AI planners suggest meeting times by matching the calendar information and constraints they can access, then presenting candidate openings. A free slot is not proof that a person is available in real life, wants to meet then, or can attend. The recommendation is only as informed as the data, permissions, and settings behind it.
How does AI find the best meeting times?
For a calendar-based planner, “best” usually means a time that fits the request and the availability the system can see—not a time proven to be ideal for every participant. Microsoft’s FAQ uses the question “How does AI find the best meeting times?” Its Graph API documentation describes generating suggestions from the organizer’s and attendees’ availability together with time or location constraints included in a request.

In broad terms, a planner identifies candidate openings that meet the declared conditions, then ranks or presents them. Those conditions may include working hours, existing calendar commitments, time zones, and user settings. The exact inputs depend on the product and its permissions. Microsoft’s documentation does not publish a universal scoring formula, so it would be misleading to claim that all planners rank candidates in the same way or optimize the same definition of “best.”

What the request contributes
A request can narrow the search. For example, OneCal’s documentation gives the prompt “Find a 30-minute slot with Sarah tomorrow”. A system handling that request needs to interpret the duration and date, identify the relevant calendar or person, and check the availability it is authorized to access. The example illustrates one product’s documented interaction, not a standard supported by every assistant.

More natural-language assistants may use authorized information beyond calendar availability. Calendly says its Callie assistant can review Calendly app data and email threads, suggest times using availability and settings, take requested actions, and reply on the user’s behalf. OneCal documents questions across connected Google, Outlook, and iCloud calendars, as well as calendar modification features. Whether an assistant can access any of that context depends on the specific product, connected accounts, and granted permissions.
What information can an AI planner see?
A calendar is a record, not a full account of someone’s life. Depending on sharing settings and integration permissions, a planner may see free/busy status, event details, or other authorized data. It cannot safely be assumed to see the same information in every account—or to have access to information that was never recorded.
That distinction matters even when a tool has calendar access. OneCal says its team availability assistant can see whether a team member is free or busy without seeing event titles, details, or attendees. Busy/free visibility may be enough to avoid a clash, but it does not tell the assistant what the person is doing or why that time is blocked.
A free slot is not a human availability check
An open calendar interval establishes only that the accessible calendar does not show a conflicting event under the information and settings being used. It does not establish that the person has no offline commitment, is willing to meet, prefers that time, or can attend. A person might have forgotten to add an obligation, need a break, or have a preference that is not represented in their settings. Those are limits of the available inputs; they are not evidence that a system has discovered the person’s motives or personal circumstances.

Accordingly, treat a suggested time as a candidate to confirm, especially when the meeting is important or the calendar may be incomplete. Do not infer that the assistant can reliably determine unrecorded context from a calendar alone.
Why recommendations can change or miss the mark
Inputs can be incomplete or change
A candidate depends on the calendars and constraints available when the request is handled. If an attendee’s calendar is not connected, sharing is limited, an event is missing, or a time zone is interpreted incorrectly, the system may not have the information needed to rule out a bad time. A changed event or setting can also change which openings appear eligible. The practical question is not just whether a tool uses AI, but whether the relevant participants’ calendars and constraints are represented accurately.
Some algorithms are adjusted over time
Microsoft Learn’s beta documentation for the Graph findMeetingTimes API says: “The algorithm used to suggest meeting times and locations undergoes fine-tuning from time to time.” It also warns: “In scenarios like test environments where the input parameters and calendar data remain static, expect that the suggested results may differ over time.” This is a Microsoft Graph beta-specific caveat, not a claim that all commercial planners change their results in the same way. Microsoft says the beta API is subject to change and is not supported for production applications.
That warning is useful when evaluating repeatability: even fixed test inputs may not always yield identical suggestions in that beta API. It does not establish how frequently results change, or how another product behaves.

