name they should appear.
- Open Users and locate the account. Search by username, name, email or website, or filter by role.
- Select the account and choose Delete.
- Read WordPress’s confirmation screen. It offers two outcomes for content owned by that user: delete the user’s posts and links, or attribute them to another user.
- Choose the attribution option when the work must stay published under a successor, editor or organizational account.
- Confirm the deletion only after checking that the selected destination user is correct.
Choosing deletion removes the account and its owned posts and links; choosing attribution preserves those items while changing their ownership to the account you select. This cannot be treated as a routine housekeeping click when the author’s archive, byline or links matter.

WordPress does not let the account currently logged in delete itself from this screen. Sign in with another authorized account if the account being removed is the one you are using.

Single-site installations
On a standalone site, Administrator is the highest standard site role. Administrators can have broad control, including installing or updating plugins and themes, editing users, and creating or deleting users. Grant it only to people who are responsible for the whole installation, not merely for publishing articles.

Multisite divides control between individual sites and the network. Super Admin is the network-level role. Several network and user-management capabilities belong to Super Admin, while a site Administrator’s powers are limited to that site and are not identical to the single-site Administrator role.
Before promoting someone on a network, ask whether they need to administer one site or the entire network. A site editor or site Administrator may be sufficient for content operations; granting Super Admin for a single-site task exposes network-wide controls and user administration. If an action is unavailable to the site Administrator, have a Super Admin perform it or adjust the network policy deliberately.
Automate user administration with WP-CLI
WP-CLI’s wp user command family is useful for repeatable setup, role changes and imports. Run commands from the WordPress installation directory with an operating-system account that is allowed to execute WP-CLI. The exact options can change, so check the current official command reference for the WordPress and WP-CLI versions on your server; that reference is regenerated at every release.
Create a user
wp user create username [email protected] --role=author --user_pass='use-a-strong-unique-password'The positional values identify the username and email, while --role assigns a role during creation. The email still has to be unique. Avoid putting a reusable password directly in shell history; use a generated secret and your environment’s secure handling method where possible.

Set, add or remove roles
wp user set-role username editor
wp user add-role username author
wp user remove-role username authorset-role replaces the user’s current role assignment with the specified role. add-role and remove-role are useful when an installation or plugin supports more than one role assignment. Confirm the resulting capabilities after a change, especially when custom roles are present.
Import users from CSV
wp user import-csv users.csvUse the current command documentation to verify the accepted CSV columns and optional flags before preparing a file. Test an import with a small, non-production dataset first, then review the created accounts and roles. Keep the CSV protected because it may contain personal data or credentials.
Make scripts safe to run
- Back up the database and document the intended role mapping before a bulk operation.
- Run the script in a staging or otherwise safe environment first.
- Use a dry run or a small sample when the command supports one.
- Log which accounts were created, changed or removed, without writing passwords to the log.
- Recheck the Users screen after the command and correct any unexpected role or ownership result.
Practical account-management checks
When a new user cannot be created
- Check that the username is not already in use.
- Check that the email address is not attached to another account.
- Confirm that the account you are using is allowed to create users.
- On Multisite, determine whether the operation requires Super Admin access rather than site-level Administrator access.
When a user cannot perform an expected task
- Open the profile and verify the assigned role.
- Compare the requested action with the role’s capabilities: publishing, editing another author’s work, uploading files, comment moderation, settings and user management are separate permissions.
- Check whether a plugin supplies a custom role or changes a capability.
- On Multisite, verify that the person is working in the intended site and is not being blocked by a network-level restriction.
When removing an account
- Confirm whether its posts and links must remain published.
- Choose a successor account before opening the deletion confirmation.
- Use attribution when the content must survive under another owner.
- Use a different authorized login if you are trying to remove the account currently signed in.
A repeatable workflow for teams
- Write down the person’s responsibility: reader, draft writer, publishing author, content manager or site administrator.
- Map that responsibility to the least powerful built-in role that supports it.
- Create the account through Users > Add New, using a unique username and email and a strong password.
- Verify the role and ask the user to sign in and test only the tasks they need.
- Review roles when someone changes jobs or leaves. Use the bulk role tool for groups with the same change, and WP-CLI for documented, repeatable operations.
- For departures, decide content ownership before deleting the account, then attribute posts and links when they must remain available.
This approach keeps identity, capability and content ownership as separate decisions. It also makes an audit easier: each account has a named purpose, a deliberate role and a clear result when the account is removed.
