ChatGPT can access a connected app only through a chain of permissions: the provider account authorizes access, the app defines which functions it supports, and ChatGPT workspace settings can limit whether those functions are available or require your approval. Depending on the app and setup, ChatGPT may search and reference information, use it in deep research, show interactive content, or perform supported actions. A connection does not automatically give ChatGPT or the app access to everything in your account.
What “connectors” mean in ChatGPT
OpenAI’s current Help Center terminology is “apps” or “connected apps.” People often still call them connectors: integrations that let ChatGPT work with information or functions in services such as Google Drive, Microsoft services, or Slack. The exact app list and capabilities can change, so an app’s presence in one account does not establish that it is available to every user.

A connected app can make information available to ChatGPT so it can search for relevant material and use that material in an answer. Some apps can also be selected as sources for deep research, provide interactive experiences, or support actions such as creating or updating information. These are separate capabilities, not a universal bundle. An app that can find and read content may not be able to change it, and an app with supported actions does not thereby gain unrestricted write access.
Whether you can use a particular app or workflow depends on factors that include your plan, region, account and interface, the app’s own support, provider authorization, and workspace or role controls. Deep research has its own condition: the app must support that workflow. Workspace administrators or provider administrators may also need to approve access.

How access is bounded
Think of access as three layers. Each layer can narrow what happens; success at one layer does not bypass restrictions at another.
1. The provider account authorizes access
When you connect an app, you may be asked to sign in to a provider account and approve requested permissions. The account you choose matters. If you authorize a work account, ChatGPT’s access is bounded by what that account can access and by the permissions granted through the provider’s authorization flow. A provider administrator may restrict or require approval for the connection.
Review the provider’s authorization screen before approving. Check the account identity and the requested services or permissions, especially when you have multiple personal and work accounts. Connecting one account does not mean that every account you own is connected, and authorization for an account cannot grant access to content that the account itself is not allowed to see.

2. The app determines supported functions
The integration determines which searches, retrieval functions, displays, and actions ChatGPT can request. The provider authorization is not a promise that every function exists. For example, search capability does not establish that an app can create or edit records; an app may offer a particular action only in certain contexts.
Rank #2
That distinction matters when interpreting a prompt to approve a read or write action. The action is limited to the app’s supported functions and the connected account’s permissions. Do not infer broad access from a generic label, or assume that an app can perform an action simply because ChatGPT can discuss how to do it.
3. ChatGPT and workspace settings can narrow use
Availability can be controlled by workspace settings, an administrator’s decisions, user roles, and action-approval preferences. For example, a setting such as “Allow read actions” can affect whether ChatGPT asks before using access that has already been granted. It changes the approval experience; it does not grant the provider account new permissions or expand the app’s capabilities.
This means the effective result is the intersection of provider permissions, app support, and applicable ChatGPT controls. Provider authorization does not override workspace restrictions, and a workspace setting cannot make an unsupported app action available.
What ChatGPT can do with connected-app information
For a supported app, ChatGPT may retrieve relevant information to answer a question, cite or reference source material in a response, or use the app as a source in a supported research workflow. Some apps can present interactive content or support an action that changes information in the provider service. The particular functions depend on the integration and the account context; check the app’s own description and the permissions requested during setup rather than assuming all apps behave alike.
Rank #3
Connected information can also have effects beyond a single retrieval. OpenAI’s connected-app guidance says relevant information may be remembered when Memory is enabled, subject to restrictions for the app or source. App information may also inform web-search queries. These possibilities are separate from whether an app is currently connected: memory, conversation history, and live app access are different mechanisms.
When ChatGPT proposes an action, distinguish the conversation from the underlying operation. A response that describes an edit is not itself proof that the edit occurred. For an actual supported action, pay attention to the app, the target account or content, and any confirmation or approval prompt shown in ChatGPT. An approval prompt governs whether ChatGPT may perform that requested operation; it should not be treated as a permanent expansion of access.
Live connections and administrator-managed sync are different
A normal live app connection and workspace-managed sync are not interchangeable. A live connection gives ChatGPT access through an authorized provider account and the app’s supported functions. Administrator-managed sync is a separate workspace feature: an eligible administrator connects a supported source, chooses an approved scope, and indexes content so it can be searched within the workspace.

