How Moving Companies Calculate the Space Your Belongings Need

Moving companies estimate space from the belongings that will travel—including cartons and storage contents—not bedroom count alone. Here’s how the survey works and how to compare estimates.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Moving companies estimate space by inventorying the belongings that will actually travel, then judging how those items are likely to be packed, prepared, and loaded. They count more than visible furniture: expected cartons, storage areas, and awkward or oversized possessions all matter. A home’s bedroom count can offer context, but it cannot replace an inventory. The final volume is an estimate, not a promise that every object will fit together like a perfect block.

What a moving-volume estimate measures

A mover’s volume estimate is an approximation of the packed, transportable space needed for the shipment. It is based on the items that are moving, rather than the floor area of the home. Sofas, beds, wardrobes, appliances, kitchenware, books, clothing, and possessions stored out of sight all contribute to the load.

Movers may use working volumes for common items, while measuring or individually assessing unusual, very large, or irregular belongings. The estimate also reflects decisions about packing, dismantling, nesting items together, and handling fragile objects. Two households with the same number of bedrooms can therefore need different amounts of space, and two items with the same generic name may not have the same dimensions.

Volume is not the same thing as weight. A volume estimate helps describe space, while weight and applicable pricing rules may matter separately. This distinction is especially important when reading an estimate for a U.S. interstate household-goods move: a non-binding estimate is based on estimated weight or volume and requested accessorial services, but final charges are based on actual shipment weight and applicable tariff provisions under the relevant rule.

How movers build the estimate

The estimator’s job is to establish what is going, what work is required, and what areas or items could otherwise be missed. A room-by-room video or in-person survey can reveal more than a bedroom count or a short phone list. Central Moves’ September 4, 2026 guide describes a manual calculation influenced by the surveyor’s skill and experience; that judgment is one reason estimates from different companies may vary.

1. Walk through every space that may contain belongings

The inventory should cover the whole shipment, not just the main rooms. The survey should include bedrooms, living areas, kitchens, utility spaces, lofts or attics, basements, garages, sheds, gardens, and storage units. These secondary areas are easy to overlook, yet they may contain enough belongings to change the plan.

Be clear about what is staying behind, being discarded, or being moved separately. If an item is excluded, identify it as such rather than leaving its status uncertain. Otherwise, different estimators may make different assumptions about the shipment they are pricing.

2. Record furniture and other large belongings

Common inventory items include sofas, beds, wardrobes, tables, white goods, desks, and bookcases. A mover may use approximate working volumes for ordinary examples. If a piece is unusually large, bespoke, irregularly shaped, or difficult to handle, point that out so it can receive closer assessment.

  • FULL-OPEN SIDE ZIPPER — PACK A DORM ROOM IN MINUTES: Unlike standard top-zip moving bags, our full-open side zipper unzips all the way down, so the bag lies completely flat on your bed or floor — just drop in comforters, pillows, and bulky blankets without digging, stuffing, or tilting, and unload just as easily. Lidded Storage Bins.Perfect for college move-in day, apartment moves, and loading your car fast.
  • 93L EXTRA LARGE CAPACITY (29" x 14" x 13") — HOLDS UP TO 65 LBS, REPLACES 2+ MOVING BOXES: Each bag measures 29"L x 14"W x 13"H with a massive 93-liter (≈25 gallon) capacity — fits 4 king-size comforters, 36 pairs of jeans, or 60 T-shirts, yet at 56 linear inches it stays within most airlines' 62" checked-baggage size limit. Red for winter clothes, orange for shoes, green for bedding, blue for books — no marker scribbles, no guessing, no unzipping every bag to find what you need. A complete organization system exclusive to RMOHRO.
  • WATER-RESISTANT & FOLDS TO 1" FLAT — FROM MOVING DAY TO UNDER-BED STORAGE: Coated woven fabric resists moisture, dust, and dirt, protecting your belongings from light rain on loading day and from damp closets or garages during long-term storage. When the move is done, each bag folds flat to about 1 inch thick — slip it under a bed, onto a closet shelf, or keep one in your trunk for the next move, seasonal swap, or camping trip.Lidded Storage Bins.

Generic labels alone can obscure meaningful differences. A compact sofa and an oversized one are both “sofas,” but they do not necessarily take up the same space or require the same handling. If you know an item’s dimensions or it has a feature that affects handling, make that information available during the survey rather than relying on a broad category name.

3. Estimate cartons for smaller possessions

Small belongings count too. Books, kitchenware, clothes, toys, paperwork, bedding, and other stored items may occupy little space while loose but take up transport space once packed into cartons. The estimator needs an expected carton count, not simply a list of furniture.

