Once approved, use the provider-issued merchant QR or another supported acceptance mode, verify each payment in your merchant-side records, and confirm where and how funds will be settled under your agreement. A personal UPI ID or QR code is not a substitute for merchant onboarding, transaction records, or a provider support route.
How merchant UPI acceptance works
For a business, UPI acceptance starts with an acquiring bank—not simply with displaying a code that can receive a transfer. NPCI’s UPI FAQ says a merchant needs to partner with an acquirer bank, which provides the UPI infrastructure. The acquirer performs compliance and risk assessment, creates merchant identification such as a MID or TID, and configures merchant details, including the merchant category code (MCC) and UPI ID.

A small shop will often begin by contacting its existing business bank or a payment provider that works through an acquiring bank. Ask which bank will onboard the business and who will handle support. The exact documents, eligibility rules, account arrangement, technical setup, charges, and available features depend on the acquirer and the agreement; NPCI’s general guidance does not set one universal package for every merchant.

Merchant onboarding matters operationally: it establishes the business’s acceptance arrangement and gives the merchant a route to check transaction status, reconcile sales, and seek help with disputes or refunds. A consumer app or personal QR may be useful for person-to-person transfers, but it should not be assumed to provide merchant-grade reporting, settlement arrangements, or business support.

Set up merchant acceptance in practical order
- Contact the bank or payment provider. Ask specifically about UPI merchant acceptance, the acquiring bank that will onboard the business, and the provider’s support contact.
- Confirm eligibility and onboarding requirements. Request the current KYC and document list, any account requirements, and details of the merchant identifiers and business information that will be configured. Requirements can differ by provider and merchant.
- Agree the commercial and operational terms. Before signing up, ask what charges apply, where funds will be settled, how transactions will appear in statements or reports, what tools are available for reconciliation, and how refunds and complaints are handled. Get the answers for the specific product and agreement rather than assuming they are the same across providers.
- Choose the acceptance mode. For an in-person counter, a merchant QR is often the simplest starting point. If the business also sells online or needs a more integrated checkout, ask whether intent, collect, or application-based integration is supported and what setup each requires.
- Get the merchant’s QR or integration from the provider. Ask whether the QR is static or dynamic, how to identify successful payments, and whether the provider offers a merchant app or dashboard. Use the provider-issued configuration rather than converting a personal QR into a supposed merchant setup.
- Test the checkout and records before relying on them. Confirm that the customer-facing code or checkout works, that the merchant can see a transaction record, and that staff know which notification or dashboard status to check. Ask the provider how test transactions are handled and whether they should be reversed or refunded.
- Train anyone who takes payments. Staff should know how to verify the payee and amount on the customer’s screen, where to check the merchant-side transaction record, and which support route to use if a payment is missing or disputed.
Choose the acceptance mode that fits the sale
NPCI lists QR, intent, application-based, and collect as merchant integration modes. They are different ways to initiate or handle a payment, not interchangeable labels for a single QR product. The provider’s supported setup determines what a merchant can actually use.
| Mode | How it fits a sale | What to confirm with the provider |
|---|---|---|
| QR | A customer scans a merchant code with a UPI app. It is a practical fit for an in-person counter; a static QR usually leaves the customer to enter the amount, while a dynamic QR can carry transaction-specific information. | Whether the code is static or dynamic, how payment success appears to the merchant, what transaction history is available, and how each sale is matched during reconciliation. |
| Intent | A payment can be initiated through a supported digital checkout flow. It may suit a business that accepts orders online or through an app, depending on the provider’s integration. | Which checkout channels and apps are supported, what integration is required, and how the merchant receives transaction status and records. |
| Application-based | The payment acceptance is integrated into an application-based merchant flow. NPCI identifies this as an available mode; the exact merchant experience depends on the provider. | Whether a merchant app, a separate business application, or technical integration is involved; which staff controls and transaction-history features are provided. |
| Collect | A payment request is sent for the customer to approve. Its suitability depends on the sales context and the provider’s supported service. | How requests are created and tracked, what the customer sees, and how the merchant confirms completion or handles an unpaid request. |
For a neighborhood shop that mainly takes payments face to face, QR acceptance is a straightforward place to start. A business should consider another mode when its checkout requires a payment request, an online flow, or integration with its own application. Do not choose based on the mode’s name alone: support, reporting, and the steps staff must follow are provider-specific.
Static QR, dynamic QR, and soundbox options
Static QR
A static QR is suited to a counter where a customer scans the same displayed code and enters the amount for that purchase. That simplicity also makes correct amount entry and transaction matching important. Ask how the merchant app or dashboard identifies the payment and how staff can connect it to the right sale, especially when several customers pay close together.

Dynamic QR
A dynamic QR can carry transaction-specific information and may be generated by a point-of-sale system or merchant app. Ask whether the provider generates it at checkout, what details are encoded, which payment types it supports, and how a completed payment is matched to the sale. NPCI’s BHIM UPI guidelines updated in June 2026 say the “Pay with Credit on UPI” callout belongs only on dynamic QR designs where the merchant accepts UPI transactions from a credit account. Do not add that callout to a QR that does not meet those conditions.
Soundbox
NPCI’s June 2026 QR guidance includes a soundbox layout for a static QR. A soundbox can be useful if an audible payment alert solves a real checkout problem, such as making it easier for staff to notice incoming payments in a busy counter environment. It is an optional device, not a replacement for merchant onboarding or transaction records. Before choosing one, confirm compatibility with the provider’s acceptance setup, whether the device is rented or purchased, any applicable charges, and what support is available if it stops working.
Display the QR so customers can use it safely
Use the merchant QR issued or approved for the business’s setup and follow the provider’s current display instructions. NPCI’s BHIM UPI guidelines updated in June 2026 set out merchant identity and scan-instruction requirements for QR designs. For relevant formats, they specify showing the merchant UPI ID and include the line “Scan & Pay with any UPI app.” Follow the applicable approved layout rather than making up a design or copying artwork intended for a different QR format.