|---|---|---|
| Who configures it? | An individual user connects a provider account, subject to any required approvals and workspace controls. | An eligible workspace administrator configures the source and selects its approved scope. |
| How is content accessed? | Through the connected account and the app’s supported functions. | Through an index used for search in an eligible workspace. |
| What limits retrieval? | Provider-account permissions, app capabilities, and applicable workspace settings. | The administrator-selected scope and the member’s underlying provider permissions. |
| Are live actions included? | Only if the app supports them and the account and workspace permit them. | A separate provider-account connection may still be needed for live app actions. |
| How quickly do changes appear? | The connected app’s live behavior depends on its supported access path. | Initial indexing and propagation of changes can take time. |
| Which sources and regions apply? | Availability depends on the app, plan, region, account, and workspace controls. | The current sync guidance lists Google Drive, SharePoint, and Microsoft Teams as possible sources where workspace and regional support permit them; data-residency availability differs by provider. |
An ordinary connection to the Google app does not automatically create a personal synced index. Eligible workspace administrators can configure Google Drive indexing separately. Even where sync is enabled, an index is not a way to bypass provider permissions: members can retrieve only content their provider access allows, and the administrator can narrow the indexed scope. The two arrangements may coexist, but an account connection for live actions may still be needed when an indexed source alone does not provide that function.
Rank #4
Do not treat the source list or regional availability as permanent or universal. Sync eligibility and data-residency options depend on the workspace and provider. Likewise, indexing is not necessarily instantaneous: allow time for initial indexing and for later changes to propagate.
Does OpenAI train on data from connected apps?
OpenAI’s connected-app guidance distinguishes among listed account categories. For Business, Enterprise, and Edu customers, information accessed from connected apps is not used to train models by default. For Free, Plus, Go, and Pro users, information accessed from apps may be used for model training if “Improve the model for everyone” is turned on.
This is a statement about connected-app information under the Help Center guidance for those listed plans; it should not be generalized to every account type or every ChatGPT product surface. Conversation retention, memory, other organizational settings, and the connected provider’s own data practices are separate matters. Check the settings and terms that apply to your account and workspace rather than using the training statement as a substitute for those controls.

OpenAI also says that data shared with an app is handled under that app’s terms and privacy policy, which users can review before enabling it. Consider both sides of the connection: what ChatGPT may retrieve from the provider and how the app handles data shared with it.

How to connect an app and review its access
The exact interface can change, and an administrator may control which apps users can add. The current OpenAI connection guide uses Settings > Plugins in its instructions; older or different app versions may show different labels. Follow the labels available in your account and review the provider authorization screen rather than relying on an old menu path.
- Check availability. Confirm that the app and the intended workflow are available for your plan, region, interface, and workspace. If you need deep research, verify that the app supports use in that workflow.
- Open ChatGPT settings and choose the app. Use the connected-app area shown in your version of ChatGPT. If the app is absent, check whether a workspace administrator has enabled it or restricted access to your role.
- Choose the intended provider account. Sign in to the correct personal or work account if prompted. A provider administrator may need to approve the connection before it can be used.
- Review and authorize requested permissions. Read the provider’s authorization screen, including the account identity, requested services, and permissions. Approve only if they fit the access you intend to allow.
- Use the app in a supported conversation. Ask ChatGPT to find or use relevant information, or select the app or source using the controls offered in your interface. If ChatGPT asks before a supported action, review what it proposes and approve only the operation you intend.
- Revisit connected accounts when needed. Settings may let you review accounts, reconnect, add another supported account, or disconnect an account. Treat each account as a separate authorization.
For organization-managed sync, the setup is an administrator task rather than an individual live-connection step: an eligible admin selects a supported source and scope for the workspace. Members’ provider permissions still matter, and a separate user connection may be needed for live app actions.
How to disconnect an app—and what that does not erase
Disconnecting an account stops future access through that disconnected account. It is a forward-looking access change, not an automatic cleanup of information already present in ChatGPT. Existing or archived chats, saved files, memory summaries, and other saved memories are not automatically deleted just because an app is disconnected.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsHandle the related controls separately. If you want to remove previously retained information, review the relevant chats and retention controls, saved items, and Memory settings. If the provider offers its own way to revoke an authorization, review that too. In a workspace with administrator-managed sync, ask the workspace administrator about the synced source and its scope; disconnecting your personal account does not necessarily disable a separate workspace-managed source. Other connected accounts can also remain active.
If an app or capability is missing
Availability is conditional, so diagnose the missing item by checking the layer that controls it. An app may be unavailable even when the provider service itself is working, and a connected app may be available for search but not for the action or research workflow you want.
- App is not listed: Check plan, region, account, interface, workspace enablement, and your role. An administrator may have disabled the app or limited who can connect it.
- Connection cannot be approved: Confirm that you selected the intended provider account and that the account has access to the content. Check whether the provider or workspace administrator must approve the request.
- ChatGPT cannot find expected content: Check whether the connected account can see it, whether the relevant scope is included, and whether the app supports retrieving that kind of content. For synced content, allow time for indexing or change propagation.
- A desired action is unavailable: Verify that the app supports that specific action and that the connected account and workspace permit it. Read-approval settings do not add new capabilities or provider permissions.
- An app cannot be used in deep research: Confirm that the app explicitly supports that workflow; ordinary search or retrieval support alone does not establish deep-research support.
Because app names, actions, eligibility, regions, and interface controls can change, the current OpenAI Help Center guidance for connected apps and sync is the best place to confirm the behavior for a specific plan, provider, workspace, or region. The policies described here reflect that guidance as of October 9, 2026.
