How to Add Google Docs-Style Collaboration to WordPress (Without Leaving Gutenberg)

To collaborate on an existing WordPress draft with a Google Docs-like workflow, install Multicollab for the Gutenberg editor, configure its required WebSocket service, turn on Real-time Editing, and invite teammates with Share. It is not a Google Docs integration or sync service, and WordPress still requires the normal Save Draft workflow. If you need a separate shared document rather than a post or page, consider the WordPress.org Docs plugin instead.

Choose the workflow before installing anything

There are two different ways to add “Google Docs-style” collaboration to WordPress:

The phrase describes the interaction pattern—multiple people working in one browser-based document. Multicollab’s FAQ explicitly says it does not integrate or synchronize with Google Docs: the vendor’s FAQ should be treated as the authority for that limitation.

What Multicollab adds to Gutenberg

Multicollab is designed for editorial teams working on WordPress content. The vendor describes inline comments, suggested edits, mentions, guest collaborators, activity notifications and role-based permissions, with free and premium versions documented on its product overview. These are vendor-described capabilities, so confirm that the feature and plan you need are available in the release you install.

Live editing

With Real-time Editing enabled, collaborators can see one another’s changes as they work. The setup guide states, “WebSocket Service is required to use a real-time editing feature.” You can use Multicollab’s complimentary WebSocket service or provide your own WebSocket URL.

Comments and suggestions

Multicollab also supports review-oriented collaboration. Real-time Editing and Suggestion Mode cannot be used simultaneously, so choose live co-editing when people must see changes immediately, or switch to suggestions when an editor needs to propose changes for approval.

Requirements and compatibility checks

Before installation, check the current Multicollab requirements page for the release you intend to use. Its stated requirements include:

  • WordPress 6.4 or higher.
  • The Gutenberg block editor.
  • Administrator access to install and configure the plugin.
  • Logged-in users with WordPress permissions appropriate for collaboration.
  • No Classic Editor support.

Multicollab pages do not all state the same minimum versions: a technical FAQ mentions WordPress 5.6+ and recommends PHP 7.4+, while the homepage cites WordPress 6.4+, PHP 8.0+ and Gutenberg 14.2–21.9. Those differences may reflect different plugin versions or update dates. Do not infer compatibility from the older statements; verify the requirements page and the release notes for the exact version you will deploy.

How to enable real-time collaboration with Multicollab

  1. Confirm the editor and access. Make sure the site uses Gutenberg, meets the current requirements, and that an administrator can install plugins. Create or identify the WordPress roles that should be allowed to comment, suggest or edit.
  2. Install and activate Multicollab. In the WordPress dashboard, open Plugins → Add New, search for Multicollab, install the appropriate listing and activate it. Use the vendor’s requirements page to check that the listing and your WordPress version still match.
  3. Configure a WebSocket service. Open Multicollab’s settings and select either the vendor’s complimentary WebSocket service or your own WebSocket URL. Without this service, live editing will not work.
  4. Turn on Real-time Editing. Enable the Real-time Editing option in Multicollab settings. Do not enable Suggestion Mode at the same time; the two modes are mutually exclusive.
  5. Open the draft in Gutenberg. Edit the post or page normally. The live mode applies to the Gutenberg editing session, not to the Classic Editor.
  6. Invite collaborators with Share. Use the editor’s Share control to invite the logged-in users or guests permitted by your configuration. Give each person only the role and access needed for the review.
  7. Save the draft in WordPress. Collaborators can see live changes, but the setup documentation says the normal WordPress save process still applies. Select Save Draft (or the relevant update action) so the changes are stored.

Limits that affect an editorial team

  • Five active users: Multicollab’s real-time collaboration documentation states a limit of five concurrent active users.
  • No same-block simultaneous editing: two users cannot edit the same block at the same time. Divide work by block or section, or have one person wait before changing that block.
  • Save is still manual: seeing a change on screen does not replace saving the WordPress draft.
  • Live mode versus suggestions: Suggestion Mode cannot run concurrently with Real-time Editing.

These are product limits, not independent performance benchmarks. The five-user figure comes from Multicollab’s real-time collaboration page, last updated December 8, 2025: Real-time collaboration.

When the WordPress.org Docs plugin is a better fit

The separate Docs plugin listing focuses on shared documents rather than adding collaboration controls to an existing post or page. It lists access through a share link, email invitations or existing WordPress users. Its listing says real-time co-editing requires the Gutenberg plugin or WordPress 7.0.

The directory entry is release-specific: it reports WordPress 6.9 or higher and tested up to 6.9.7 for the listed release. WordPress.org listings change, so open the live entry immediately before installation and confirm the current “Requires WordPress,” “Tested up to” and editor requirements.

Troubleshooting common collaboration failures

Real-time changes do not appear

  • Check that a WebSocket service is configured and reachable.
  • Confirm Real-time Editing is enabled in Multicollab settings.
  • Verify that everyone is in the Gutenberg editor and has the required logged-in permissions.
  • Check that the site, plugin and browser versions meet the current vendor requirements.

A collaborator cannot edit a block

Another user may already be editing that block. Multicollab does not allow two people to edit the same block simultaneously; coordinate work on different blocks or wait until the first edit is complete.

Changes disappeared after closing the editor

Live visibility is not the same as persistence. Return to the draft and use WordPress’s Save Draft or Update action before leaving the editing session.

Suggestion Mode will not activate

Turn off Real-time Editing first. The two modes cannot operate together.

Security and operating practices

  • Use individual WordPress accounts rather than sharing administrator credentials.
  • Assign the least-privileged role that supports each person’s task.
  • Prefer named invitations over unrestricted links when the document contains unpublished or sensitive material.
  • Test the WebSocket configuration on a staging site before enabling it for a busy production newsroom.
  • Define who is responsible for the final save, editorial approval and publication.

Bottom line for WordPress teams

Use Multicollab when the source of truth must remain a Gutenberg post or page and your team can work within its WebSocket, five-user and same-block limits. Use the Docs plugin when the primary object is a separately shared document. Neither option turns WordPress into Google Docs or provides Google Docs synchronization, so choose based on where the content should live and how your team reviews it.