The U.S. Moving Protection Organization gives about 3 cubic feet as an approximate reference for a standard medium moving carton in its 2026 consumer guide. That is a visualization aid, not a universal carton size or a guarantee that each box will have that volume. Cartons vary, and the important point is to include the boxes expected for your own shipment.

4. Identify unusual, fragile, or awkward belongings

Tell the estimator about pianos, safes, exercise equipment, antiques, oversized furniture, and large artwork. Such items may need individual consideration or specialist handling. Fragility can also affect protective packing and the way goods are arranged, even where an item’s outside dimensions are familiar.

Do not assume a specialty item is covered just because the surveyor can see it. Ask how it appears in the inventory and whether any special handling or related service is included in the quote.

5. Review packing, preparation, and access

Packing and dismantling affect how a shipment is prepared and handled. Dismantling may improve handling or packing efficiency, but the components still have to travel. Likewise, objects that can nest together may use space differently from objects that cannot; fragile items may require protective materials.

Stairs, access, and other handling requirements belong in the survey discussion because they may affect planning and services. Make the conditions clear to each company rather than assuming that a volume figure alone captures the whole job. The estimate describes likely packed volume, not just a sum of idealized geometric blocks.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

6. Total the likely volume and check the equipment plan

The mover converts item counts or dimensions into the volume unit stated in the estimate, then plans capacity around the shipment and the services being quoted. Ask which unit is being used and whether the reported figure refers to the full estimated shipment. A total is only as useful as the inventory and assumptions behind it.

Provider charts can help with planning, but they are not guarantees. Compare an estimate with the usable capacity of the exact equipment being considered, not a generic truck-size label. Loading configuration, shipment contents, and conditions differ, so there is no reliable universal conversion from bedroom count to truck or container size.

Understanding cubic feet, cubic metres, and household-size guides

A cubic foot is the volume of a cube measuring 12 inches on each side. A cubic metre is the volume of a cube measuring one metre on each side. U.S. sources and equipment planners may state capacity in cubic feet; removal companies in the UK and international context commonly use cubic metres. Always note the unit and geography when you read or compare an estimate.

Published home-size ranges can be useful as prompts for questions, but they are not standards for your household. The U.S. Moving Protection Organization’s August 2026 guide labels the following ranges as rough planning figures and notes that actual households vary widely:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Home type Rough volume guide
Studio 250–400 cubic feet
One-bedroom apartment 400–600 cubic feet
Two-bedroom apartment 700–1,000 cubic feet
Two-bedroom house 1,000–1,300 cubic feet
Three-bedroom house 1,300–1,800 cubic feet
Four-bedroom house 1,800–2,500 cubic feet

These ranges come from that guide, not from a universal measuring standard. A lightly furnished home and one with substantial furniture, full storage spaces, or outdoor belongings may differ considerably even if their bedroom counts match. Use the figures to check whether an estimator has asked about the whole shipment, not as a target to which your inventory must conform.

HOMESURE Supports 200lbs Heavy Duty Moving Bags - Strong Zipper & Wrap-Around Handles - Water-Resistant Storage Totes, Durable Alternative to Moving Boxes - 8 Pack - Semi-Transparent
  • ULTRA-STRONG 200LB LOAD CAPACITY — Independently tested to support heavy-duty moves. Our signature wrap-around handles encircle the entire bag from bottom to top, creating a structural "cradle" that supports weight from the base. Combined with reinforced stitching, these bags won't snap or tear, even when packed with heavy linens, books, or kitchenware.
  • THE SMARTER BOX ALTERNATIVE — Why buy expensive, bulky moving boxes that end up in the trash? One 24-gallon HOMESURE bag provides the same volume as a large box but is far easier to carry over the shoulder. When empty, all 8 bags fold down into a compact stack, saving you a massive amount of storage space in your closet or car trunk.
  • COLLEGE DORM MOVE-IN READY — Save time and car space on move-in day. One 24-gallon HOMESURE bag is a dorm room lifesaver. To visualize the space: it fits 2 Twin XL comforters and 1 mattress pad, OR 6 standard pillows, OR 30+ sneakers and an entire semester’s worth of sweaters. It’s the ultimate heavy-duty solution for carrying everything from the trunk to the dorm room.
  • INSTANT CONTENT IDENTIFICATION — Stop the "guessing game" on moving day. Each tote features a clear plastic tag pocket. Simply slide in a label to identify "Master Bedroom" or "Garage Toys" in seconds. This small design detail saves hours of unzipping and searching, making your organization system professional and efficient.
  • PRO-GRADE PROTECTION — Crafted from high-density, water-resistant woven fabric with smooth #5 dual zippers. These aren't flimsy one-move bags; they are designed for years of reuse. Whether it's light rain during transit or long-term storage in a dusty attic, your clothes and linens stay pristine and protected.

