Add up the data you actually plan to keep, project future additions, then allow for RAID protection, system overhead, snapshots, backup versions, and free space. Most importantly, treat RAID as drive-failure protection—not as a backup.
Start with the data you will actually store
Inventory the folders and devices that will live on the NAS: photo libraries, video projects, phone exports, documents, and any computer backups. Count only material you intend to retain. Temporary caches and duplicate exports can inflate the estimate if you do not plan to keep them.

For existing collections, use folder or volume sizes rather than guessing from the number of photos. If you are planning for new devices or formats, measure representative files from each camera or phone. RAW and compressed images can differ substantially; video size changes with resolution, frame rate, codec, quality, and bitrate. Adobe’s export guidance recommends checking the estimated output size and explains how resolution and frame rate affect it: Adobe Lightroom export guidance.

There is no current authoritative average file size that applies across consumer phones and cameras. A Seagate 2015 SMB guide illustrates the arithmetic with 50,000 RAW photos at an assumed 20 MB each per 1 TB; that is an example, not a dependable estimate for your camera or collection.

Project growth over the period you plan to use the NAS
Estimate annual net additions from your own recent capture history: how much new material you kept over the last year, after deleting unwanted clips and duplicate exports. Multiply that amount by a planning horizon that suits you. Synology’s 2026 enterprise capacity-planning guide uses a 3–5-year projection for source data; it is a useful example, not a mandatory horizon for home users.
For example, if your current library is 3 TB and you add about 0.8 TB of retained data each year, a five-year source-data estimate is 7 TB before RAID, system reservations, snapshots, backup versions, or free-space headroom. Use your measured numbers in place of this illustrative scenario.

Account for space that drive labels do not provide
The combined advertised capacity of the drives is not the same as the usable capacity for files. RAID or another protection scheme consumes capacity, and the NAS filesystem and system may reserve additional space. The result depends on the NAS, drive sizes, RAID layout, and filesystem. Synology’s storage-planning guide describes usable capacity as what remains for application data after protection overhead and system reservations.
Use the calculator for the NAS platform and layout you are considering, then verify the available space in the NAS storage manager after creating the pool and volume. Synology’s calculator is specific to its supported configurations: Synology RAID calculator.

- 【Local Privacy, Pro-Grade Security】Store files locally on DXP4800 GT instead of third-party cloud servers, with local account mode for LAN-only access when needed. TLS/SSL, RSA, AES, and SHA-512 help secure logins and data transfers, while Security Manager, and flexible permissions provide continuous protection. RAID support adds data redundancy to help reduce the risk of data loss and improve file recovery in the event of drive failure.
Also plan for snapshots and free space, rather than filling the volume to its advertised limit. Synology’s 2026 enterprise guide suggests a 5% snapshot reserve, a 4% metadata allowance, and 20% free-space headroom for its PAS7700 planning context. Those figures illustrate categories worth considering; they are not universal requirements for every home NAS. Snapshot use depends on how often data changes and how frequently snapshots are kept.
Separate the NAS copy from backup versions
Decide whether the NAS will hold your primary library, a working copy, or both. Then estimate backup retention separately. A backup that keeps multiple historical versions can need more space than a single copy; the amount depends on how much data changes, how long versions are retained, and whether compression or deduplication is used.

Search by keyword to locate an image, then review duplicate or similar photos and remove them with one click to reclaim space in your NAS photo library.
RAID helps keep a system available after certain drive failures, but it does not protect against accidental deletion, malware, theft, fire, or loss of all equipment at the site. Synology’s backup guidance explains the 3-2-1 approach: keep three copies, on two media types, with one copy off-site. A USB drive stored beside the NAS can be a useful additional copy, but it does not address a site-wide loss. See Synology’s backup guidance.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsTurn your estimate into a NAS layout
- Measure current data: total the directories and devices you will include, or sample files by device and format.
- Estimate additions: use your own annual capture and retention history, then multiply by the number of years you want to plan for.
- Add operational needs: account separately for snapshots, versioned backups, system reservations, and meaningful free-space headroom.
- Choose protection and bays: compare the capacity left after RAID or the vendor’s equivalent, drive-failure tolerance, number of bays, and whether the layout can expand in a way you can use.
- Check usable space: enter the proposed drive sizes and protection layout in the NAS maker’s calculator, then confirm the actual capacity reported by the storage manager.
- Plan another copy: decide where an independent local or off-site backup will reside and whether its capacity and retention match what you need to restore.
If you will edit large image or video files directly from the NAS, include network speed in the decision. Synology recommends 10GbE or faster for that creator workflow; this is a workload-specific recommendation, not a minimum for ordinary photo backup.

Compare configurations by what they can protect and hold
When comparing two NAS setups, do not compare only the total drive labels. Compare the usable capacity after protection and system overhead, the drive and bay count, the failures the layout can tolerate, expansion options, projected growth, snapshot and version retention, and the size and restore practicality of the independent backup. For direct media editing, also compare network throughput.
