An unanswered quote request can be a workflow failure, not proof that a salesperson lacks skill. The request may never have become a trackable record, may have had no clear owner, or may have been assigned without an alert or a visible next step. Those are possibilities to investigate—not a diagnosis of any one business. Trace the request from arrival to reply before judging the person expected to handle it.
Why didn’t anyone reply to my quote request?
Inbound-lead guidance from Salesforce and HubSpot describes problems that can also affect quote inquiries: disconnected intake channels, manual assignment, missed notifications, and gaps in after-hours coverage. Applying that guidance to quote requests is useful, but it does not establish that any particular failure occurred in your company.

Follow one unanswered request through the process and look for the point where it stopped moving:
- Capture: Did the web form, shared inbox, phone call, or referral create a record the team can find?
- Ownership: Was a person or team explicitly responsible, or did the request remain unassigned?
- Routing: Did the assignment rule use the right territory, product, location, or account? Was a duplicate merged or overlooked?
- Notification: Did the owner receive an alert somewhere they routinely check? What happens when they are absent or the request arrives after hours?
- Next action: Was there a task with a due time, and a clear escalation if no one responded?
Look at the record, routing history, alert logs, and task status where available. A request marked “assigned” is not necessarily being worked: assignment does not by itself show that the owner saw it or knows what to do next.

How do I stop quote requests from falling through the cracks?
Make the queue visible and give every request both an accountable owner and a next action. For a small team, that can be a shared queue with explicit assignment and due-time rules. As channels, staff, or handoffs multiply, a CRM workflow or a routing layer integrated with the CRM may help make assignment, alerts, and reporting more consistent.
- Bring every channel into the process. Decide how web forms, shared email, phone calls, and referrals become trackable requests. Check that each route actually creates a record rather than relying on someone to notice an informal message.
- Define assignment rules. Specify who handles requests by territory, product, location, or account, and what happens when no rule matches. Decide how to handle duplicates, reassignment, absences, and requests that arrive outside staffed hours.
- Make ownership observable. Keep unassigned requests in a queue someone checks, and make the current owner visible. If assignment rotates among staff, define how the rotation works and who monitors exceptions.
- Attach a next action and due time. Create a follow-up task, set its due time according to your service commitments and staffing, and define who is alerted when it becomes overdue. Salesforce AppExchange partner guidance describes applying a service-level agreement at a point in the assignment model to create a time-bound horizon for follow-up; it does not establish a universal deadline for quote requests.
- Test the full handoff. Submit a test through each intake channel and verify that it creates a record, reaches the intended owner, triggers the expected alert, and produces a visible follow-up task. Test after-hours and absence scenarios too.
Who should follow up on an inbound quote?
Name a person or team as accountable for each stage, even if several people contribute. For example, an intake coordinator may own capture and routing, while a salesperson owns the substantive response and quote preparation. If the owner changes, make the handoff explicit: record the new owner and next action rather than assuming the previous assignment has transferred responsibility.

Set a fallback for exceptions. Someone should be able to see requests that have no owner, a failed assignment, an overdue task, or an owner who is unavailable. Routing guidance from Salesforce AppExchange describes capabilities such as matching, deduplication, custom routing, round-robin assignment, and time-bound follow-up expectations. Those capabilities can support accountability, but they do not replace clear ownership or staffing.

The reviewed sources do not establish one response-time target that applies to every quote request. The appropriate expectation depends on your customers, the complexity of the request, coverage hours, and what your business has promised. Set an internal target that you can staff and explain; do not treat an old lead-response statistic or a single customer story as a universal quote-request benchmark.
Define the clock before comparing performance. Choose whether it starts when the customer submits a form or when the request enters the team’s system. Define the stop event too: an automated acknowledgement is different from a substantive human response. Keep both definitions consistent across channels and reporting periods.
Salesforce’s Siemens case study, dated September 14, 2026, reports that Siemens reduced lead response time from days to minutes while covering approximately 2,500 in-scope inbound leads per month across 132 countries. That is a vendor-reported result for one company and its lead process, not a benchmark or promised outcome for quote requests generally.

What should we measure in the queue?
Measure the handoffs as well as the final sale. Salesforce’s sales-metrics guidance includes lead response time and average proposal-production time; the additional operational measures below help reveal where a quote request is stalling. They are useful process measures, not an industry standard.

- Assignment delay: Time from receipt to assignment.
- First-response time: Median and upper-percentile time from receipt to the first substantive response.
- Queue risk: Count and age of unassigned or overdue requests.
- Quote production: Time from request to quote delivery.
- Handoff reliability: Counts of reassignment, duplicates, and failed notifications.
Report by channel or team as well as overall. A healthy average can hide a channel where requests are routinely missed. Review the exceptions with the underlying records, and distinguish an automated receipt confirmation from a human response so the metric reflects what customers actually receive.
Which queue approach fits your team?
| Approach | Best fit to investigate | Trade-offs to check |
|---|---|---|
| Manual shared queue with explicit owner and due-time rules | Low request volume and a team that can reliably monitor one queue | Ownership clarity, visibility, after-hours coverage, and reporting burden |
| CRM assignment and workflow automation | Multiple channels, staff, locations, or recurring handoffs | Routing rules, duplicate handling, alerts, escalation, audit trail, and reporting |
| Dedicated lead-routing layer integrated with a CRM | Complex account matching or territory logic | Matching accuracy, integration, reassignment handling, service-level reporting, and administration effort |
Choose based on the failure you can demonstrate. If requests disappear before they enter a queue, adding more routing rules will not fix capture. If owners are clear but alerts fail, focus on notification and fallback behavior. If requests are assigned and visible but nobody takes the next action, clarify responsibility and follow-up expectations before adding software. Product availability and suitability should be checked for your organization and at the time of purchase.
