How to Add Multiple Email Accounts on Windows Phone and a Windows 7 PC

Add email accounts separately on Windows Phone and a Windows 7 PC. See the legacy phone setup flow, IMAP-versus-POP trade-offs, and compatibility limits.

You can view several email accounts in one Windows Phone mail experience by adding each account separately under Settings > Email + accounts. That does not merge the accounts into one mailbox, and it does not configure a Windows 7 PC: each device needs its own setup. The phone steps below are historical instructions for Windows Phone 7, 7.5, 8, and 8.1, not a guarantee that a provider will still let an older phone sign in.

What “consolidate email accounts” means here

Adding multiple provider accounts lets you access them from the phone’s built-in email experience. It does not combine their addresses, messages, or mailboxes into a single account. If you also use a Windows 7 PC, configure the account separately on that computer; adding it to the phone does not set it up on the PC.

Microsoft documents the Windows Phone setup flow, but the cited documentation does not provide Windows Live Mail steps for Windows 7 or establish that a particular email client is currently supported on that operating system. Do not treat current Outlook for Windows instructions as Windows 7 instructions: Microsoft’s current Outlook setup page covers current Outlook versions, not Windows 7 support. Microsoft’s Outlook for Windows account setup guidance is not a Windows 7 setup guide.

Add an account on Windows Phone

  1. Open the App list, tap Settings, then tap Email + accounts.
  2. Tap Add an account, then choose the matching account type. Microsoft’s legacy guidance lists options such as Outlook/Outlook.com, Exchange for Microsoft 365 as directed by the instructions, Google for Gmail, Yahoo! for Yahoo Mail, or Other account.
  3. Enter the full email address and password, then follow any sign-in prompts. Two-step verification may require an additional identity check.
  4. If automatic setup fails, choose Advanced or Internet mail and enter the incoming and outgoing server names and protocol settings supplied by your email provider.
  5. Repeat the process for each account you want to access from the phone.

Microsoft’s Windows Phone email setup instructions cover Windows Phone 7, 7.5, 8, and 8.1. They describe the historical configuration flow; they do not confirm that every model or provider still accepts sign-ins from those devices. If a connection fails, check the provider’s current server and authentication requirements before trying manual setup.

Choose IMAP or POP for manual setup

When a provider supports both protocols, start by checking its IMAP settings if you want to read the same mailbox on more than one device. Microsoft explains that IMAP is generally suited to accessing accounts across devices, while POP downloads messages to a device and can leave them unavailable elsewhere. With POP, sent mail may be stored locally rather than appearing consistently across devices. Microsoft’s IMAP and POP overview explains the distinction.

Choice What happens Best fit
IMAP Designed to work with mailbox access across devices; use the provider’s current server settings. Checking the same mailbox from a phone and another device.
POP Downloads email to the device; messages may then be unavailable elsewhere, and sent mail may be kept locally. A local-download workflow where that behavior is acceptable.

On Windows Phone’s documented POP setup, email syncs, but calendar and contacts do not. The exact behavior and available options depend on the provider’s current settings.

Outlook.com settings and older-phone compatibility

Microsoft’s current Outlook.com settings page says POP and IMAP access are disabled by default and that Outlook.com requires Modern Auth/OAuth2. If access is enabled, Microsoft lists outlook.office365.com as the incoming host, with IMAP on port 993 and SSL/TLS, or POP on port 995 and SSL/TLS. These settings are specific to Outlook.com; do not use them for another provider. See Microsoft’s current Outlook.com POP, IMAP, and SMTP settings.

Those current authentication requirements may not work with some legacy mail clients. Microsoft’s setup instructions do not verify successful Outlook.com sign-in on any particular Windows Phone version, so compatibility should be treated as uncertain rather than assumed.

What to do on a Windows 7 PC

Keep the PC and phone as separate setups. Use only account-setup instructions that explicitly apply to the email program and operating system installed on the PC; the available Microsoft sources do not establish a Windows 7-specific Windows Live Mail procedure. Windows 7 support ended on January 14, 2020. Microsoft says unsupported Windows versions receive no software or security updates and recommends upgrading to a supported release. Microsoft’s Windows 7 lifecycle page gives the support status.
