GST Invoicing Software for FMCG Businesses: Features to Compare

A practical guide to comparing GST invoicing software for Indian FMCG businesses, from e-invoice and e-way bill workflows to batches, schemes, credit and returns.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For an Indian FMCG business, GST invoicing software should do more than calculate tax and print bills. Compare how each option connects compliant invoicing with batch and expiry tracking, schemes, distributor credit, dispatch, returns and stock across depots. In a demo, follow one real transaction from goods receipt to invoice and return; a generic feature list cannot show whether the workflow fits your business.

What FMCG businesses should compare first

The right feature set depends on how the business sells and distributes, not just on its invoice volume. A retailer with one location may mainly need dependable billing, stock control and tax reporting. A distributor may also need depot-level availability, route-wise orders, credit checks, collections and van reconciliation. A manufacturer may need batch-level traceability from production or receipt through dispatch and returns.

Start by mapping the transaction that creates the most operational risk or manual work. For example: receive a batch, store it at a depot, apply a customer-specific scheme, check the buyer’s credit, allocate stock, dispatch by route, issue the invoice and any applicable e-way bill, then process a return or credit note. Ask each shortlisted vendor to demonstrate that same sequence using your products, locations, roles and rules.

  • Choose for the workflow you actually run: turnover, sales channels, number of entities and depots, invoice volume, internet availability and accounting processes all affect fit.
  • Separate a feature claim from a tested capability: a product page is the vendor’s description, not an independent audit or proof that the feature is included in every edition or plan.
  • Compare the same transaction across finalists: check the resulting invoice, stock movement, accounting records, reports and exception handling—not just the screens used to enter data.

GST invoices, e-invoices and e-way bills

Ordinary GST invoicing

Have the vendor show how the software maintains customer and supplier GSTIN details, HSN codes, tax rates and the invoice types your business uses. Test a real product mix and customer case, including applicable tax treatment, units of measure and any discounts or scheme deductions. Then inspect both the invoice output and the underlying sales record: a correctly formatted PDF does not, by itself, demonstrate that a required e-invoice has been registered.

  • [Deep Bass with Clear Vocals] High-performance drivers produce punchy bass while keeping vocals clean and detailed for everyday listening.

Also establish how changes are handled. Ask the vendor to demonstrate the permitted correction, cancellation, debit-note and credit-note processes for your transaction types. Confirm which changes are recorded against the original invoice, which require a separate document, and how those records appear in reports and the accounting handoff. Your finance team should review the workflow against the rules that apply to the business.

When the e-invoice process applies

GST Network (GSTN) guidance states that the notified e-invoice threshold is aggregate turnover of ₹5 crore and above, effective 1 August 2023. Applicability is based on aggregate turnover associated with a PAN and the relevant rules; it is not determined simply by whether a business describes an invoice as digital. The applicable rules and exemptions must be checked for the particular taxpayer. The Government of India’s Notification No. 10/2023-Central Tax, dated 10 May 2023, changed the wording from “ten crore rupees” to “five crore rupees” with effect from 1 August 2023.

An e-invoice workflow includes registration with an authorised Invoice Registration Portal (IRP) and obtaining an Invoice Reference Number (IRN). The IRIS IRP portal describes an e-invoice as carrying an IRN and digitally signed QR code. Consequently, ask the software provider to demonstrate the authorised IRP connection, IRN retrieval and QR output; a billing program that generates a PDF alone should not be treated as proof of a registered e-invoice.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

There is also a separate reporting-window rule for a higher turnover bracket. IRIS IRP states that taxpayers with annual aggregate turnover (AATO) of ₹10 crore and above must report e-invoices within 30 days of the invoice date, effective 1 April 2025. This 30-day window is not a replacement for the ₹5 crore applicability threshold. Rules can change, so verify current official guidance and your own applicability before configuring a system or signing a contract.

E-way bill and dispatch linkage

Ask the vendor to demonstrate the dispatch-to-e-way-bill workflow using the movement cases your business actually handles. Show how invoice data, transporter information and movement details are connected, what must be entered separately, and what happens when information is missing or an attempt fails. Test the inter-state and other applicable movement scenarios relevant to your routes rather than assuming that a general e-way bill feature covers them all.

For a distribution business, the operational question is whether staff can move from confirmed order to stock allocation, dispatch documentation and invoice without re-entering the same details at each stage. Verify the exact workflow and exception handling; feature names alone do not establish that the handoffs are integrated.

