GUI Apps vs. Command-Line Tools on Windows: When to Use Each

Choose a GUI for visibility and discovery, or command-line tools for repeatability and automation. Windows Terminal lets you combine both workflows.

Use a graphical app when seeing available options and getting visual feedback matters; use command-line tools when you need repeatable steps, precise parameters, or automation. Many Windows workflows combine both: Windows Terminal is a graphical app that hosts command-line shells and tools.

GUI, shell, command-line tool and terminal: what’s the difference?

These terms describe different parts of a workflow, not competing names for the same thing.

  • GUI: A graphical user interface, where you interact with controls such as windows, menus, buttons and visual content.
  • Shell: An interactive command interface that accepts commands and returns results. A shell can also run scripts and may provide programming features such as variables, functions and flow control. [Microsoft Learn: PowerShell overview]
  • Command-line tool: A program you run from a shell to perform a specific task, such as managing files or querying information. The tool and the shell are related, but they are not interchangeable. [Microsoft Learn: PowerShell overview]
  • Terminal: An application that displays text input and output and lets you interact with a command-line client. Windows Terminal is a host for shells and command-line apps, including Command Prompt and PowerShell; it is not itself a shell. [Windows Terminal FAQ]

That means “GUI or command line?” can be a false choice. Windows Terminal has a graphical window, while the work inside its tabs or panes is text-based.

How to choose the right workflow

The table is practical guidance based on the documented roles of graphical interfaces and command-line tools, not a measured ranking of speed or productivity.

#1 Best Overall
Your situation Usually the better starting point Why
You are doing an occasional task and want to see available options. GUI app Visible controls can make it easier to discover settings and understand the current state.
You need to repeat the same steps or apply them to many items. Command line Commands can be rerun and, where supported, incorporated into scripts or batch workflows.
You need to set precise parameters or combine operations. Command line, if the relevant tool supports it Commands can express options explicitly and can be chained or scripted. Syntax and capabilities differ between tools.
You are learning a task or checking its visible result. GUI, or a mix Visual feedback helps with inspection; a command can handle repeatable parts when a suitable one exists.
The app does not expose the operation you need. Look for a supported command-line route A shell can launch tools that provide specific operations, but not every GUI function has a corresponding command.

Comfort matters, too. If you are unfamiliar with a command, a GUI may be a safer place to begin; if you are comfortable with the syntax and need to repeat the operation, the command line may be more practical. Neither interface is universally faster, more reliable, or easier to learn.

When a hybrid workflow makes sense

Windows Terminal brings a graphical host together with command-line work. Its profiles can open Command Prompt, PowerShell, Azure Cloud Shell or WSL distributions, and its tabs and panes can show multiple command-line apps at once. [Microsoft Learn: Windows Terminal]

For example, you could use one pane to run a command and another to inspect related information. The window, menus and tabs are graphical; the commands typed into a shell remain text-based.

Terminal settings can be changed in its Settings UI or by editing settings.json. The option to make Windows Terminal the default terminal application is available on Windows 11 and on Windows 10 version 22H2 after the May 23, 2023 update KB5026435, according to Microsoft’s installation guidance. Use commands carefully, especially for sensitive changes

  • Read a command and understand its effect before running it; check options and target paths rather than copying unfamiliar commands blindly.
  • Use only the permissions required for the task. Do not elevate a shell just because a command-line route is available.
  • Follow your organization’s rules for approved tools, scripts and system changes.

These are general precautions, not evidence that either a GUI or command line is inherently safer.

A simple way to decide for your next task

  1. For a one-off operation, start with the interface that makes the options and result easiest for you to see.
  2. If you find yourself repeating the same steps, check whether the app or Windows provides a documented command-line tool for them.
  3. Try the command on an appropriate small task, verify its effect, and only then consider scripting or applying it more broadly.
  4. Keep using the GUI for inspection or configuration when that is useful; use commands for repeatable work where they genuinely help.
