Your real cost is the infrastructure and work around it: a computer or virtual machine, storage, backups, network access, electricity, maintenance and administration. Optional Nextcloud Enterprise subscriptions start at 100 users and add paid support and enterprise capabilities.

What you pay for when you self-host Nextcloud
A self-hosted installation runs on hardware you own or a rented virtual machine. The application is open source, so a personal installation does not require a published monthly or annual license per user. That does not make the service costless: you become responsible for buying, operating and replacing the systems that keep files available.

Budget these categories separately because they behave differently:
- Compute: a used desktop, mini PC, NAS, server or virtual machine.
- Primary storage: disks for files, photos, previews, versions and future growth.
- Backup storage: at least one separate destination, with an off-site copy when the data matters.
- Network access: internet service, router configuration, DNS or a domain and TLS setup.
- Power and cooling: electricity for an always-on machine.
- Administration: updates, monitoring, security hardening, troubleshooting and recovery.
The cash price of the software is therefore only one part of the total cost of ownership. A setup that appears cheap can become expensive after adding redundant disks, backup capacity and your own time.

When a Nextcloud subscription applies
Nextcloud sells Enterprise subscriptions for organizations that want vendor support and enterprise features. The published 2026 prices below are net of VAT, apply at the 100-user tier and are available from 100 users upward.
| Enterprise tier | Published price at 100 users | What the price represents |
|---|---|---|
| Enterprise Standard | €71.29 per user per year | Annual enterprise subscription; net of VAT |
| Enterprise Premium | €104.99 per user per year | Annual enterprise subscription; net of VAT |
| Enterprise Ultimate | €204.75 per user per year | Annual enterprise subscription; net of VAT |
For example, at exactly 100 users, the published annual subscription amounts are €7,129, €10,499 or €20,475 respectively before VAT. These are not mandatory charges for a hobbyist or small self-hosted installation; they are an option for organizations choosing an enterprise relationship. Confirm the applicable quote, user band, taxes and contract terms with Nextcloud before purchasing, because the figures above are the listed 2026 starting prices at one tier.
Hardware: the first major decision
Use an existing computer
A spare 64-bit computer can reduce upfront spending to zero, but check its disk health, power draw, noise, network port and ability to run continuously. A machine with only one aging disk is not a complete production design: a disk failure can destroy the live copy unless a separate backup exists.
Buy a mini PC
A mini PC is compact and usually easier to run than a full desktop. As a dated 2026 market example, TechRadar reported approximately $369 for a Beelink ME Pro configuration with an N95 processor, 12GB of RAM and a 120GB SSD, and approximately $529 for an N150 configuration with 16GB of RAM and a 1TB SSD. Those are review-period street prices, not guaranteed quotes; configuration, warranty, seller, taxes and availability can change. The review also notes that the model can run NAS operating systems such as TrueNAS.
| Example configuration | Reported price | How to interpret it |
|---|---|---|
| N95, 12GB RAM, 120GB SSD | About $369 | Low-cost compute example; 120GB may be inadequate for a growing file library or backup target |
| N150, 16GB RAM, 1TB SSD | About $529 | More memory and local capacity, but still not a substitute for an independent backup |
Search results and retail listings should be checked for the exact Beelink ME Pro configuration rather than assuming that a model name includes a particular processor, memory amount or disk size.
Use a NAS or a rented virtual machine
A NAS can combine disk bays, storage management and an operating system, while a virtual machine removes the need to maintain local hardware. The trade-off is recurring hosting cost for a VM, or higher hardware and disk cost for a NAS. In either case, you still need a backup plan and must verify that the platform supports the database, PHP/runtime and storage layout required by your chosen Nextcloud release.

Size the primary storage for growth
Do not size disks only for today’s files. Include photo and video uploads, file versions, deleted-file retention, previews, application data and free space for maintenance. External or removable storage is supported, but you must decide whether it is the primary data location, a backup destination or both. Treating one removable disk as both live storage and backup does not protect against disk failure, theft or accidental deletion.

Make backup a separate budget line
Nextcloud’s operations guidance states: “Backup and restore concepts should be part of every good Nextcloud deployment.” Plan at least one separate backup target and consider an off-site copy. A second disk in the same computer helps with some disk failures but not fire, theft, ransomware or a mistake that deletes both copies. An off-site destination can be another location, a trusted remote system or suitable storage service; its price depends on capacity, retention and transfer requirements, so there is no universal 2026 amount.
Budget for backup software configuration, scheduled verification and occasional restore tests as well as the storage itself. A backup that has never been restored is an assumption, not a demonstrated recovery plan.
Network, domain and remote access
Remote access can add one-time and recurring expenses. You may need a domain name, DNS management, a router configuration, a reverse proxy and TLS certificates. Some households can use an existing internet connection and free certificate tooling; others need a business connection, static address or relay service. The correct cost depends on your country, provider and network design.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsConsider upload bandwidth as carefully as download speed. Initial photo imports, desktop synchronization and off-site backups can consume the upstream connection for hours or days. If the server is reachable from the internet, keep the operating system and Nextcloud current, restrict unnecessary ports and monitor login and storage activity.
Electricity: calculate it from measured watts
No single 2026 electricity figure applies to every self-hosted installation. Measure the server’s average power draw, then use:
annual electricity cost = watts × 8,760 hours ÷ 1,000 × local price per kWh
For an illustration only, a machine averaging 25 watts at $0.20 per kWh would consume 219 kWh per year and cost about $43.80 annually. Replace both assumptions with a plug-meter reading and your electricity tariff. Add disks, USB devices and cooling: their draw is part of the measured total. A system that sleeps often will cost less than one running at full load continuously, but sleep settings can conflict with reliable synchronization and backups.

