A virtual receptionist answers calls for your business using the instructions you provide. Depending on the service and plan, the answering may be handled by a live person, AI, or a combination of both; it can include taking messages, routing calls, capturing leads, answering approved questions, and booking appointments. The right choice depends on which calls you need covered, how callers should be helped, and what the service will cost at your actual call volume.

What a virtual receptionist does

A virtual receptionist is an outside call-answering service that represents your business according to rules you set. It may greet callers, collect contact or lead details, answer approved FAQs, transfer a call, schedule an appointment, or pass along a message for follow-up. The exact tasks depend on the provider and plan.

These services are not one uniform product. Ruby describes its offering as human receptionists supported by AI tools, and says, “When a call routes to Ruby, a trained receptionist—not a bot—answers on your behalf.” That is Ruby’s description of its service, not a definition that applies to every provider. Smith.ai’s current pricing page presents an AI-first answering service with lead qualification, routing, and scheduling, plus a separate live-agent network for escalation. Check how a particular plan handles requests its primary answering model cannot resolve.

How calls fit into your existing phone setup

The service handles calls routed to it; your business decides which calls go there and what should happen next. A provider’s workflow is not a universal setup standard, so confirm the actual steps and available controls with the service you are considering.

  1. Set coverage rules. Decide which hours and days the service should answer, including whether you need evenings, weekends, or holiday coverage. Smith.ai says businesses can select answering hours and direct calls outside those hours to a chosen number or voicemail.
  2. Write instructions. Specify the greeting, approved answers, information to collect, transfer destinations, and situations that require urgent escalation.
  3. Choose where calls go. Configure your business phone system to route the selected calls to the service. Ruby says calls can be transferred to a chosen phone number.
  4. Choose how you receive results. Decide where messages and captured details should go. Ruby says messages can appear in its app or be sent by email or text; verify whether your plan supports the delivery method and integrations you need.
  5. Test and review. Place test calls for routine questions, transfers, urgent requests, and calls outside business hours. Check that the right person receives the information and that the caller experience matches your instructions.

What to compare before choosing a service

Start with the calls your business actually receives, rather than a provider’s broad feature list. Verify each capability at the plan level; providers can package features differently.

  • Answering model and escalation: Is it live-human, AI-led, or hybrid? What happens when the system cannot answer or a caller asks for a person?
  • Coverage: Which hours, days, weekends, and holidays are included?
  • Transfers and urgent calls: Can calls be routed to specific people or numbers? How are urgent situations identified and escalated?
  • Messages and lead capture: Which caller details are collected, and how are messages delivered? Can the service qualify leads or support outbound follow-up?
  • Caller tasks: Can it answer your approved FAQs and book appointments? If so, confirm the calendar or scheduling workflow involved.
  • Language and industry workflows: Check support for the languages your callers use and any specialized procedures your business requires.
  • Records and integrations: Ask whether you receive call summaries, recordings, transcripts, or messages, and whether the service connects to your calendar, CRM, or practice-management tools.
  • Changes and onboarding: Find out how instructions are created, who can update them, and how quickly changes take effect.

Ruby lists live answering, lead capture, appointment scheduling, and FAQs among its capabilities. Smith.ai lists answering, lead qualification, routing, scheduling, analytics, and integrations on its plan page. These are provider-listed features, not assurance that every feature is included in every plan.

How much does a virtual receptionist cost?

There is no single standard price: providers use different billing models and include different allowances. Ruby’s answering-service page lists plans starting at $245 per month for 50 minutes. Smith.ai’s AI receptionist page lists monthly plans with included call counts and per-call rates, and describes charges for calls beyond the allowance. These are time-sensitive prices stated by the providers; check their current plan pages before buying.

Compare the expected total invoice for your call pattern, not just the headline starting price. Ruby’s pricing guide describes both per-minute and per-call billing as common structures and advises checking for after-call work fees. A minute-based plan can make call duration important; a per-call plan makes the number of billable calls important. In either case, clarify the rules that determine the bill.

Smith.ai states that its listed AI receptionist plan is month-to-month and requires 30 days’ cancellation notice. This is a vendor-specific term; confirm the current contract rather than assuming it applies to other services or plans.

Privacy-sensitive calls and HIPAA-related services

For health-related calls, Ruby advertises a HIPAA-oriented answering service. Ruby’s FAQ says customers must opt in and sign a Business Associate Agreement to use that service. Treat this as Ruby’s stated arrangement, not a determination that your business or every call it handles is compliant. Verify the contract, the service’s actual workflow, and your own legal obligations for your industry, location, and call types.

How to assess performance claims

Ruby’s 2026 vendor page reports that its service reclaims 10+ hours per month, handles 1.1+ million conversations monthly, and has an average receptionist answer time under 10 seconds. These are Ruby’s marketing claims; the cited page does not provide an independent measurement method. They are not guarantees or established results for a typical customer. No independent industry-wide statistic or neutral comparative benchmark is established here, so use your own service requirements and a trial or contract terms—not a provider-wide figure alone—to judge fit.
