You can insert or delete rows and columns in Google Sheets without automatically losing every formula, but the result depends on what each formula references and where the change occurs. Use the row or column headers to make the edit, then check important formulas and totals—especially after deleting cells they reference.
Insert or delete rows and columns on a computer
These steps cover the desktop version of Google Sheets. You can use the header context menu or the Insert menu; Google documents both approaches in its instructions for adding or moving columns and cells.

- Select the row or column. Click its row number or column letter. To insert multiple rows or columns at once, select the same number of adjacent headers as the number you want to add.
- Insert at the intended position. Right-click the selected header and choose the insertion command for the position you need, such as inserting above or below a row, or left or right of a column. You can also use the Insert menu. The exact menu choices depend on whether you selected a row or a column.
- Delete only when you mean to remove the whole dimension. Select the row number or column letter, right-click, then choose the option to delete that row or column. Deleting removes its cells and contents and changes the sheet’s structure.
If you need to remove visible values but want to keep the row or column in place, clear the cell contents instead of deleting the entire row or column. Those are different edits; choose based on whether the surrounding layout should shift.
Why a formula can change—or break—after an edit
Formulas refer to cells or ranges, and inserting or deleting rows or columns changes the sheet structure around those references. Google documents how to add and edit formulas, but that does not mean every formula will continue to express the calculation you intended after every structural edit.

For example, a range formula such as =SUM(A1:A100) may behave differently from a direct expression such as =A1+A10 when rows in or around the referenced cells are changed. A Google Sheets Community Product Expert has described cases where deleting a referenced row can make a direct expression return #REF!, and where adding a row at the edge of a range may leave new data outside the calculation. This is community guidance, not an official guarantee; the community page also warns that its content may not be verified or up to date. See the discussion on adding or removing rows and columns without breaking formulas.
- Insertion location matters: a new row within a data range may be treated differently from one added just outside its boundary. Check that totals and lookups include the new record.
- Deletion location matters: removing cells a formula depends on can cause a broken reference or alter the calculation. Search important formulas for
#REF!and compare their results with what the sheet should calculate. - Other sheets matter too: formulas on different tabs may depend on the area you changed, so check those as well as formulas beside the edited rows or columns.
Check formulas after the change
Sheets recalculates dependent cells when edits occur, but recalculation only updates results based on the formula that remains. It cannot tell whether that formula still matches your intent. Google’s guidance on improving Sheets performance discusses recalculation; use these checks to catch structural mistakes:

- Review formulas that refer to the edited rows or columns, including formulas on other sheets.
- After inserting a record, verify that totals, lookups, and charts cover the new data.
- After deleting a row or column, look for
#REF!and confirm key results still use the intended cells. - For a consequential edit, compare key totals or results with the expected calculation before relying on the sheet.
Use table references for recurring structured data
If your data has headers and records that you regularly add or remove, a Google Sheets table may be a better fit than repeatedly maintaining hard-coded ranges. Google says table references use table and column names, and that those references update when data is added to or removed from the table. Its Google Sheets tables guide also describes tables as a way to apply structure and reduce repetitive formatting and data updates.

Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →| Approach | Works well when | What to check |
|---|---|---|
| Ordinary cell or range references | Your existing formulas already use cell addresses or ranges, or the data does not fit a table structure. | Confirm the references still cover the intended cells after each structural edit. |
| Table references | Your data is organized as a table with headers and you frequently add or remove records within it. | Table references update with data added to or removed from the table; review existing formulas rather than assuming they convert automatically. |
Table references address changes to data within a table; they are not a blanket guarantee for every sheet-wide row or column operation. Continue to inspect important formulas after structural edits.

Should you use a keyboard shortcut?
Google’s Google Sheets keyboard shortcut list includes commands for inserting and deleting rows and columns, but the key sequences vary by operating system and, in some cases, browser. For instance, the documented Windows/Chrome menu sequence for inserting rows below is Alt + I, then R, then B. Check Google’s current list for your own platform before relying on a sequence; the header context menu is the more portable workflow.