Batch, expiry and depot-level stock

Trace a batch from receipt to return

FMCG stock often needs more detail than a single on-hand quantity. Ask the vendor to receive a product with a batch or lot identifier and relevant date information, place it in a specific godown or depot, transfer it if needed, and allocate it to an order. Then trace the dispatched batch on the invoice or stock record and show how a later return is linked to the original transaction.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If the business uses first-expiry-first-out (FEFO), have the vendor demonstrate that allocation rule using your actual product data. Also test how staff identify near-expiry and expired goods, and whether the system can prevent or flag an allocation that violates company policy. Ask what happens when the returned goods are damaged, have a different batch, or cannot be returned to saleable stock. These are separate operational outcomes; confirm how each affects available inventory and the return record.

Check stock across locations

Test stock visibility by depot or godown, transfers between locations and branch-level reporting. A company with several depots should verify that users can see the stock relevant to their role, that dispatches reduce the correct location’s balance and that a transfer leaves a traceable record. If the business sells through vans or field teams, include van loading and return reconciliation in the demonstration.

Do not accept a single consolidated stock screen as evidence that the software handles the business’s allocation process. Ask staff to find stock at a particular location, reserve it for an order, dispatch it, and then explain any discrepancy between physical and recorded quantities.

Schemes, pricing and margin records

FMCG pricing can combine product prices, customer-specific terms, volume discounts, cash discounts and free-goods offers. Recreate the rules the business actually uses, including a scheme that grants free units, and inspect how the system calculates the invoice and records the goods issued. Check whether the resulting transaction can be understood later by the billing, accounts and sales teams.

Ask what reports show the scheme’s effect on sales and margin, and whether the scheme is visible at invoice and return level. A manual calculation, a free-goods quantity that is not recorded as stock movement, or a discount that is not reflected consistently in the sales record can make invoice review and margin analysis unreliable. Verify the accounting treatment with the business’s accountant; software support for a scheme does not settle its tax or accounting treatment.

Run at least one return against a transaction that included a scheme. Demonstrate how the system handles the returned paid units and any free goods, whether stock is restored to the right batch and location, and how the resulting credit note or adjustment is recorded. The objective is to verify the business’s real policy rather than assume that all schemes and returns follow one standard formula.

Distributor credit, collections and returns

Order entry should connect to receivables controls if the business sells on credit. Ask the vendor to set or show a customer credit limit, attempt an order that reaches or exceeds the limit, and identify whether the system warns, blocks or routes the order for approval. Clarify which users can override a control and how the action is recorded.

Next, record a receipt and inspect how it is applied to outstanding invoices. Demonstrate ageing of receivables, collection records and the information a field salesperson or accounts user can see. Confirm whether the software distinguishes an unpaid invoice from a partially paid one and how disputes or unallocated receipts appear in the process. The goal is a usable trail from sale to collection, not merely a customer balance total.

For returns, start with the original invoice and, where relevant, the batch that was dispatched. Show the return authorisation or entry, the stock disposition, the credit note and the customer balance after posting. Check reports for both the original sale and its reversal or adjustment. This is particularly important where the business has shelf-life policies, distributor claims or scheme terms that affect what can be returned.

Accounting, GST reports and operational controls

Ask the finance team to review the software’s purchase and sales records, GST reports, accounting handoff and reconciliation process. Use a sample period or realistic sample transactions to see whether invoices, credit notes, receipts and stock movements can be matched to the records used at month-end. Confirm how data is exported, what the accountant receives and whether the required details are preserved in the export.

Include audit trail, user roles, backups and data portability in the evaluation. Ask who can change tax settings, prices, customer credit limits and stock records, and how the system records those changes. Find out how backups are made and restored, how long data is retained, and what format the business can export if it changes systems. These are requirements to verify for the selected product and plan; they should not be inferred from a general feature page.

For mobile or field use, test the actual devices, connectivity and user roles the team relies on. If staff need to work where internet service is unreliable, confirm explicitly whether the relevant workflow works offline, which actions remain unavailable and how later synchronisation handles conflicts. Do not treat a mobile interface or a vendor’s mention of field sales as proof of offline operation.

Vendor examples to investigate

The following products have vendor-described capabilities relevant to FMCG workflows. These descriptions are leads for a demonstration, not rankings, independent feature audits or evidence that every capability appears in every edition. Confirm scope, integrations, deployment and plan terms directly with each provider.