Unusual cases may need human judgment
Microsoft Research’s Calendar.help publication describes a system that decomposed common scheduling cases into repeatable workflows and microtasks, automated tasks where possible, and routed unusual cases to a trained human assistant. The publication page describes “scheduling thousands of meetings during a year of real-world deployments.” That is the publisher’s description of the deployment’s volume and period; it is not an independently verified success rate or evidence about current scheduling products.
The example illustrates a practical boundary: routine scheduling can be structured into manageable steps, while an unusual request may require context or judgment that is not captured in a simple availability check. It should not be read as proof that today’s assistants routinely use human fallback.
What to check before connecting an assistant
Privacy and control depend on the particular provider, account type, integration, and organization settings. Before enabling a scheduling assistant, check the following in the product’s current documentation and settings:
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors- Connected data: Which calendars, email accounts, or other services can it read? Does it use event details, or only availability?
- Account ownership: Is the account personal, work, or school-managed? Who can administer the account or review its data?
- Permission scope: Can the integration only read information, or can it create, edit, delete, or send invitations?
- Confirmation: Does the tool ask before making changes or sending messages? Can that setting be changed?
- Retention and controls: What data is retained, for how long, and what options exist to export, delete, or manage it?
- Disconnecting and sharing: Can you revoke the integration, and can you change event-sharing settings without breaking other calendar features?
Provider-specific examples
Google says Calendar content is processed for functions such as spam and malware protection and searching calendar entries. It says personal calendar content is private unless shared, while a work or school administrator may be able to view the calendar. Google also describes controls for sharing, activity, and data export; an organization’s administrator may restrict downloads. These statements concern Google’s service and account arrangements and should not be generalized to other providers.

Microsoft Support says Copilot Tasks connectors can access services such as calendars when authorized, and that some external actions require user approval. Microsoft warns that tasks may misunderstand requests, advises users to review actions, and identifies highly sensitive or critical activities as unsuitable. That is a reason to inspect proposed actions rather than treating the feature as an unquestioned authority.
Calendly says its AI providers receive the minimum data needed for a feature and that customer data is not used to train models across customers. These are Calendly’s statements about its service, not an independent audit or a universal rule. Check the current terms and settings applicable to your plan and region before connecting sensitive information.
OneCal says its assistant can make mistakes and requires confirmation for changes. That confirmation step is a product-specific control, not a guarantee that every scheduling assistant pauses before acting.

How to evaluate a scheduling assistant for your workflow
Compare the controls and capabilities that affect your situation rather than relying on a general claim that a tool is “AI-powered.” A useful evaluation can be done before granting broad access:
Best Value
- List the calendars and participants involved. Check whether the assistant supports the calendar services you use and whether it can see the availability needed for all participants.
- Identify the information it reads. Distinguish calendar-only access from access to event details, email, or other app data. Ask whether the assistant uses only free/busy status or more context.
- Separate suggestions from actions. Determine whether the product only proposes times or can also create or modify events, send invitations, or reply to messages.
- Check its approval flow. Find out which actions require confirmation and whether the tool provides a review step before an external change is made.
- Test a low-stakes request. Use a straightforward scheduling request and check whether the result respects duration, time zone, working hours, and the calendars you intended it to use. Do not treat one successful example as proof of accuracy in unusual cases.
- Review privacy and administration. For work or school accounts, check the organization’s policies and administrator controls as well as the provider’s user-facing settings.
- Plan how to revoke access. Confirm where to disconnect the integration and how to adjust sharing if you decide to stop using it.
There is no controlled head-to-head accuracy evaluation established here, so these sources do not support naming a most accurate assistant or ranking products. The practical fit depends on compatible calendars, permission scope, whether the tool can act, its confirmation workflow, and the privacy controls that apply to your account.
Using recommendations without over-trusting them
For an ordinary meeting, a suggested opening can save the effort of manually comparing calendars. Before accepting it, check that the right people and calendars were considered, that the displayed time zone is correct, and that the slot works for the participants. If your calendar does not include all relevant obligations, add or communicate the missing constraint rather than expecting the planner to infer it.
For a consequential or sensitive meeting, review the proposed time and any message or invitation before it is sent. Make sure the assistant has not selected a slot that conflicts with an unrecorded commitment or a personal preference you have not configured. If a request is unusual, clarify it in plain terms or handle the scheduling directly instead of assuming a routine availability match captures the needed context.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →The core distinction is simple: a planner can reason over information made available to it, but the result remains conditional on that information. The more important the meeting, the more valuable it is for a person to verify the assumptions before accepting or sending the recommendation.