Official requirements for sizing a server
Nextcloud’s current manual warns that “Memory requirements for running a Nextcloud server are greatly variable, depending on the numbers of users, apps, files and volume of server activity.” It lists 128MB of RAM minimum per process and recommends 512MB per process. These are per-process figures, not a promise that a complete production server needs only 128MB or 512MB total. Multiple PHP workers, the database, web server, operating system, antivirus or preview generation all consume memory.
Use a 64-bit operating system; Nextcloud strongly recommends one. SQLite is intended for testing and minimal instances. For production, plan a supported database such as MariaDB/MySQL or PostgreSQL, and include database backups in the same recovery design as files.
Match capacity to workload
- One or two light users: an existing low-power 64-bit computer can be adequate if storage and backups are sound.
- A family photo library: prioritize disk capacity, upload bandwidth, previews and a second copy of irreplaceable media.
- A small team: allow memory and CPU headroom for simultaneous synchronization, shared folders, search and office or collaboration apps.
- A larger organization: model concurrent activity, database load, storage growth, monitoring and support staffing rather than choosing hardware by user count alone.
How to build a realistic 2026 budget
- List data and retention requirements. Estimate current files, annual growth, versions, deleted-file retention and database size.
- Choose the platform. Price an existing computer, mini PC, NAS and VM option. Record RAM, disk type, expansion options, warranty and measured or rated power draw.
- Price primary storage. Include enough free capacity for growth and maintenance. If using multiple disks, decide whether redundancy is required and what it protects against.
- Price backup storage separately. Add a local target and, where appropriate, an off-site copy. Include retention and transfer charges if a provider bills them.
- Measure network and power costs. Check upload speed, domain or DNS fees, router requirements and annual electricity using your local tariff.
- Value administration time. Estimate hours for updates, monitoring, restore tests, troubleshooting and hardware replacement. Apply your own hourly value; do not treat that labor as free merely because no invoice arrives.
- Add a replacement reserve. Disks and small computers eventually fail. Setting aside part of the initial hardware cost each year prevents an emergency purchase from becoming a surprise bill.
This process produces a defensible annual total without pretending that one number fits every country, household or architecture.

Managed hosting trades a recurring fee for less operational work. Nextcloud’s provider directory says private users are usually best served by its Simple Signup providers, while larger teams and organizations can use qualified partners. It lists at least 2GB of free storage for a shared-hosting user account and says upgrade options are available. Provider prices differ, so compare the actual plan rather than assuming that “managed” includes everything.
| Comparison point | Self-hosting | Managed provider | Enterprise subscription |
|---|---|---|---|
| Upfront cost | Hardware, disks and setup work | Usually low; provider supplies infrastructure | Usually contract-based; infrastructure may still be yours or a partner’s |
| Recurring cost | Power, internet, domains, backups and replacement reserve | Monthly or annual hosting fee, plus any extra storage or transfer | Published per-user annual fee at 100 users, net of VAT |
| Storage | Limited by your disks or VM allocation | Plan-specific; directory guidance lists at least 2GB free storage for a shared-hosting user account | Not stated as a storage allocation in the published prices |
| Backups and recovery | Your responsibility to design, test and fund | Verify backup frequency, retention, restore process and whether backups cost extra | Confirm responsibilities and service terms in the contract |
| Support | Community documentation and your own expertise | Provider support; compare response times and escalation | Vendor enterprise support and capabilities |
| Privacy and location | You choose the facility and access controls | Depends on provider data center, jurisdiction and contract | Depends on deployment and agreement |
| Exit and migration | You control the files, database and configuration, but must perform the move | Check export tools, data retrieval and migration assistance before subscribing | Clarify contract-end access and migration obligations |
Managed hosting is often financially sensible when your time, downtime risk or support needs exceed the value of running hardware. Self-hosting is more attractive when you already own suitable equipment, want direct control over location and configuration, and can maintain a tested recovery process.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. Is self-hosted Nextcloud cheaper than a cloud drive?
There is no universal answer. A cloud-drive subscription bundles storage, redundancy, operations and support into a predictable recurring fee. Self-hosting replaces much of that fee with an upfront server purchase and ongoing responsibility. The break-even point depends on user count, storage growth, electricity, backup capacity, internet service and the value of your time.
For a fair comparison, place these items beside the cloud plan’s recurring price:

Do not compare a cloud plan’s headline storage with a self-hosted disk’s raw capacity while ignoring the second copy, off-site backup and replacement reserve required for equivalent resilience.
Common cost mistakes and fixes
Buying capacity but not resilience
A large single disk may offer cheap dollars per terabyte but leaves one failure away from data loss. Add an independent backup and test a restore before trusting the system.
Underestimating administration
Updates, security notices, failed jobs and full disks require attention. Set calendar reminders, enable monitoring and document recovery steps so another person can operate the service if you are unavailable.
Using SQLite for a growing production service
SQLite is suitable for testing and minimal instances. A production deployment should plan MariaDB/MySQL or PostgreSQL and include database maintenance and backups.
Assuming a model name guarantees a specification
Mini PCs can ship with different processors, RAM and SSD sizes. Verify the exact listing, warranty and return policy; the Beelink ME Pro prices cited above are examples tied to specific configurations and a dated review.
A practical decision rule
Choose self-hosting when you can fund the hardware and backup copies, measure the power and network implications, and reserve time for maintenance and recovery. Choose a managed provider when predictable billing and delegated operations matter more than owning the platform. Consider an Enterprise subscription only when your organization needs its published support and enterprise capabilities and has at least 100 users for the listed tier.
