Choose the right way to share the Chromebook
Chromebooks offer three different kinds of access. Choosing the right one matters because each option handles files, settings, sign-in status and privacy differently.

| Option | How to start | What stays separate | Important limitation |
|---|---|---|---|
| Separate Chromebook user | Sign out, then select Add person | Each person’s files, wallpaper, apps and synced Chrome data | Each person needs a Google Account; an administrator can restrict who may sign in |
| Simultaneous sign-in | Open the time and power menu, select the current account, then choose Sign in another user | Each account keeps its own profile, bookmarks and windows | Up to five users can be signed in at once; everyone must sign out together, and Google Play apps are tied to the first account signed in during that session |
| Guest browsing | Sign out, then select Browse as Guest | The guest session is temporary and is erased when it ends | No Play Store or app installation; guest mode may be disabled on managed Chromebooks |
Choose a separate Chromebook user if someone will return to the device and needs their own files, bookmarks or profile settings. Simultaneous sign-in is for people who need to keep separate sessions open at once. Guest browsing is for a temporary visit when a persistent profile is unnecessary. These options are not interchangeable: adding another Google Account inside your profile does not create another Chromebook sign-in, and guest mode does not preserve session data.

How to add another regular user
A regular user gets a separate Chromebook profile. Their files and settings do not merge with yours, even when both people use the same physical laptop.
Start from the signed-out screen
- If someone is signed in, open the time menu and choose Sign out.
- At the bottom of the sign-in screen, select Add person.
- Choose the account type that describes the new user: For personal use, For a child, or For work or school.
- Select Next and follow the on-screen setup. The new user signs in with their own Google Account. If they do not have one, Google provides an account-creation route during setup.
After setup, Chrome sync can bring that person’s apps, wallpaper, bookmarks and other supported data to the new profile. Their local files remain in their profile rather than appearing in yours. Each user should sign in with their own account rather than sharing a single profile if they need separate files and synced Chrome data.
Which setup choice should you use?
- For personal use: Use this for a family member, roommate or other individual using their own Google Account.
- For a child: Use the child-focused setup when the account and device need the controls associated with a supervised child account.
- For work or school: Use this when the Chromebook belongs to, or is managed by, an organization. The organization may require an approved account and may block personal accounts.
The setup choice describes the kind of account being added; it does not remove organization sign-in policies. On a managed Chromebook, the administrator may still limit which users can sign in. If you are unsure which account type your organization permits, ask before trying to add a personal account.
When Add person is missing or blocked
A work or school Chromebook can limit sign-in to organization accounts. If a message says the user does not have permission, the Chromebook owner or administrator must change the allowed-user settings; a regular user cannot override that policy. Ask the organization’s administrator which accounts are permitted.
How to sign in another user without signing out
Simultaneous sign-in is useful when two people need to keep their windows open and move between profiles. The other person must already have been added to the Chromebook.
Sign in the second person
- Sign in to the Chromebook.
- Open the time and power menu in the lower-right corner.
- Select the current account’s email address.
- Choose Sign in another user.
- Read the reminder that this feature should be used only with people you trust, then acknowledge it.
- Select the person who should join the session and enter that person’s password.
Google says that up to five users can be signed in at the same time. This is a simultaneous-session limit, not a limit on how many Google Accounts may have been added to the Chromebook over its lifetime. The feature is intended for trusted people because their accounts are active on the same device at the same time.

