Start with a narrow, read-only source, preserve user-level permissions, and test the setup with accounts that should and should not see the same information. An enterprise product label or vendor commitment does not make every configuration safe.
What “adding context” means—and where the risk comes from
Context is company information an AI service can use to ground an answer: documents, email, calendars, chats, meetings, contacts, or other connected knowledge sources. For example, Microsoft says Microsoft 365 Copilot uses Microsoft Graph to access organizational content and ground responses in those kinds of sources. The value of that context depends on whether the information is current, relevant, and governed correctly. Microsoft Learn: Data, Privacy, and Security for Microsoft Copilot

Connecting a source does not by itself create a safe boundary. If a repository already has overly broad access, AI search may make sensitive material easier to discover. Risk also depends on which account is making a request, which connector or agent is involved, what data leaves the source, how the provider handles it, and whether results can flow into exports or downstream actions.

Start by checking source permissions
Treat the source system’s authorization rules as the first control, not as something an AI product can repair automatically. Microsoft says Copilot surfaces organizational data a user has at least view permission to access and that Semantic Index honors identity-based access boundaries. OpenAI says Company Knowledge respects permissions in connected apps. These are product statements; verify that the behavior holds for your specific tenant, source, account configuration, and connector before rollout. Microsoft says its Copilot protections can include existing identity and permission controls, sensitivity labels, retention policies, and auditing; particular controls and policies vary by subscription. Microsoft also says that when Microsoft Purview Information Protection applies to encrypted content, Copilot honors the applicable usage rights. Check the actual subscription and configuration rather than assuming every control is available or enabled. Microsoft Learn: Enterprise data protection in Microsoft Copilot and Microsoft Copilot Chat
Choose an integration that matches the use case
Prefer a supported, company-approved integration with the smallest useful scope. A read-only document source is a more contained starting point than a connector that also reaches email, chat, or systems that can take action. Add broader sources only when the use case requires them, and review agents and third-party apps separately: Microsoft notes that connected agents and services may have their own terms and privacy statements, and that administrators can inspect and control agent permissions and data access. Use provider documentation as a starting point for questions to verify, not as a substitute for reviewing your own configuration. These examples illustrate the scope of published commitments; they are not a security ranking.
| Example | Documented context and permission behavior | Documented data-use or boundary details |
|---|---|---|
| Microsoft 365 Copilot | Microsoft describes grounding through Microsoft Graph, including organizational documents, email, calendars, chats, meetings, and contacts. It says users see data they have at least view permission for and that Semantic Index honors identity-based access boundaries. Microsoft Learn | Microsoft says prompts, responses, and Graph data accessed through Copilot are not used to train foundation models. Applicable protections and controls vary by subscription. Microsoft Learn |
| OpenAI Company Knowledge | OpenAI says Company Knowledge respects connected-source permissions and limits retrieval to information a member is authorized to access through an individually authorized account or supported administrator-managed connection. Availability depends on eligibility, supported sources, configuration, account connection, and sync-region support. OpenAI Help Center | OpenAI says ChatGPT Business, Enterprise, and Edu workspace data is not used to train models by default. OpenAI Help Center |
| Gemini Enterprise with VPC Service Controls | Google Cloud documents controls for Gemini Enterprise and connected enterprise data, including perimeter ingress rules and access levels that can use device and operating system, IP address, or identity conditions. The cited documentation does not state the same user-level retrieval-permission behavior as the Microsoft and OpenAI sources above. Google Cloud Documentation | Google Cloud describes service perimeters as a way to mitigate data-exfiltration risk. A perimeter can block public access except where ingress is allowed and can require administrators to permit sources and egress domains before creating new data stores. The cited page does not state a model-training policy. Google Cloud Documentation |
For any provider, verify the exact product, subscription, connector, and contract terms for prompt and retrieved-content use, retention and deletion, residency and processing, audit coverage, administrative controls, and supported source behavior. OpenAI describes encryption, enterprise access management, retention controls, and residency or processing options for eligible products and customers; availability is product- and eligibility-dependent, and storage at rest is distinct from inference or processing location. Microsoft describes its own commercial terms and service protections. Do not generalize one provider’s statement to another product, plan, connector, or agent. Limit connected data and the paths it can take
After selecting a supported integration, limit the exposure surface on both the application and network sides. Use identity-aware access and restrict connected users, sources, app permissions, and egress to what the use case needs. Where the platform supports them, service perimeters and allowlists can constrain which projects, sources, or domains are reachable; they complement source authorization rather than replacing it.
Google Cloud’s Gemini Enterprise documentation illustrates the operational trade-off: a VPC Service Controls perimeter can restrict access to the Discovery Engine API from the public internet except through permitted ingress rules, but existing data stores have limitations when a perimeter is newly enforced. Creating new data stores can be blocked until administrators allow the necessary sources and egress domains. Test the intended workflows after applying a perimeter so the control does not silently break required setup or access. Google Cloud Documentation

Roll out in a controlled sequence
- Define the use case and data class. Specify the questions the AI should answer, the information those answers require, and the information it must not retrieve. Start with one narrow, read-only source if that can meet the need.
- Remediate the source. Correct broad or stale access, external-sharing rules, identity lifecycle gaps, and outdated labels or restrictions before connecting it.
- Approve the service and integration. Confirm the precise plan, connector, terms, administrator options, logging, and data-handling settings. Record which sources and user groups are in scope.
- Constrain access and egress. Limit users, source permissions, app scopes, and network destinations to the intended workflow. Review each agent and third-party app for its own access and data practices.
- Pilot with representative roles. Include users with different access rights and test cases that exercise both allowed and denied access before broadening deployment.
- Monitor and revisit. Review audit events, connector permissions, access groups, provider settings, retention choices, and incident procedures as the service and data estate change.
Test what users can retrieve—not just whether the connector works
A successful connection proves only that the integration is functioning. Validate authorization and data handling with accounts that represent real roles, and inspect the returned sources and citations where available.
- Ask a permitted user about a document they should be able to access, then confirm the answer cites or otherwise draws on the expected source.
- Repeat the query with a user who should not have access; check that neither the answer nor its citations reveal the restricted material.
- Test shared content, revoked permissions, and sensitive or encrypted items with the relevant labels and rights in place.
- Place a malicious instruction in a test document and check whether the system treats it as content rather than an instruction to override policy.
- Trace what happens to prompts, retrieved passages, responses, caches, exports, logs, and downstream actions under the configuration being piloted.
These checks reveal configuration failures; they do not prove that all leakage risk has been eliminated. Keep the test cases and results with the deployment record, and repeat them when permissions, connectors, agents, or provider settings change.

Keep governance active after launch
Assign owners for the connected source, AI service, identity rules, and incident response. Review access and connector scope when teams reorganize, content moves, or an integration changes. Confirm that audit events reach the systems and people responsible for review, and that incident procedures cover suspected disclosure through prompts, retrieved content, generated answers, or connected actions.
Microsoft’s description of its enterprise protections is: “Copilot respects your identity model and permissions, inherits your sensitivity labels, applies your retention policies, supports audit of interactions, and follows your administrative settings.” That statement is from Microsoft Learn’s Enterprise data protection in Microsoft Copilot and Microsoft Copilot Chat; Microsoft says the particular controls and policies vary by subscription.
