How Applicant Tracking Systems Parse Resumes—and What Recruiters See

An ATS may turn resume details into searchable fields while keeping the original file. Here’s what can be parsed, what recruiters may see, and how to avoid common formatting problems.

An applicant tracking system (ATS) can extract information from your resume and place it into structured fields—such as work history, skills, or contact details—for an application or recruiter workflow. That does not mean every ATS scores or automatically rejects every resume. What gets extracted, displayed, searched, or used to help match candidates depends on the platform and how the employer has configured it.

What does resume parsing do?

Resume parsing is the process of identifying information in a resume and placing it into structured candidate or application fields. Those fields can help populate an application, organize applicants, and make information searchable. They are a data-entry and retrieval layer—not, by themselves, a hiring decision.

For example, Workday documents parsing that fills fields in recruiter workflows and allows users to review the results. Its documented workflow does not autofill configured hidden fields, languages, or skills. Roche describes extracting and storing resume information so it can be categorized, sorted, and searched; it also uses parsing to help candidates populate an application. In that workflow, candidates are advised to check where the information landed. Workday’s parsing documentation and Roche’s candidate FAQ describe their own systems, not a universal ATS design.

What does a recruiter see after you upload a resume?

A recruiter may see parsed profile fields as well as the original resume attachment and your application answers. The exact layout and available actions vary by product, employer setup, and hiring workflow.

Greenhouse instructs recruiting users to verify details entered from a parsed resume and notes that organization-required fields may still need to be completed. Roche says recruiters or managers may search parsed information and review each applicant’s attached CV. Lever’s documented Fast Resume Review workflow presents resumes and application-question answers and lets recruiting teams collaborate, advance, or archive applicants. These examples show why a parsed profile should not be assumed to replace the resume itself. Greenhouse’s recruiter instructions, Roche’s FAQ, and Lever’s applicant-pipeline documentation explain those specific workflows.

Can a resume parser miss or misread experience?

Yes. Parsing may be incomplete or inaccurate, and the result can depend on both the document and the system. Workday says results vary with resume format and word order. Greenhouse lists common causes of parsing problems, including letter spacing, graphics, photos, word art, image-only resumes, complex tables, headers and footers, contact information placed in headers or text boxes, columns, and unclear or inconsistent sections.

A failed parse does not necessarily mean the resume is lost: in Greenhouse’s described workflow, the file can remain attached even when fields are not filled, and a user may need to enter information manually. Greenhouse’s troubleshooting article documents a 2.5 MB parsing limit for that workflow; it is not a universal ATS limit. See Greenhouse’s parse troubleshooting guidance and Workday’s documentation.

Make the document easier to parse

  • Use clear, conventional section headings and a straightforward reading order.
  • Keep your name and contact details in the main document body, not in a header, footer, or text box.
  • Avoid relying on tables, columns, logos, graphics, or text boxes to convey essential information.
  • Use a text-based document rather than a scan when possible, and check that its text reads sensibly in sequence.
  • When an application displays autofilled fields, review and correct them before submitting.

Roche recommends avoiding tables, text boxes, logos, graphics, and columns, and using clear sections and a readable order. These are practical precautions, not a guarantee that every ATS will interpret a resume identically. Roche’s recommendations are in its candidate FAQ; Greenhouse’s candidate FAQ also discusses reviewing application information.

Should you submit a PDF or DOCX?

There is no evidence-based universal answer. Supported formats and recommendations differ by application workflow, so follow the employer’s instructions first. If the application permits either format, a text-based file is preferable to a scanned image, and checking the populated fields is useful when the site provides that option.

Documented workflow What its guidance says
Greenhouse candidate uploads Greenhouse lists DOC, DOCX, PDF, RTF, and TXT as supported formats, with a 100 MB upload limit in its support article. Source
Greenhouse MyGreenhouse Quick Apply The candidate FAQ recommends PDF for best results in that particular workflow and suggests re-saving as PDF and reducing file size if an upload fails. Source
Roche candidate guidance Roche says PDF often preserves visual layout but recommends DOCX for ATS parsing. Source

The Greenhouse figures above describe the cited Greenhouse upload guidance; they should not be treated as limits or requirements for other employers’ systems.

What might recruiters search for?

Roche says recruiters can choose job-related search terms, commonly skills, qualifications, experience, and other relevant qualities. Its examples include majors for entry-level roles and programming languages for technical work. A parsed profile may not contain every detail a parser could identify: a Northeastern University roadmap notes that default ATS and HRIS configurations may not accept every field and that customer-specific setup affects which data moves between systems. The profile is therefore a configured record, not necessarily a complete digital copy of the resume. See Roche’s FAQ and the Northeastern University roadmap.

Describe your relevant experience with accurate, natural terminology that matches the role where appropriate, and support it with concrete details. Repeating keywords or hiding them in a document is not a reliable shortcut: the cited guidance supports relevant information that can be searched, not a promise that keyword repetition secures attention or an interview.

Does an ATS automatically reject resumes?

That claim is too broad. In Greenhouse’s documentation, an employer chooses whether to enable its Talent Matching feature for a job; the feature is described as assistive AI and does not automatically advance or reject candidates. Greenhouse says recruiters and hiring managers remain responsible for decisions in that feature. Lever’s documented pipeline workflow likewise shows recruiting teams reviewing individual resumes and application answers before taking actions such as advancing or archiving applicants. These examples do not establish how every employer configures every ATS, but they do not support the blanket claim that all ATS platforms automatically reject resumes. Greenhouse’s candidate FAQ and Lever’s pipeline documentation describe the cited workflows.
