For a standard e-way bill, allow one validity day for up to 200 km, then add one day for every additional 200 km or part of 200 km. For Over Dimensional Cargo (ODC) and qualifying multimodal shipments with at least one ship leg, the rate is one day per 20 km or part. The distance determines the number of validity days; the bill’s start event and midnight expiry rule determine the actual deadline.
How is e-way bill validity calculated?
Use the approximate distance entered when generating the e-way bill and apply the band for the shipment category. Every partial band after the first counts as a full additional day.

| Movement category | Validity rate | Calculation |
|---|---|---|
| Standard movement | One day for up to 200 km; one additional day for every further 200 km or part | ceil(distance in km ÷ 200) |
| ODC or qualifying multimodal shipment with at least one ship leg | One day for up to 20 km; one additional day for every further 20 km or part | ceil(distance in km ÷ 20) |
The ceiling calculation means that any distance above a full band uses another day. For example, 310 km in the standard category takes two days: one for the first 200 km and one for the remaining 110 km. A 410 km standard movement takes three days. A 31 km ODC or qualifying ship-multimodal movement takes two days. The current e-Way Bill System FAQ explains the standard rule this way: “For every 200 KM one day is a validity period for EWB as per rule and for part of 200 KM one more day is added.” Goods and Services Tax e-Way Bill System FAQ; Rule 138 in the November 2025 Telangana Commercial Taxes Department consolidation.

Which vehicle or shipment type gets the 20 km band?
Rule 138 applies the 20 km rate to ODC and to qualifying multimodal shipments in which at least one leg involves transport by ship. ODC has a specific legal meaning: cargo carried as a single indivisible unit that exceeds the dimensional limits prescribed in Rule 93 of the Central Motor Vehicle Rules, 1989. A large vehicle or unusually heavy load does not, by itself, establish that the ODC definition is met. Check the prescribed dimensions and the shipment’s actual mode before using the 20 km band. Rule 138.

What distance should you use?
The e-Way Bill System FAQ says validity is based on the approximate distance entered while generating the bill. Its distance guidance describes an estimated motorable distance derived from the source and destination PIN codes and says users may enter the actual distance, limited to 10% above the system-displayed estimate. Because this is portal guidance, check the live portal’s estimate and entry behavior when creating a bill. Official e-Way Bill System FAQ.
When does validity start, and when does it expire?
The validity period starts with the first Part B entry: the first vehicle entry for road transport, or the first transport document number entry for rail, air or ship transport, whichever occurs first. Later Part B entries do not recalculate the original validity. Rule 138 counts the period from the relevant date and provides that each day expires at midnight on the day immediately following the date of generation. The FAQ’s clock-time example likewise uses the relevant midnight boundary, not a rolling block of 24 hours. Official e-Way Bill System FAQ; Rule 138.

So the distance calculation gives the number of validity days, but distance alone is not enough to determine an exact expiry timestamp. The bill’s generation and first Part B event matter; check the bill itself for its deadline.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteCan e-way bill validity be extended after a delay?
Rule 138 allows an extension in exceptional circumstances when the goods cannot be transported within the validity period, including a trans-shipment. The transporter must update Part B when required, and the rule permits an extension within eight hours from expiry. The official FAQ gives examples including natural calamity, law-and-order problems, trans-shipment delay and conveyance accident; it identifies the transporter carrying the consignment at expiry as the party who can extend it. This is a conditional process, not an automatic renewal. Rule 138; Official e-Way Bill System FAQ.

Why do some sources say 100 km per day?
That figure comes from an older validity band. The e-Way Bill System homepage records that the standard rate changed from 100 km to 200 km per day effective 1 January 2021 under Notification 94/2020. The current system FAQ and the consolidated Rule 138 text use the 200 km band. An older GST Council FAQ edition still shows 100 km, so it should not be used for a current calculation. e-Way Bill System homepage; current system FAQ; Rule 138 consolidation; older GST Council FAQ edition.
