That distinction matters because a stream of correctly recognized text can still lose the rows, columns, reading order, or context needed to use it reliably.
OCR reads characters; layout analysis reconstructs the page
Optical character recognition (OCR) identifies characters in an image or document and converts them into text. A basic OCR result may be little more than words or lines in sequence. Layout-aware document analysis adds a structural layer: it finds regions on the page and relates recognized text to elements such as paragraphs, headings, tables, figures, form marks, and sections.

A useful way to picture the result is text plus coordinates plus relationships. An output can include the recognized words, where they appeared on the page, confidence values, and references connecting text spans to larger elements. Google Cloud Document AI, for example, represents results in a structured Document object: its raw text field contains recognized text, while other elements can refer to ranges within that text. Microsoft describes its layout model as combining OCR with deep-learning models to extract text, tables, selection marks, and document structure.
Coordinates and relationships are not decorative metadata. They help distinguish a heading from a paragraph, show which line belongs in which column, and let a reviewer compare an extracted value with its source location. If an application needs only searchable text, plain OCR may be enough. If it needs a usable table, preserved reading order, or structured form content, it needs analysis beyond character recognition.

How table extraction works
Recovering a table requires recognizing both its text and its geometry. The system must identify the table region, detect divisions into rows and columns, assign text to cells, and represent relationships such as headers and merged cells. Reading all the words correctly but placing one value in the wrong row can make the result unusable.
What a structured table result can contain
Vendor outputs differ, but documented table features illustrate the kinds of structure a service may return:
- Grid positions: row and column counts, cell locations, and cell polygons or other geometry.
- Cell relationships: row and column positions, including spans where a cell covers multiple rows or columns.
- Headers: classifications that distinguish header cells from ordinary values.
- Table roles: titles, footers, summary cells, or whether a table is structured or semi-structured.
- Orientation: support for identifying rotated tables in some services.
Microsoft documents row and column counts, cell polygons, row and column spans, header classification, and rotated-table support. Amazon Textract documents cells, merged cells, column headers, table titles and footers, summary cells, and whether a table is structured or semi-structured. These descriptions establish available output features, not a guarantee that every cell or relationship will be correct on every document.

Why a returned grid still needs checking
A grid can look orderly while containing a misplaced value, an incorrectly assigned header, or a number detached from its unit. For consequential extraction, compare cell text and row-column associations with the source page, and verify units and totals where they affect decisions. Retain page and cell coordinates so a reviewer can inspect the original rather than relying on flattened text alone.
This is especially important when tables contain similar-looking values, irregular spacing, faint rules, or merged cells. A downstream system may treat a plausible but misaligned value as valid unless the workflow checks its position and meaning.
Tables that continue onto another page
A page break can interrupt a table even when the reader sees one continuous table in the original document. Microsoft advises considering whether a table spans multiple pages and describes splitting pages and post-processing the results into one table as an approach. Google’s Gemini layout parser documentation warns that a PDF table spanning pages might be returned as two tables. If the workflow requires one continuous dataset, it may need a reconciliation step that checks column headings and joins page-level results deliberately; do not assume the parser will merge them.

How OCR handles mixed content and reading order
Real pages often interleave prose with headings, lists, figures, tables, headers, footers, page numbers, or checkboxes. Layout analysis attempts to label these regions and represent their relationship to recognized text. Microsoft describes elements including paragraphs, text, lines, words, selection marks, tables, figures, and sections. Figure objects can include bounding regions, text spans, related elements, and captions.
Amazon Textract documents paragraphs, lists, headers, footers, page numbers, figures, tables, titles, and section headers. Its layout results include bounding boxes and text in an implied top-to-bottom, left-to-right order. That implied order is useful, but complex pages can still require review: for example, a page with multiple columns, a sidebar, or a caption placed beside an image may not read in the sequence a person would choose.
Finding a figure is not the same as interpreting it
A system may locate a figure and associate nearby text or a caption without fully understanding the chart or image itself. Region detection answers “where is this element?”; interpreting what a chart means or extracting every value from it is a separate problem that may require additional processing and verification. Treat a detected figure as a structural cue, not proof that its contents have been understood.

