Clockify gives individuals and teams several ways to record work time, then organize those records by project or task and review them in reports. The right setup depends on how people work: a running timer suits live task tracking, a timesheet suits weekly entry, a kiosk suits shared on-site clock-ins, and the auto-tracker collects activity across apps and websites for later review.
These are product capabilities described by Clockify, not proof that using a tracker improves productivity. Records become useful when people categorize time consistently and someone reviews them. Some controls and analysis features are paid-plan dependent, so confirm the current plan details before adopting a workflow.

Which Clockify tracking method should you choose?
Clockify describes five ways to capture or view work activity. Choose based on whether employees track as they work, enter time later, share a clock-in device, or need a visual calendar.
| Method | Best fit | What to consider |
|---|---|---|
| Timer | Individuals who can start and stop tracking during tasks | Users can continue a timer, mark time as billable, and edit entries manually. |
| Timesheet | People who prefer to enter or review time in a weekly view | Clockify describes activity selection, recurring templates, submission and approval, and reminders for due timesheets. |
| Kiosk | On-site teams clocking in at a shared station | Clockify describes PIN, QR, and photo-capture options. Some controls and customizations depend on the plan. |
| Auto-tracker | People who need to reconstruct time spent across apps, websites, or documents | Collected activity still needs employee or manager review; it should not be treated as an automatically verified timesheet. |
| Calendar | People who want a visual view of the day | Clockify says it can connect events from Outlook or Google Calendar. |
Clockify characterizes its product as a way to “Track productivity, attendance, and billable hours with a simple time tracker and timesheet” on its features page. That is a vendor description rather than independent evidence of productivity outcomes.

A filled time axis page by page delivers physical feedback that digital tools cannot match, making it easier to keep going the more you use it.
- ✔ 1.Students & Exam Takers: Plan class, review and practice time; allocate study hours for each subject precisely for targeted exam preparation. 2.Professionals: Schedule meetings, work projects and commute time; prioritize tasks clearly and bid farewell to chaotic overtime. 3.Freelancers & Stay-at-Home Parents: Clearly divide work/childcare/personal time to avoid blurring the boundaries between life and work. 4.Self-Discipline Enthusiasts: Check in on fitness, reading and learning; develop regular routines with hourly scales to build good habits effortlessly.
Timer: track work as it happens
Start a timer when a task begins and stop it when the work ends; associate the entry with the relevant project or task. This approach reduces reliance on memory, but only if people reliably switch or stop timers when their work changes. Clockify also describes manual editing, so an entry can be corrected when a timer was missed or left running.
Timesheet: enter and review a period of work
A timesheet is useful when staff prefer to record activities in a weekly view rather than run a timer continuously. Clockify describes choosing activities, using recurring templates, submitting timesheets for approval, and reminders for due submissions. A submission and approval process creates a review point; establish who checks entries and what they should verify.

Kiosk: clock in from a shared station
A kiosk can suit a workplace where staff clock in at a common location instead of using individual devices. Clockify lists PIN, QR, and photo-capture options, with some kiosk controls dependent on plan. Its timekeeping page describes tablet availability but does not prescribe a device model or operating system. Before buying a shared tablet, verify current compatibility and consider where it will be mounted, who can access it, and how staff will identify themselves. See Clockify’s timekeeping software page for its current product description.

The auto-tracker records activity across apps, websites, and documents so users can assemble time entries afterward. Treat those records as prompts for review, not as a substitute for categorization or approval. The calendar view offers a visual way to see the day and, according to Clockify, connect Outlook or Google Calendar events.

How do time entries become useful business records?
Entries can be organized by projects and tasks, then reviewed through reports, filters, and exports. Clockify describes comparing estimates with tracked time, viewing costs and profit, and sharing or exporting reports. The exact project and reporting tools available can vary by account plan; check Clockify’s paid-features list for current availability.
- Project oversight: Compare tracked time with estimates to see where work is running above or below expectations.
- Billing: Mark appropriate entries as billable and review billable hours before using them in client billing.
- Operational review: Attendance and overtime reporting can help managers review staffing patterns.
- Cost analysis: Labor cost and profit analysis can support project evaluation when the necessary rates and records are maintained.
- Follow-up: Budget alerts and scheduled reports can notify teams when projects approach estimates or need attention.
- Record handling: Exports and shared reports can move time data into a review or accounting workflow.
These functions can inform management decisions, but Clockify’s product descriptions do not establish that they produce a particular productivity or profitability improvement. A report is only as dependable as the time categories, rates, and review practices behind it.

What should a team review before relying on Clockify records?
Decide how entries will be checked before using them for billing, payroll preparation, or project decisions. Clockify describes approval workflows and timesheet reminders; its Standard plan page also lists approvals, attendance and overtime, time-off management, invoicing, kiosk customization, and sending time to QuickBooks for billing and payroll. That page describes plan features, not legal compliance or a guarantee that a payroll process is correct.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minute- Define the project and task categories staff should use, and keep them clear enough that people can select the same category for similar work.
- Specify how to correct missed, duplicate, or running timers and who may edit submitted entries.
- Choose an approver and set a review cadence before records feed into billing or payroll preparation.
- Decide whether billable status, attendance, overtime, or cost fields need to be captured for your workflow.
- Check current plan assignments, seat rules, and permissions against the team’s actual requirements.
- Set expectations for activity monitoring and access to shared devices; Clockify’s feature descriptions alone do not establish your workplace’s privacy or legal requirements.
For procedural instructions, Clockify’s Help Center groups material on getting started, administration, time and expenses, reports, projects, activity monitoring, integrations, apps, and troubleshooting.

Which integrations can connect time tracking to other tools?
Clockify’s integrations page lists QuickBooks, Xero, Jira, Google Calendar, Outlook, Zapier, and other services. The presence of an integration in the vendor’s list does not mean every connection has the same functions or is available on every plan. Confirm the exact data flow, setup requirements, and current plan eligibility for the integration you intend to use on the Clockify integrations page. For example, verify which time fields move into an accounting tool and whether the workflow supports the billing or payroll task you have in mind.
How to decide whether Clockify fits your workflow
- Map the work pattern. Choose a timer for live tracking, a timesheet for periodic entry, a kiosk for shared on-site clock-ins, or the auto-tracker when activity across apps needs later reconstruction.
- Define the record structure. Set the project and task categories, and decide whether you need billable flags, attendance, overtime, costs, or estimates.
- Set review ownership. Name who checks entries, resolves errors, approves timesheets, and handles exceptions before records are used operationally.
- Check plan and integration details. Compare required features with the current plan pages and confirm the specific connection to any accounting, project, or calendar tool.
- Pilot the process. Test with a representative team and a normal work period. Check whether users categorize consistently, whether managers can catch errors, and whether exported or integrated data is usable for its intended purpose.
Clockify’s plans and feature assignments can change. Its Standard plan overview and paid-features page are the relevant places to verify current feature inclusion; do not assume a feature listed by the vendor is included in every account.