- Keep the code unobstructed and scannable; do not place a sticker or other material over it.
- Do not alter the code or substitute a different QR after the provider has set up the merchant acceptance.
- Check that the displayed merchant identity is appropriate for the business and that the code works from a customer’s normal scanning position.
- If the code is damaged, illegible, or appears to show the wrong business details, ask the provider for a replacement instead of editing the QR yourself.
- Use the “Pay with Credit on UPI” callout only in the dynamic-QR situation described in the current NPCI guidance, where the merchant accepts those transactions from a credit account.
When customers pay, they should check the payee name and amount shown in their own UPI app before confirming. This is a useful safeguard against paying the wrong recipient or entering the wrong amount; it does not replace the merchant’s responsibility to confirm that the business received the payment.

- Let the customer scan or use the configured checkout. For a QR payment, the customer should review the displayed payee and amount in their UPI app before approving it.
- Wait for a successful payment status. Do not treat a pending or failed status as completed. NPCI’s FAQ directs customers to look for a success status.
- Check the merchant-side record or notification. Verify the transaction in the merchant app, dashboard, or other channel specified by the provider. Follow the provider’s instructions if a soundbox or other notification is part of the setup.
- Match the payment to the sale. Check the amount and available transaction details so the payment is associated with the right order or customer.
- Hand over the goods or mark the order paid only after verification. A customer’s screenshot or verbal confirmation is not sufficient proof for the merchant, because it does not establish that the merchant-side transaction succeeded.
If the customer sees success but the merchant cannot find a matching record, pause before charging the customer again. A second payment may create a duplicate charge. Check the provider’s transaction-status process and use the transaction reference, amount, and time to investigate first.
Understand settlement and reconciliation
NPCI’s UPI FAQ describes the merchant receiving money immediately after the customer confirms payment, into either the merchant pool bank account or the merchant bank account, as agreed. “Immediately” is NPCI’s general description; the destination depends on the merchant’s agreement, and the FAQ does not establish that every provider’s dashboard and the bank’s posted balance update at exactly the same moment.

Before accepting payments, ask the provider to explain the actual funds flow for the merchant’s account: which account receives the money, how to identify UPI transactions in account statements, and which report or dashboard should be used to reconcile sales. Confirm whether there are any provider-specific conditions in the agreement that affect how transactions are recorded or settled. Do not infer the settlement arrangement solely from a successful notification on a customer’s phone.
Reconciliation is the process of matching the merchant’s payment records to sales and the funds recorded in the agreed account. A simple routine helps catch missing, duplicated, or misapplied entries:
- At checkout, record or retain the provider transaction reference and the sale it belongs to.
- Use the merchant transaction history or report to compare completed payments with sales for the relevant period.
- Check the agreed settlement account and statement using the provider’s instructions.
- Raise unmatched entries through the acquiring bank or provider’s merchant support route, supplying the transaction details they request.
The merchant app’s transaction status and the bank account’s posted balance are related but distinct records. Ask the provider which one controls for confirming a payment at the counter and which one to use for end-of-day reconciliation.

Handle missing payments, disputes, and refunds
When a payment appears missing
First check the merchant-side transaction history or the provider’s stated status channel. Compare the amount, date and time, and transaction reference with the customer’s payment details. If the customer’s app shows a successful payment but the merchant record does not, contact the acquiring bank or the provider’s merchant support process; NPCI says merchants can raise a grievance or check transaction status directly with the acquiring bank. Keep the details together so support can investigate the correct transaction.
- Transaction reference or other identifier available for the payment
- Amount and date/time
- Customer’s app status, if available
- Merchant-side status or the fact that no matching record appears
- Sale or order details needed to identify the transaction
Do not rely on a screenshot alone to release goods, and do not ask the customer to pay again until the first transaction has been checked. Follow the acquiring bank’s directions if the status remains unclear.
When a sale needs a refund
For returned goods or rejected services, NPCI says the merchant asks the bank to refund the charged amount under the defined process. Start through the provider or acquiring bank that handles the merchant account, and follow its instructions for initiating and recording the refund. The NPCI FAQ does not establish one universal refund timeline, so do not promise that a refund will arrive instantly; tell the customer what the provider confirms for that transaction.

Questions to settle before choosing a provider
NPCI defines the acquirer’s role and the broad integration modes, but its FAQ does not provide a current provider ranking or comparable fee schedule. Ask each prospective provider the same practical questions so that the business can compare the specific terms it is offered:
- Which acquiring bank will onboard the merchant, and what eligibility and KYC documents are required?
- Is a business bank account required, and what account receives the funds under the agreement?
- Is the QR static, dynamic, or available in both formats? Who generates and replaces it?
- Is there a merchant app or dashboard with transaction notifications, history, staff access, and reconciliation tools?
- Which of QR, intent, application-based, and collect modes are supported for this business’s checkout?
- What charges apply, and how are they disclosed in the agreement?
- What is the support route for a missing transaction, a disputed status, or a refund?
- If considering a soundbox, what are its device terms, charges, compatibility requirements, and support arrangements?
These questions focus on the details that vary by provider. The business should rely on the actual onboarding offer and agreement for its requirements, charges, settlement arrangement, and support process.
Where UPI Lite fits
UPI Lite is a payer-side option, not a shortcut for merchant onboarding. NPCI’s booklet describes a customer scanning a merchant QR for low-value payments, but the product’s specific limits and details can change. A merchant should not treat an old limit or booklet description as a current acceptance rule; confirm current customer-side availability through the relevant official product information if it matters to the checkout.
