Crashes, No Sound, or Screen Glitches?

For hotel owners, general managers, and department leads, the practical test is whether a team member can see what needs doing, act with the right context, and record what happened.
Start with the handoff, not the dashboard
Map the work as a chain: event → rule or triage → responsible team or person → action → completion status → guest or manager follow-up. A dashboard may help a manager inspect activity, but it does not by itself establish who owns the next task or what counts as finished.

For example, a checkout might trigger a housekeeping task; a completed clean might trigger an inspection; a payment failure might open a ticket; and a maintenance report might become an assigned work order. These are examples of capabilities described by software vendors, not universal hotel procedures. Set the rules around your own service standards, staffing model, and exceptions. BrightOS describes check-in workflows and failed-payment issues; James & Rita describes room, inspection, and maintenance workflows; and Vouch describes task assignment and inspection features.

What makes a task actionable?
A task should give its owner enough information to complete the work without searching through unrelated records or asking someone to reconstruct the situation. Depending on the task, that means a room or guest reference, timing or priority, an assigned role, and relevant notes or evidence.
#1 Best Overall
- Housekeeping: Identify the room, its status, the work required, and any inspection or readiness step that follows.
- Guest requests: Include the request and destination team, then make it possible to see whether it was accepted and completed.
- Maintenance: Capture the affected room or asset, the reported issue, urgency, owner, and outcome.
- Inspections and incidents: Preserve notes, photos, inspection results, or incident details when they are needed for follow-up.
Vouch says its product supports room assignments, status updates, comments, photos, and inspections. James & Rita describes live room status, workload balancing, task tracking, and incident logging. These are vendor-published capability descriptions; assess whether the details fit your own workflows in a property-specific demonstration.
Keep exceptions visible and decisions human-owned
Automate a repeatable action only when the rule is clear. If a payment fails, a room has an unusual status, or a guest request is sensitive, staff may need to review the case before it proceeds. The system should show that the normal path did not complete and make it clear who must decide what happens next.

- Used Book in Good Condition
Tempo says its workflows remain approval-gated until a hotel chooses to let them run end-to-end. That is Tempo’s description of its product design, not a guarantee about automation tools generally. Ask vendors to demonstrate which actions run automatically, which require approval, and how failed or ambiguous cases reach a supervisor. Tempo’s product page also says it observes existing hotel software and routines and connects with PMS and operations tools.

“Will this work with my existing stack?” and “Won’t this just be another system to learn?” are questions Tempo publishes in its FAQ; they are useful buyer prompts, not survey findings. Get concrete answers before choosing a tool:
Rank #3
- Integration: Which PMS and other systems connect? Which specific events and data synchronize, and in which direction?
- Routing: Can tasks be assigned to the right role or team, prioritized, tracked, and escalated?
- Context: Can staff see the room, guest, timing, notes, photos, or asset information they need where they work?
- Mobile and offline use: Can staff use the system on the property, and what happens to updates when connectivity drops?
- Status and failure handling: How can staff tell whether a change synchronized or an action could not be completed?
Vouch says offline task updates queue until reconnection. James & Rita describes PMS integration and offline mobile operation. Those are vendor claims, so ask to see the behavior using your property’s systems and devices—including what a user sees during an outage and after reconnection.
Make manager records trustworthy
A management view is useful only if the underlying room and task states are accurate and staff can keep them current. Before relying on reports, check whether managers can trace a task from trigger to completion and whether the records answer real operating questions without manual reconstruction.

A Janus case study describes a customer, Mitos Luxury Suites, operating two hotels with 32 rooms in Surulere, Lagos. The case study discusses manually rebuilt reports, payment verification, invoices, and remote oversight, and describes using hotel records for payments, guest folios, expenses, company invoices, and management reporting. This is one vendor-reported customer example, not evidence that other hotels will achieve the same results. In that testimonial context, founder and proprietor Engr. Titus Ezema says, “I have not seen anything that has made my life as easy as this particular software.” The page also quotes, “It’s not less admin, easier.” Both statements are customer testimonials about Janus, not independent evaluations.
Compare the workflow, not the feature count
Use a live demonstration to follow one real task from trigger to outcome. A long feature list is less informative than seeing whether the product handles your handoffs, records, and exceptions clearly.
Best Value
| Evaluation area | What to verify |
|---|---|
| Integration | Which PMS and other systems connect, and exactly which events and data synchronize? |
| Action routing | Can work be assigned, prioritized, tracked, and escalated to the appropriate team or person? |
| Context and evidence | Does the task contain the room, guest, timing, notes, photos, inspection result, or asset details needed to act? |
| Mobile and offline use | Can staff use it where work happens, and how are queued changes handled when service returns? |
| Human control | Which actions are automatic, which require approval, and where do exceptions go? |
| Operational records | Can managers trace task status and rely on the room and work data behind reports? |
Pilot one high-friction handoff
Start small, with a workflow where ownership or status is frequently unclear—for example, checkout to housekeeping or a guest request to department dispatch. Agree on the expected owner, completion state, and exception path before configuring the pilot.
- Describe the current process. Record the trigger, handoffs, delays or missed updates you want to address, and how the team currently knows work is complete.
- Set a baseline. Choose a local measure that reflects the problem, such as whether tasks have a named owner and a recorded completion state. Record how you will collect it; do not assume a vendor’s general performance figure applies to your property.
- Run the workflow with staff. Test normal cases as well as an exception, an incomplete task, and a connectivity interruption if offline work matters.
- Review the records and revise. Check whether staff can act with the context provided, managers can see the actual status, and exceptions reach the right person. Adjust the rule or workflow before expanding.
The available product descriptions and customer example do not establish a general numerical improvement from a pilot or from replacing dashboards with task workflows. Measure the outcome locally before claiming one.