Switch between active users
Once more than one person is signed in, open the time menu, select the account avatar, and choose the person you want to use. You can also use these Chromebook shortcuts:
- Ctrl + Alt + . switches to the next signed-in account.
- Ctrl + Alt + , switches to the previous signed-in account.
Each profile keeps its own bookmarks, profile picture and other profile-specific data. Some device settings, such as available network connections, are shared. A window can be moved between signed-in users from that window’s context menu when the option is available. Switching users changes which profile you are using; it does not turn one profile’s bookmarks or identity into another’s.
Understand the sign-out and Google Play rules
With multiple people signed in, ChromeOS provides Sign out all; you cannot sign out only one account while leaving the others active. Save work before using it because every active profile is ended together. This differs from a single-user session, where you can simply sign out the current user.
Google Play and downloaded Android apps are available only to the account that signed in first in that simultaneous session. If another user needs to use those apps with their own account, select Sign out all, then start a new session by signing in with that account first. Switching to another active profile will not change which account has Play Store and downloaded-app access for that session.
How to use guest browsing
Guest mode is designed for a short loan, a public Chromebook or a visitor who does not need a permanent profile. It does not create a regular Chromebook user or require the visitor to add a Google Account.
Start and end a guest session
- If someone is signed in, open the time menu and select Sign out.
- On the sign-in screen, select Browse as Guest.
- When finished, open the time menu and choose Exit guest.
Exiting guest mode deletes the guest session’s local files, cookies, website data and browsing activity from the Chromebook. A guest should download or copy anything they need before choosing Exit guest. Do not use guest mode for work that needs to remain on the Chromebook after the session.

What guest mode does and does not protect
Guest mode does not save Chrome browsing activity on the device after the session ends, but it is not anonymous browsing. Websites can still receive information, especially when a visitor signs in to a site. The employer, school or other network operator, the internet service provider and search engines may also receive network or search information. So guest mode clears local session data, but it does not conceal activity from every website or network involved in browsing.
Guest mode has no Google Play Store and does not allow installing apps. Use a regular Chromebook user instead when the visitor needs persistent files, extensions, Android apps or synchronized bookmarks.
If Browse as Guest is unavailable
An organization administrator can disable guest browsing. On a managed work or school Chromebook, contact the administrator if Browse as Guest does not appear. The absence of the option is normally a policy setting, not a fault that can be fixed from the guest sign-in screen.
Adding a Google Account is not the same as adding a Chromebook user
ChromeOS also lets an existing user add another Google Account for websites and apps. This does not create another person at the Chromebook sign-in screen. In other words, there are two different account tasks: adding a Google Account to your current profile, or adding a separate Chromebook user with their own sign-in.
Add an account inside your current profile
- Open the Chromebook’s Settings.
- Go to Accounts.
- Select + Add Google Account.
- Complete the sign-in and permission prompts.
This approach is appropriate when one person needs access to another account for a website or app. It is not a substitute for a separate Chromebook user when two people need independent files, browser profiles and device sessions.
Switch the whole Chromebook session
To use a different account as the active Chromebook profile, open the time and power menu, choose Sign out, then select the desired user and enter that user’s password. Do not rely on an additional in-session account when the goal is to change the person using the device.

Remove an additional account safely
Removing an additional Google Account from the Chromebook signs it out of apps and websites on that device. It does not delete the Google Account or erase its data from Google’s services. Android apps may access email and contacts when you grant permission, while extensions and websites receive information according to their permissions and sign-in choices. Review the prompts and permissions when adding an account if you want to understand what an app or site can access.

The owner account
On a personal Chromebook, the first Google Account used during setup is generally the owner. The owner has additional control over certain sign-in settings. Google explains owner-account identification in Find your Chromebook’s owner account.
Owner permissions cannot be transferred directly to another account. Changing the owner requires a factory reset and setting up the Chromebook again with the intended owner account. The reset erases local data, files and accounts, so it is not a routine method for adding another person. Back up needed files before any reset.
Work and school administration
On a managed Chromebook, the organization controls sign-in rules, allowed account types, guest browsing and other policies. An administrator may restrict users even when the device’s hardware and internet connection are working normally. Ask that administrator to change the policy rather than attempting to bypass it.
That distinction is useful when troubleshooting: a missing guest option or a denied account does not necessarily mean the Chromebook itself is broken. The policy may be intentional, and only the organization administrator can confirm or change it.