Form marks and page furniture
Checkboxes and other selection marks are distinct from ordinary text. A layout model may identify selection marks alongside text and tables, while headers, footers, and page numbers help describe page structure. Their presence in an output does not mean every mark or boundary has been interpreted correctly. When the selected option or a header changes the meaning of extracted data, verify the relevant mark or text against its page location.
Choosing an OCR service for a document workflow
Microsoft Azure Document Intelligence, Amazon Textract, and Google Cloud Document AI all document cloud services for extracting text and structure. The cited product documentation describes features and constraints; it does not establish a common accuracy benchmark on the same document set. There is therefore no evidence here for a universal most-accurate choice. Select by workload and required output, then test representative files.

Compare the output to the job
- Check input compatibility. Confirm the exact API or model supports the file type and document condition you have, and review relevant page, size, language, and digital-versus-scanned constraints. Do not assume every model processes every format in the same way.
- Define the structure you need. Decide whether the workflow requires searchable text, reading order, table grids, form fields, signatures, figures, or selection marks. Selecting a text-only path when row and column relationships matter will not solve the core problem.
- Inspect table behavior. Check support for merged or rotated cells, header representation, table types, and page-spanning tables. Consider how cell geometry and confidence information, where available, will help reconcile uncertain values with the source.
- Inspect mixed-content output. Determine how the service represents headings, lists, figures, headers, footers, and links between text and page regions. Make sure its reading order fits your page layouts.
- Plan integration and review. Examine the response schema and SDK fit, and decide how low-confidence or high-impact results will be checked by people or downstream rules. Preserve source pages and coordinates when traceability matters.
- Test representative documents. Use examples from the actual workload, including difficult layouts and table continuations. Verify extracted fields against their source pages rather than selecting a service from feature lists alone.
Prepare the source and choose the right pathway
Input quality and format affect what a layout model can work with. Microsoft’s general input guidance recommends one clear photo or high-quality scan per document for best results. For paper originals, the practical path is to create a clean digital image or scan before analysis; a document scanner may suit a paper-first workflow. It is unnecessary when the source is already a digital file, and no particular scanner model is established here.
Format-specific support matters as much as image clarity. Microsoft’s v4.0 documentation says table analysis is not supported when the input is XLSX, so do not assume a pathway intended for scanned or document-style files will analyze a spreadsheet as a table. Google’s documented Gemini layout parser behaviors also vary: PDF tables across pages might split, DOCX supports tables across pages but not nested tables, and HTML parsing relies heavily on tags, meaning CSS-based formatting might not be captured. Match the processing path to the file and layout instead of treating “OCR” as one identical operation for every input.
Version and service notes to check before implementation
Microsoft identifies Azure Document Intelligence API 2024-11-30, v4.0, as generally available and recommends it for new development. Its documentation says the v3.0 API reaches end of support on March 30, 2029. These are version and support details stated in Microsoft’s documentation; verify current migration guidance and service status when planning a deployment.
Amazon Textract’s optional A2I human-review configuration has a separate availability caveat: its API reference says A2I entered maintenance mode in July 2026 and no longer accepts new customers. That statement concerns the optional review configuration, not the availability of Textract’s core analysis API. Do not treat a limitation on that human-review option as a claim that core OCR analysis is unavailable.
What to validate before trusting extracted results
Document extraction is most useful when the output retains enough structure to audit, and when checks reflect the consequences of an error. A practical review can follow the data from page to application:
- Confirm that text is associated with the intended paragraph, heading, cell, or mark.
- For each table, check row and column placement, headers, merged spans, units, and totals against the original page.
- Check whether a continued table has been split at a page boundary and whether separately returned parts should be joined.
- Review reading order on pages with columns, sidebars, figures, or nearby captions.
- Inspect high-impact values and uncertain results using their source coordinates, rather than validating only a flattened text export.
- Test every relevant input format and model on representative pages before relying on the output at scale.
These checks address a central distinction: recognizing the characters is only one part of extracting a usable document. Reliable downstream use also depends on whether the system preserved the relationships that give those characters meaning.
