Before choosing, decide where the screenshot must appear, whether the original source document is available, and how large the image will be in the final PDF. A screenshot that looks sharp at full size can become unreadable when reduced.
Workflow A: add a screenshot to an existing PDF in Adobe Acrobat
1. Open the editing interface
- Open the PDF in the desktop version of Adobe Acrobat.
- Choose Edit from the global bar. A basic PDF viewer may not expose page-content editing tools.
2. Place the screenshot
- In the Edit pane, choose Image, then Choose image.
- Select the screenshot file and choose Open.
- Click on the PDF page where the image should appear.
3. Size and position it
Drag a bounding-box handle to resize the image. Drag inside the box to reposition it. Acrobat also lists controls for scale, rotation, and opacity, which are useful when the screenshot must fit beside text, sit over a page background, or be made partially transparent.
4. Save and verify
- Save the edited PDF using Acrobat’s normal save command.
- Reopen the saved file, if practical, and check the page at the size readers will use.
- Confirm that text in the screenshot is legible, that no important page content is covered, and that the image is on the intended page.
Acrobat also offers a Generate image option, but it is unnecessary when you already have a screenshot file.

Workflow B: insert the screenshot in Microsoft Word, then make a PDF
Use this route when you have the original Word document or are creating a new report, guide, or form. Microsoft’s Word instructions describe two ways to get the image into the document.
Insert a screen capture from Word
- Open the document and place the cursor where the screenshot belongs.
- Use Word’s Insert → Screenshot feature to insert a whole open window or a screen clipping, using the labels available in your Word version.
Insert a saved screenshot file
- Capture the screen with your operating system or another capture utility and save the image.
- In Word, choose Insert → Pictures → Picture from File (the exact wording can vary by platform and version).
- Select the image, then adjust its size and placement in the document.
Create the PDF
Use the PDF save or export control available in your current Word edition. The cited Word screenshot guidance explains image insertion, not one universal export menu, so follow the labels shown in your installation. Open the resulting PDF and inspect the screenshot at normal viewing size.
Workflow C: insert an image in Google Docs, then create a PDF
- Open the document in Google Docs and place the cursor at the insertion point.
- Choose Insert image.
- Select a source such as Upload from computer, Drive, Photos, Camera, or URL, then choose Insert or Open as shown for that source.
- Resize and position the screenshot in the document.
- Use the current Docs download or export control to create a PDF. Google’s image-help page documents insertion sources, while the exact PDF control can change with the Docs interface.
For a document that will be edited repeatedly, keep the Docs or Word source as the master file and generate a fresh PDF after substantial layout changes.

Make the screenshot readable in the finished PDF
- Set the intended size first: Place the image approximately where it belongs before judging clarity.
- Do not over-shrink: Browser text, menus, and error messages can become unreadable when a full-screen capture is reduced to a small column.
- Crop irrelevant areas: A focused capture gives the useful interface more space than a whole-monitor image.
- Check normal viewing size: Inspect the saved PDF at the scale your audience is likely to use, not only zoomed in.
- Preserve context: Keep a short caption or surrounding explanation when readers need to know what the screenshot demonstrates.

Troubleshooting
Acrobat has no Image or Choose image option
You may be viewing the file in a reader or another interface that cannot edit page content. Open it in an Acrobat editing interface that supports adding images. If you only need a new document, use Word or Google Docs instead.
The screenshot is too large or covers text
Select the image and use its bounding-box handles to reduce it, then drag it to a clear location. If the page is crowded, crop the source screenshot or place it on a dedicated page.

The image looks blurry after export
Check the source capture and the PDF at normal viewing size. Avoid enlarging a small screenshot; capture a tighter region or insert the original image file rather than a recompressed copy.
The screenshot is missing from the saved file
Confirm that you saved the edited PDF, then reopen that saved copy rather than the original. Check that the image was placed on the expected page and that you are not opening an earlier duplicate.
Word or Docs layout changes unexpectedly
Reduce the image size, change its text-wrapping or placement setting, and inspect page breaks before creating the PDF. If the finished PDF already exists, placing the image directly in Acrobat avoids reflowing the source document.
