For a marketing agency, project management software needs to coordinate work across client accounts without exposing the wrong information, while making deadlines, approvals and shared staff capacity visible. No single tool is established as the best fit for every agency. Compare candidates against your real workflow, then test one live client project before rolling out a system agency-wide.
What agency project management software needs to coordinate
Agency work is not just a list of tasks. Staff may contribute to several client projects at once, while each account has its own brief, deliverables, review cycle and access requirements. A useful setup connects those account-level workflows to a portfolio view so delivery leads can spot competing deadlines, overloaded people and work awaiting approval.

Start by checking whether a system can represent your process from intake and briefing through production, review, approval and delivery. Then assess whether the following needs are supported in a way that suits your team:
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problems- Account separation: Internal teams need a cross-client view; clients should see only the material and status intended for them.
- Capacity across accounts: A person’s planned work should be visible across the projects competing for their time, not only inside one client workspace.
- Reviews and approvals: Feedback, revisions and approval status should live with the relevant task or creative asset, rather than being scattered across unrelated conversations.
- Financial and operational visibility: If the agency manages billable time, budgets, retainers or account profitability, establish which of those must connect to delivery and which can remain in another system.
- Portfolio reporting and integrations: Confirm that managers can see project health across accounts and that the system can connect to the tools your team already relies on.
These are selection criteria, not guarantees that every product includes every function. Feature availability can vary by product plan and may change; verify the specific capabilities you need with the vendor.

How to compare software for your agency
Use a representative client workflow to compare options rather than choosing from a feature checklist alone. For each candidate, walk through the same brief, production handoffs, client review, revision and delivery scenario. Record whether the workflow is clear to staff and clients, and whether managers can answer practical questions without assembling information by hand.
| Comparison area | What to verify in a trial |
|---|---|
| Workflow fit | Can the system represent your actual stages, handoffs, dependencies and milestones? |
| Permissions | Can clients access the right project information without seeing internal discussions or other accounts? |
| Capacity | Can leads review planned work across active accounts and identify conflicts? |
| Creative review | Can reviewers comment on the relevant work or asset, and can the team track revisions and approval status? |
| Time and financial tracking | Does it support the time, budget or retainer visibility your operating model requires, or will another system remain authoritative? |
| Reporting and integrations | Can managers see portfolio health and connect the system to the tools required for delivery? |
| Administration and cost | What setup, maintenance, access controls and total subscription cost follow from the number and roles of your users? |
Do not assume that a feature listed on a marketing page is included in the plan you would buy. Current comparable pricing, plan limits and geographic availability are not established here; check the vendor’s current terms for your location and intended user mix before deciding.

A separate buyer’s guide argues for connecting billable time, utilization, invoicing and resource planning when profitability is a priority; treat that as a purchasing perspective, not an independent finding. Set up the workflow before scaling it
Begin with one recurring service or one live client project. The goal is to make the real handoffs visible before turning an incomplete process into a template everyone must follow.
- Map the work: Write down the stages from request and brief to production, review, approval and delivery. Mark who owns each handoff.
- Choose minimum tracking fields: For the pilot, define the owner, due date, client, status and approval state. Add other fields only when the team needs them to manage or report the work.
- Set access rules: Decide which project information clients may view and keep internal notes or cross-account material restricted as appropriate. Test access using the client-facing view before inviting a client.
- Run a live project: Track actual work, feedback and revisions through delivery. Note where staff have to leave the system to find an owner, decision or approval.
- Review portfolio pressure: Look across active accounts for overlapping deadlines and capacity conflicts. If workload cannot be understood at this level, adjust the setup or reconsider the candidate.
- Make a reusable template: Once the pilot reflects how the work actually runs, capture its stages and handoffs for the next similar project.
This is a practical implementation sequence, not a tested case study. The 2026 Tandimy guide recommends trying one live client project before a broader rollout; the specific fields and steps above are an operating approach for applying that advice.

Make the decision on workflow fit, not feature count
Choose the candidate that lets staff manage work across accounts while preserving client boundaries, gives reviewers a clear place to respond, and provides managers the visibility they need into capacity and delivery health. If time, retainers or budgets drive account decisions, include those workflows in the trial rather than assuming project tracking alone will answer financial questions. A short pilot exposes practical gaps that a vendor feature list cannot settle.
