How I Gave My Meeting Agent Memory With Hindsight

A walkthrough of a meeting-preparation agent that uses Hindsight to retain notes and retrieve context for future briefings, with the project’s limits clearly distinguished from product claims.

Katikenapally Shivateja’s meeting-preparation agent uses Hindsight to retain meeting notes and retrieve prior context for future briefings. The project is an implementation walkthrough, not a measured evaluation: its examples show the intended workflow, but do not establish accuracy, speed, cost, or an advantage over other memory systems.

What the meeting agent is designed to do

Shivateja describes building the application to avoid checking several apps before recurring meetings. It connects to a calendar, gathers context about participants, and prepares a concise briefing shortly before a call. The stated stack is FastAPI for the backend, a vanilla HTML and JavaScript frontend for configuration, Google Gemini for brief generation and follow-up drafts, Docker for deployment, and Hindsight as the persistent memory layer. The author says the application was deployed to a homelab.

The central idea is to keep past meeting context available beyond the current prompt. As Shivateja puts it in the DEV Community article, “Context windows aren’t a database replacement.”

Why the author chose memory over a conventional RAG setup

The author’s first plan was conventional retrieval-augmented generation (RAG): divide notes into chunks, create embeddings, store them in pgvector, then retrieve relevant chunks by cosine similarity. The concern was not that semantic search cannot find related text; it was that similarity alone may not reliably answer a question bounded by time.

For example, asking “What were the unresolved action items from our last three syncs?” could surface an older note that sounds relevant but falls outside the requested period. The author also wanted to avoid maintaining chunking logic, embedding versions, and metadata filters. Hindsight was chosen as a dedicated memory layer intended to manage the persistence and retrieval of context.

That is the rationale for this project, rather than proof that one approach is universally better. For any meeting agent, useful comparison questions include whether it can enforce time boundaries, retain connections between people and facts, show supporting evidence for retrieved information, meet deployment and data-control needs, and integrate with the rest of the application.

How the example data flow works

The project separates adding meeting notes from preparing a later briefing. That makes the flow easier to reason about: notes are retained when they arrive, while retrieval happens when the application needs context for an upcoming meeting.

1. Retain notes after a meeting

In the author’s example, a webhook sends meeting notes to a backend endpoint. A wrapper then sends the notes to Hindsight along with an entity identifier, metadata, and a timestamp. The identifier associates information with the relevant entity, while the metadata and timestamp provide additional context for later retrieval.

Local data is encrypted, cloud files are exclusive to you, and data processing only upon your authorization. It is the trusted choice for legal, medical, and business professionals handling sensitive info.
  • Multimodal Input & Multidimensional Summaries: Capture audio, type notes, add images, and press/tap to highlight for richer context with multimodal input. Press the record button to mark key moments in real time. Plaud transforms a single conversation into multiple perspectives, providing faster, clearer insights, and unifies these inputs to deliver role-specific summaries that reflect your intent and priorities.
  • Dual-mode Recording: Switch between phone call and in-person meeting modes, capturing high-quality ambient sounds for meetings and presentations, while the Vibration Conduction Sensor (VCS) ensures clear call recordings by capturing internal phone sounds.

2. Retrieve context before the next call

Before a subsequent meeting, the application asks Hindsight for historical context associated with that identifier. It combines the returned context with the upcoming agenda and sends both to Gemini to generate a brief.

3. Turn context into a usable brief

The author’s illustrated brief calls out earlier decisions, blockers, and suggested talking points, and can include a draft follow-up email. A later project update also describes reminders for missed follow-ups. These are examples of the intended product behavior, not independently verified outputs.

How Hindsight describes its memory model

Hindsight’s official overview describes three operations: retain, recall, and reflect. It says memory banks store typed facts and related observations. Its documentation describes recall as combining semantic, keyword, graph, and temporal search strategies, while reflect uses an agentic evidence-gathering loop. These are descriptions from the product’s own documentation, not independent findings about retrieval quality.

The same overview presents three deployment paths: managed Cloud, embedded local operation, and self-managed deployment. Shivateja’s article says the meeting application runs in a homelab, but does not establish which Hindsight deployment option or plan the author used. Hindsight’s official overview and repository are the appropriate places to check current product and implementation details.

What the article’s examples do—and do not—show

The article illustrates a briefing that recalls a decision to migrate authentication, a deferred dashboard, and an outstanding staging-environment blocker, then proposes talking points and an email draft. That makes the workflow concrete, but the article reports no measured accuracy, latency, cost, or comparison with a baseline system. The examples therefore demonstrate the author’s intended use, not verified performance.

Hindsight’s official overview displays retrieval-accuracy figures for several named benchmarks: LongMemEval-S, LoComo, PersonaMem, PrecisionMemBench, LifeBench, and BEAM at 10M tokens. The overview does not state a publication year for those figures or establish independent verification, so they should be read as claims presented by Hindsight rather than as independently confirmed benchmark results.

What to consider before building a similar agent

  • Define time scope explicitly. Decide what “recent,” “last three,” or “unresolved” means for your meeting workflow, then check whether retrieval respects those boundaries.
  • Keep identity and provenance useful. The example sends an entity identifier, metadata, and timestamp with notes. Design these fields around the questions the agent must answer, and consider whether users need to inspect the supporting observations.
  • Separate ingestion from generation. Retaining notes when they arrive and retrieving them when a meeting is approaching avoids making the meeting brief depend on the current prompt alone.
  • Assess deployment against data requirements. Hindsight documents managed, embedded, and self-managed options. The right fit depends on operational and data-control needs; the article does not compare those options.
  • Evaluate the actual outcome. Test whether briefs cite the right meeting, preserve important decisions, distinguish open from completed actions, and avoid presenting old context as current. Shivateja’s article does not provide results for such a test.
