How a Trip Planner Turns “Let’s Go Somewhere” Into a Group Vote

A Delhi-focused prototype turns a vague long-weekend idea into three suggested trips and an email vote. Its demo used test inboxes, not the builder’s real group.

Prince Singh built a prototype that turns a recurring Delhi friend-group stalemate into three trip options and a vote. It checks upcoming long-weekend opportunities, suggests leave days, and emails each person a ballot. The important catch: the demo used test inboxes, and Singh says the real group had not received the messages. It is a design story about moving coordination forward—not evidence that the prototype has already ended anyone’s indecision.

The problem was getting someone to take the lead

Singh describes a familiar pattern: friends say they should go somewhere over a long weekend, but the chat never becomes a plan. As he put it, “The problem was never a lack of places to go. It was that someone has to take the lead, and nobody wants to be that person every time.”

His answer was to make a proposal arrive automatically, with a small set of choices and a clear way to decide. Instead of asking the group to invent a destination, dates, itinerary, and decision process from scratch, Trip Buddy handles the first proposal and asks each person to vote.

What the Trip Buddy prototype does

Singh describes building the system for six friends who meet and depart from Delhi. It checks Indian central-government holiday lists for 2026 and 2027, looks for holidays connected to weekends, and suggests leave that could extend a break. The configuration skips Diwali because this particular group does not travel then; it is not a general-purpose holiday calendar.

One example in Singh’s account is a Tuesday Dussehra holiday in 2026, paired with Monday leave to create a four-day break. The example describes the prototype’s calendar logic; it is not an independently verified statement about holiday dates or a guarantee that a reader’s employer observes the same days.

For each proposed window, the prototype generates three alternatives with different characters—hills, spiritual or nature-focused travel, and heritage—and a day-by-day plan. It then sends individualized emails with voting links, displays a live tally, and treats an option as decided when it reaches four votes from the six-person group. The scheduled email is reported to arrive 21 days before a long weekend.

Why the model does not control the rules

Singh’s design principle is: “The model plans, the code enforces.” The distinction matters because a generative model can suggest destinations and activities, but it should not be trusted to do exact date arithmetic or decide whether a vote threshold has been reached.

  • Ordinary code: checks date windows, calculates bridge leave, aggregates preferences, counts votes, schedules the proposal, and validates that generated output has the required structure.
  • The local model: suggests destinations and day plans for the available window.

For this group, the system also treats the ability for everyone to eat as a hard constraint because three of the six friends are vegetarian. Other preferences are handled more flexibly. That is a group-specific product choice, not a universal rule for planning trips.

What the demo proves—and what it does not

The demo showed that the workflow could be operated end to end, but not that it changed the group’s behavior. Singh says all six demo inboxes were test aliases, and he cast the votes himself; the real group had not received the messages. The prototype therefore demonstrates a proposed way to reduce the work of getting a decision started, not a field-tested solution to group indecision.

That distinction also clarifies the value of the idea. The prototype does not make friends agree on a destination. It makes the next action concrete: review three options and vote. Whether that is enough to get a real group to book remains unproven.

Reported implementation choices and tradeoffs

Singh reports using Node.js, Express, Nodemailer, Gmail app-password email, a Cloudflare quick tunnel, and Gemma 4 through Ollama. He says the prototype used no paid API and no database. These are details from his own project account, not an independent code review.

The local-first setup has practical limits. The laptop must stay on for the service to run, and a quick-tunnel restart can change the vote-link URL. A central-government holiday list may not match the calendars of all friends’ employers. Those constraints matter if a group expects the tool to run unattended or relies on a stable link over several days.

Where the prototype needed correction

Singh’s account includes several failures that show why the model’s role was constrained rather than trusted outright:

  • An initial scoring rule preferred a plain weekend over a five-day opportunity in April 2027. He revised the scoring function.
  • A model call could remain silent long enough to time out. He addressed this with streaming and by disabling hidden reasoning.
  • The model produced unrealistic travel-time estimates, including an estimate for Rishikesh that Singh had to correct. He clarified the travel-time prompt.
  • The system retried for minor budget or time overruns. He changed retries to focus on broken output structure.

Generated travel times are estimates, not booking facts. Confirm transport duration and availability with current travel providers before committing money or leave; the prototype’s date and vote logic cannot verify real-world logistics.

What a reliable next version would need

Singh lists a preference form, a winner notification, support for friends traveling to Delhi, and travel-time grounding through a search API as possible next steps. Each addresses a different gap: collecting preferences explicitly, closing the loop after a vote, handling a group that does not share one departure city, and replacing model estimates with better-supported logistics.

For any group adapting this concept, the useful design boundary is simple: keep exact rules in code, make model-generated suggestions easy to inspect, and make the decision process visible to everyone. The prototype’s strongest contribution is not an AI itinerary; it is the structured handoff from an open-ended chat to a proposal and a vote.