Product Capabilities described by the vendor What to validate
BUSY Its FMCG product page describes billing and accounting for wholesalers, distributors and manufacturers, with batch and expiry tracking, schemes, multi-godown inventory, GST features, e-invoices and e-way bills. It also lists units such as cartons, boxes and pieces. Ask which edition includes each capability. Demonstrate a batch receipt, scheme calculation, multi-godown dispatch and applicable IRN/e-way bill workflow using your own products and transaction rules.
exactllyERP Its FMCG page describes batch and expiry management, schemes, distributor and dealer management, multi-depot stock, returns, credit notes, route-wise dispatch and secondary-sales visibility. It also describes GST invoices with HSN codes, rates, scheme deductions and batch details. Confirm deployment scope, integrations and plan terms. Test the full order-to-dispatch process, the returns and credit-note workflow, and how the stated secondary-sales visibility is obtained and reported for your channels.
Tradrr Its landing page describes connected POS, GST invoicing, e-way bill, inventory, warehouse, field sales and credit for manufacturers, distributors, retailers and dealers. The page description is brief. Use a demo to establish exactly which workflows are available, how they connect, and whether the functionality fits the locations, users and transaction rules in your business.

Public product descriptions do not establish current prices, implementation outcomes, customer results, support reliability or a product’s fit for a particular organisation. Do not infer these from a feature list or promotional user and customer counts. Request written plan details, a quote and service terms, then evaluate the same transaction with each finalist.

How to run a useful software demo

  1. Prepare representative data. Choose a real product with its unit configuration, batch and expiry information; a customer with GSTIN and credit terms; and an example of the scheme rules the business uses. Include the relevant locations and user roles.
  2. Receive and locate stock. Enter a batch receipt, place it in a depot, and show how staff find its quantity, location and date information. Include a transfer if the business moves stock between depots.
  3. Create an order and apply controls. Enter a customer order, apply the actual pricing and scheme rules, and test the credit-limit check. Ask the vendor to show an approval or override if that is part of the company’s process.
  4. Allocate and dispatch. Select the stock that should fulfil the order, demonstrate any FEFO or expiry handling the company requires, and connect the dispatch to the correct location and route. Test the applicable transporter and movement details.
  5. Issue the documents. Generate the tax invoice and, if required for the taxpayer and transaction, demonstrate the authorised IRP flow, IRN and signed QR output. Show the e-way bill process for a relevant dispatch and how the system handles a failed attempt or missing data.
  6. Complete the accounting trail. Record a receipt, inspect the customer balance and relevant GST or sales reports, then show how the transaction reaches the accountant’s workflow or export.
  7. Process a return. Return goods against the original invoice and batch where applicable. Show the stock disposition, customer balance, credit note and reporting effect, including the outcome for any scheme or free goods.
  8. Inspect operational safeguards. Ask to see user permissions, audit trail, backup and restore arrangements, data export, migration approach and support escalation route. Have the vendor identify what is included in the quoted plan and what requires an additional service or integration.

Record the outcome for each step: completed as demonstrated, requires a workaround, requires a separate module or integration, or is not available in the proposed plan. That record makes finalist comparisons more useful than an unweighted count of features.

Costs, implementation and contract questions

The available vendor descriptions do not establish current comparable prices or complete contract terms. Request a written quote for the actual organisation and deployment, rather than comparing a headline subscription figure. Confirm whether the quoted amount covers the required users, entities, depots, modules, support and integrations, and whether any implementation or training charges are separate.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Before selecting a provider, ask for written answers on:

  • Subscription charges, billing period, renewal terms and any price changes at renewal.
  • User, company, location, invoice-volume or module limits that apply to the proposed plan.
  • Data migration responsibilities, timeline, validation process and fees.
  • Training, implementation support, response targets and escalation for service issues.
  • Internet and device requirements, offline limits, integrations and responsibility for maintaining them.
  • Backup frequency, recovery process, data retention and the format and cost of a full data export on exit.

Have the finance and operations teams review the same quote. A low entry price may not represent the total cost if required users, locations, integrations, migration or support are priced separately; the written scope is what makes offers comparable.

Product prices and availability are accurate as of the date/time indicated and are subject to change. Any price and availability information displayed on Amazon at the time of purchase will apply.