Equipment figures are provider-specific as well. U-Pack’s planning page gives approximately 1,944 cubic feet of loading space in a U-Pack moving trailer and 308 cubic feet in a U-Pack ReloCube. Its home-size chart warns that heavy furnishing and storage or outdoor spaces can require more room. Those figures describe the named provider’s equipment; they do not establish the capacity of other trucks or containers.

Why two estimates can differ

Different totals do not necessarily mean one estimator has made an error. First check whether both companies counted the same belongings, used the same unit, and included the same work. A difference is harder to interpret if one survey covered the garage and storage unit while another did not.

  • Missing areas: Garages, lofts, sheds, basements, gardens, and storage units can hold belongings that are absent from a room-only inventory.
  • Missing cartons: Loose small possessions may be underestimated if the expected boxes are not counted.
  • Item variation: Generic categories conceal differences in size, shape, and handling needs.
  • Preparation choices: Dismantling, nesting, and protective packing affect how objects are prepared and arranged.
  • Survey coverage and judgment: Estimators may count different items or apply different working volumes. Bournes Moves notes that surveyor skill and experience can affect a manual calculation.
  • Inventory changes: Adding furniture, emptying a storage unit, or deciding to move items originally excluded changes the shipment being estimated.

The available guidance does not establish one universal error margin or a standard reserve to add to every estimate. Rather than adding an arbitrary amount, improve the inventory and ask the mover how it plans capacity for the identified shipment.

How to get a more dependable estimate

  1. Decide what is moving. Separate belongings to be transported from those staying, being discarded, or traveling another way.
  2. Open every storage area during the survey. Include the garage, loft or attic, basement, shed, garden, and any storage unit that belongs in the shipment.
  3. Count expected cartons. Include small possessions that will be packed, even if they are still on shelves or in drawers. Treat a medium-box volume reference as approximate rather than a fixed size for every carton.
  4. Point out special items. Identify oversized, awkward, fragile, antique, or specialty belongings and ask whether the inventory records any special handling.
  5. Discuss preparation and access. Clarify packing, dismantling, stairs, and other relevant handling requirements so the quote is based on the job you expect the company to do.
  6. Ask for the itemized inventory and volume in writing. Check the listed belongings, excluded areas, measurement unit, and services against your understanding of the shipment.
  7. Update the mover if the shipment changes materially. Report additions or newly included storage contents rather than assuming the original estimate still describes the job.

How to compare moving estimates fairly

Give each company the same inventory and make the scope of work explicit. If one quote includes packing or dismantling and another does not, their totals are not describing identical services. The same applies when access conditions, storage areas, or specialty items are treated differently.

What to compare What to verify
Survey format and coverage Whether the company surveyed in person or by video, and which rooms and storage areas were included.
Inventory and exclusions Whether the same belongings are listed, including cartons, outdoor items, and storage contents.
Stated volume The volume figure, its unit, and the assumptions used to reach it.
Special items and cartons How expected boxes and oversized, awkward, fragile, or specialty items are treated.
Services and access Whether packing, dismantling, access conditions, and handling requirements are included.
Equipment capacity Whether the provider’s stated usable capacity matches the exact equipment and configuration quoted.
Estimate type Whether the written estimate is binding or non-binding and what basis it states for charges.

Ask for clarification where two totals differ substantially. The useful question is not just “Which estimate is smaller?” but “What belongings and services does each estimate cover?” A written inventory and a clear description of assumptions make the comparison more meaningful.

What the U.S. interstate survey rule requires

For household-goods motor-carrier moves covered by 49 CFR Part 375, a physical survey and a written estimate based on it are generally required for a prospective individual shipper, unless the shipper waives the survey in writing before the shipment is loaded. The rule is specific to its covered U.S. interstate moves; it should not be treated as a requirement for every local, international, or otherwise out-of-scope move.

Under 49 CFR § 375.401, a qualifying virtual physical survey lets the carrier view the goods through live or recorded video that clearly identifies the items to be transported. The written estimate must identify whether it is binding or non-binding. A binding estimate is an advance agreement based on the quantities and services shown. A non-binding estimate uses estimated weight or volume and requested accessorial services, with final charges based on actual shipment weight and applicable tariff provisions. Check the move type and the current documents that apply to your shipment rather than assuming the same pricing basis applies everywhere.

Questions to ask before accepting the estimate

  • Which rooms and storage areas did you include in the inventory?
  • Are expected cartons, specialty items, and belongings outside the main living areas recorded?
  • What volume unit is shown, and what does the volume figure cover?
  • Which packing, dismantling, access, or handling services are included?
  • What equipment and usable capacity are planned for this shipment?
  • Is this estimate binding or non-binding, and what does the document say about charges?
  • How should I notify you if the inventory changes before moving day?