Troubleshooting user switching and sign-in
There is no Add person button
- Confirm that you are fully signed out; the button appears on the sign-in screen, not inside another user’s desktop.
- Check whether the Chromebook is managed by a school or employer. The administrator may allow only organization accounts.
- If the device is personal but the control is still unavailable, the owner should review sign-in settings.
Sign in another user does not appear
- Make sure the second person has already been added as a regular Chromebook user.
- Use the time menu and select the current account email; the command is inside that account selector.
- If policy blocks simultaneous sign-in, only the administrator can change it on a managed device.
The other user cannot access an Android app
Check which account signed in first during the current simultaneous session. Google Play and downloaded Android apps are associated with that first-signed-in account. Select Sign out all, then begin a new session with the account that needs the apps.

A guest lost files after leaving
This is expected behavior. Guest files, cookies, website data and browsing activity are removed when Exit guest is selected. Use a regular Chromebook user for work that must survive sign-out.
A password or account is rejected
Verify that the person is selecting the intended profile and entering that Google Account’s password. On a work or school device, the account may be outside the organization’s allowed domain; the administrator must confirm the permitted account.
A practical sharing routine
- Create a separate regular user for anyone who will return to the Chromebook and needs lasting files or settings.
- Use simultaneous sign-in only when both people need open windows at the same time and trust each other.
- Use guest mode for short, low-persistence sessions, and tell the guest that exiting erases local session data.
- Before handing over the Chromebook, lock or sign out of your profile so private tabs and files are not visible.
- When the session involved multiple signed-in people, use Sign out all rather than assuming one profile has ended.
- On a managed device, follow the organization’s policy and contact its administrator when an option is missing.
Key points to remember
- Add person on the signed-out screen creates a separate Chromebook user with that person’s Google Account.
- The avatar menu and Ctrl + Alt + . or Ctrl + Alt + , switch among active users.
- Up to five users may be signed in simultaneously, but all active users sign out together.
- Google Play access in a simultaneous session belongs to the first account signed in.
- Browse as Guest is temporary, clears local session data on exit and is not anonymous.
- Adding an account under Settings > Accounts does not create a separate Chromebook profile.
- Owner privileges and organization policies can prevent account changes; owner replacement requires a data-erasing factory reset.
Frequently Asked Questions
How do I add a person to my Chromebook?
Sign out, select Add person at the bottom of the sign-in screen, choose For personal use, For a child or For work or school, then follow setup with that person’s Google Account. If the account is blocked, the owner or organization administrator may need to adjust access.
How do I switch between users on a Chromebook?
If the users are already signed in, open the time and power menu, select the account avatar and choose the person. You can also press Ctrl + Alt + . for the next account or Ctrl + Alt + , for the previous one. To use a profile that is not active, sign out and select it on the sign-in screen.
Can someone use my Chromebook as a guest?
Yes, if guest browsing is available. Sign out and choose Browse as Guest; when the person is done, choose Exit guest from the time menu. This deletes guest-session files, cookies, website data and browsing activity stored on the Chromebook. Guest mode is not anonymous, and a work or school administrator can disable it.
How many people can be signed in to a Chromebook at once?
Google says up to five users can be signed in simultaneously. That is the concurrent sign-in limit, not a cap on every account that can be added to the device. When multiple people are signed in, they must use Sign out all rather than signing out just one person.
Why can another user not use Google Play apps in a shared session?
Google Play and downloaded Android apps are available only to the account that signed in first during that simultaneous session. Sign out all users, then start a new session with the account that needs those apps signed in first.

Does adding another Google Account create a separate Chromebook user?
No. Settings > Accounts > + Add Google Account adds an account for apps and websites inside your current profile. To give someone a separate Chromebook sign-in, use Add person from the signed-out screen.
The Bottom Line
Use Add person for a lasting, separate Chromebook profile; use the avatar menu or keyboard shortcuts to switch among users already signed in; and use Browse as Guest only for temporary access. Remember that simultaneous users sign out together, Google Play belongs to the first-signed-in account, and guest browsing clears local session data without making browsing anonymous.
