More capable AI agents can also use approved company knowledge and tools to carry out steps in a workflow. The right approach is to define the task and quality standard, decide what the system may do, and keep people responsible for review and consequential decisions.
What businesses use AI virtual assistants for
An AI virtual assistant can support individual knowledge work or participate in a broader business process. In practice, the distinction is less about whether a system has a chat interface and more about what information and tools it can access, what actions it can take, and where people review its work.

Finding and working with information
Employees can ask an assistant to locate relevant information, summarize documents, compare options, analyze material, or help reason through a problem. Microsoft’s 2026 Work Trend Index analyzed one week of Microsoft 365 Copilot chat telemetry from February 2026. Among classified conversation goals, 15% involved finding information and 49% supported cognitive work such as analysis, problem-solving, evaluation, or creative thinking. These percentages describe classified goals in that product telemetry, not the share of employees, time, or all business AI use. Microsoft, 2026 Work Trend Index.

Assistants can help produce first drafts, outlines, summaries, and other work products, which employees can then check and refine. In the same telemetry analysis, 17% of classified Copilot conversation goals involved producing work. That category is not a measure of accuracy, time saved, or finished output accepted by an organization.

Meetings and collaboration
AI can help workers catch up on missed meetings and support communication or collaboration. Microsoft and LinkedIn’s 2024 Work Trend Index described these among the activities reported by surveyed AI users, alongside analysis, brainstorming, and redesigning workflows. The report is a historical survey, not a current estimate of adoption across all workers. Microsoft and LinkedIn, 2024 Work Trend Index.
Customer interactions and service support
A virtual assistant may help employees respond to customers, retrieve relevant information during service work, or support a customer-service workflow. This can mean assisting a human representative rather than responding independently. Microsoft’s adoption guidance identifies customer-service support as an agent scenario; the degree of automation depends on the system’s design, its permissions, and the workflow around it. Microsoft Learn, AI Agent Adoption Guidance for Organizations.
Internal knowledge management
Organizations can configure assistants or agents to help employees retrieve company information. The usefulness of this depends on which knowledge sources are connected, whether their content is current and appropriate to expose, and what access controls apply. Microsoft Learn names internal knowledge management as a productivity scenario for agents.

Assistant or agent: what is the difference?
An assistant typically helps a person with a task: a worker asks a question, receives a summary or draft, and decides what to do with it. An AI agent can be configured to use a generative model to select from available knowledge and tools as it works through steps. That may let it do more than generate a response, but it does not mean it has unrestricted autonomy. Its capabilities are bounded by the tools, permissions, instructions, and approval steps the organization configures. Microsoft Learn’s organizational guidance describes agents as using knowledge and tools during a process.
The practical question is therefore not simply whether a business has an AI assistant. It is whether the system is helping a person think or produce work, taking defined workflow actions, or doing both—and who remains accountable for the result.

Published findings describe particular respondents or product activity. They can help explain how people are using AI, but they do not establish a guaranteed productivity improvement for every organization.

Microsoft’s 2026 Work Trend Index surveyed 20,000 full-time employed or self-employed knowledge workers who use AI across 10 markets. Edelman Data x Intelligence conducted the survey from February 18 to April 7, 2026. Its respondents were AI users, not a representative count of all workers or businesses. The report also said organizational factors—including culture, manager support, and talent practices—accounted for twice the reported AI impact of individual effort alone. That is a finding attributed to the report’s survey, not an independently established causal estimate. Microsoft, 2026 Work Trend Index.
For historical context, Microsoft and LinkedIn’s 2024 survey found that 90% of its surveyed AI users said AI helped them save time, 85% said it helped them focus on important work, and 84% said it helped them be more creative. Those are self-reported answers from that survey period, not proof that AI caused those outcomes or a current measure of workplace adoption. Microsoft and LinkedIn, 2024 Work Trend Index.
How to decide where an assistant belongs in a business
Start with a task and its consequences, not with a promise that AI will automate a whole job. A useful evaluation makes the expected contribution, limits, and human role explicit.

- Define the work. Identify a recurring task, such as locating a policy, summarizing a meeting, preparing a customer-service draft, or comparing incoming information. State what a successful output must contain.
- Set the quality bar. Decide how accurate, complete, current, and consistent the result needs to be. Consider the harm or cost of an incorrect answer, and whether a person must verify facts before the output is used.
- Map the knowledge and tools. Identify the information sources the assistant needs and any tools or actions an agent would require. Limit access to what is appropriate for the task; availability of a tool does not by itself justify granting an agent permission to use it.
- Choose the human checkpoint. Specify which outputs can be used as drafts, which actions require approval, and when work must be handed to a person. Keep a clearly accountable owner for decisions with material consequences.
- Test with representative work. Compare results with the business’s quality standard using realistic examples, including exceptions and ambiguous cases. Check whether the assistant knows when it lacks enough information and whether people can correct or escalate its work.
- Measure against a baseline. Choose an outcome that fits the task, such as response quality, time to complete a defined step, or successful retrieval of the right information. Record how the baseline is measured and track the same outcome after introduction; do not treat usage counts or favorable survey responses as proof of business impact.
- Review the workflow as it changes. If a tool, knowledge source, permission, or business process changes, revisit the quality checks and approval boundaries. Microsoft’s 2025 Work Trend Index summary identified customer service, marketing, and product development as leading AI investment priorities among surveyed leaders; that is a report-specific result, not a universal ranking of where every business should start. Microsoft, 2025 Work Trend Index.
Common mistakes to avoid
- Confusing assistance with automation: a generated answer or draft is not the same as a process completed safely from start to finish.
- Giving access before defining need: connected knowledge and tools should match the task and its permissions, rather than being treated as an all-access convenience.
- Removing review from high-consequence work: use approval or human handoff where errors, judgment, or accountability matter.
- Reading survey results as guaranteed returns: reported perceptions and product telemetry have specific populations and denominators; neither alone proves an outcome for a particular business.
- Ignoring organizational practice: adoption depends on workflow design and the people and management practices around a system, not only on an individual employee’s ability to prompt it.
Frequently Asked Questions
How do businesses use AI virtual assistants?
They use them to find and summarize information, analyze material, draft outputs, brainstorm, support meetings and collaboration, and assist with customer interactions. Configured agents may also use company knowledge and tools to complete defined workflow steps.
What can an AI assistant do for a business?
It can help with information retrieval, analysis, evaluation, drafting, and other knowledge work. Depending on its design and permissions, an agent can also take specific steps in a customer-service or internal knowledge workflow. Capabilities should be judged against the task’s quality requirements and the organization’s controls.
Can AI assistants help with customer service?
Yes. They can assist employees handling customer interactions or support parts of a customer-service workflow. Whether the system only drafts or retrieves information, or takes an action itself, depends on its configuration and the human approvals built into the process.

Do the reported benefits prove that every business will save time?
No. Microsoft’s figures include self-reported survey responses from specified groups and product telemetry about classified conversation goals. They describe those respondents and activity, not a guaranteed or independently measured productivity gain for every business.
What is the difference between an AI assistant and an AI agent?
An assistant usually helps a person complete a task. An agent can be configured to choose among approved knowledge sources and tools and perform defined workflow steps. The term “agent” does not by itself establish how autonomous the system is; permissions and workflow design determine that.
