Google has announced the end of Gmailify, the service that let you connect a non-Google mailbox (like Yahoo, Outlook.com, or other IMAP providers) and have messages show up inside Gmail with Google-run handling.
Because Gmailify has been around for nearly 10 years, a lot of people built their daily workflow around it. This guide shows you what to expect and—most importantly—how to replace Gmailify with an approach that actually matches how you use email.

What Google shutting down Gmailify actually changes
Gmailify bridged third-party email into Gmail. Practically, it meant Gmail could pull and present your other inbox content without you relying on a full email client workflow.

When Gmailify is shut down, you lose that bridge. The incoming-mail experience will shift to whatever alternative you set up—typically either Gmail’s own POP import, forwarding from your provider, or direct access via IMAP in an email app.

Check whether your account is affected
Google typically rolls changes to different users on different schedules. Before you change anything, verify what your specific account is showing.
Look for Gmailify notices in Gmail settings
In Gmail, open Settings → See all settings → check for any Gmailify-related section (or an account connection entry tied to Gmailify). If you see “Gmailify” or a connected mailbox status that mentions deprecation, treat that as confirmation.
Verify in the connected account details
If your Gmailify connection is shown as a linked mailbox, open the account details and look for warnings about expiration, changes, or migration instructions.
Common impacts you’ll notice (and when)
Depending on how you’re set up, these are the most common changes you’ll experience as Gmailify sunsets.
- Incoming mail may stop syncing into Gmail. Existing messages remain, but new messages may no longer appear in Gmail automatically.
- Labels and filtering behavior may differ. Gmailify-associated labels or spam handling can change, especially if you replace it with POP or forwarding.
- Duplicate messages can happen. If you enable a second retrieval path (like POP import) without disabling Gmailify or adjusting provider-side forwarding, you may double-import.
- Search and organization may change slightly. Messages imported via POP can behave differently from bridged-sync messages (e.g., header details and timing).
Best replacements for Gmailify
There isn’t one perfect replacement, because Gmailify combined multiple behaviors. Pick the replacement based on what matters most to you:
- You want to see another inbox inside Gmail. Use Option 1 (POP import) or Option 2 (forwarding).
- You want full sync like an email client. Use Option 3 (IMAP in an email app).
- You only need to send from that address. Use Option 4 (Send mail as).
Option 1: Replace Gmailify with Gmail POP import (receive and search in Gmail)
If your third-party provider supports POP3, Gmail can import messages into your Gmail inbox (or label). This is the closest “I want everything in Gmail” replacement.

Step 1: Enable POP on your provider account
Go to your provider’s web settings and enable POP. If the provider asks for a rule like “leave a copy on the server,” choose the behavior you want (many people choose to keep a copy to avoid accidental loss).
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteStep 2: Confirm Gmail credentials requirements
If your email uses two-factor authentication (2FA), you often need an app password instead of your normal password. Look for provider-specific instructions for app passwords.
Step 3: Add the mailbox in Gmail
- Open Gmail on a computer (not just mobile) and click Settings → See all settings.
- Go to the Accounts and Import tab.
- Under Check mail from other accounts, click Add a mail account.
- Enter the third-party email address and click Next.
- Select Import emails from my other account (POP3).
- Enter POP server details if prompted (common patterns vary by provider). If your provider supplies them, use the exact POP host and port values they list (often port 995 for SSL/TLS).
- Enter the password (or app password), then follow the prompts for mailbox import behavior.
Step 4: Choose where Gmail should file imported mail
Gmail will typically import into a location you can choose (inbox or label). If you want a clean separation from your primary Gmail inbox, choose a label.
Option 2: Set up email forwarding into Gmail + labels/filters
Forwarding is often the simplest replacement if your provider already supports instant forwarding.
You’ll trade deep integration (like Gmail’s “connected mailbox” experience) for a straightforward workflow: forwarded messages land in Gmail, and you can classify them with filters.
Step 1: Configure forwarding on the provider side
- Sign into your third-party email provider.
- Open Settings → Forwarding (or Mail → Forwarding).
- Set the forwarding address to your Gmail address.
- If the provider requires verification, confirm the code/link they send.
- Choose forwarding behavior (common options: forward all mail, or only certain senders/labels).
Step 2: Add Gmail filters to keep things organized
- In Gmail, click the Search bar dropdown (filter icon).
- Set criteria such as From = your forwarded mailbox address (or domain) and optionally To and Subject.
- Click Create filter.
- Choose actions like Apply the label, Skip the Inbox, and/or Mark as read.
- Click Create filter to save.
Step 3: Prevent duplicates
If you also use POP import, forwarding can cause duplicates. Decide on one ingestion method and disable the other before the cutover where possible.

Option 3: Replace with a full email client using IMAP (keep sync outside Gmail)
If you want true sync behavior (read/unread state, folder structure, near-real-time updates), IMAP in an email client is usually the most faithful replacement.
Your messages live in the provider and sync with the client, not Gmail-as-a-collection.
Step 1: Enable IMAP on your provider
In the provider’s settings, enable IMAP (not just POP). Many providers also require enabling “IMAP access” and may offer ports and server names.

Use your preferred client (Thunderbird, Outlook, Apple Mail, etc.) and enter IMAP server settings exactly as provided by your provider. If 2FA is enabled, use an app password.
Step 3: Keep mail organization consistent
Create or map folders so the client syncs them cleanly. If you rely on Gmail labels, consider a label/folder mapping strategy in your client.
Option 4: If you only need to send as that address
Some people used Gmailify primarily so they could send from the other email address while replying in Gmail. If that’s your goal, you can often keep the sending identity without relying on Gmailify for receiving.

Migration checklist (do this before the cutoff)
A clean migration takes 30–60 minutes if you’re prepared. Use this checklist to reduce surprises.
- Export or archive anything important. If you have years of mail, confirm you have an export plan for your third-party provider.
- Identify your current Gmailify behavior. Is it receiving mail into Gmail, sending mail as that address, or both?
- Pick one ingestion method. Choose POP import, forwarding, or client IMAP—then avoid parallel paths that cause duplicates.
- Test with one sender. Send a test email from an external account and confirm it arrives where you expect.
- Plan for 2FA. If your provider uses 2FA, get an app password before you start.
- Update filters and rules. If you rely on labels, recreate equivalent filters in Gmail or equivalent folder rules in your client.
Troubleshooting: when the replacement doesn’t work
If your replacement fails, the fix is usually one of authentication, server settings, or duplicate routing.
Problem: POP import fails with authentication errors
Try an app password if 2FA is enabled. Also confirm you entered the correct POP server host, and whether SSL/TLS is required. Many providers reject plain credentials once security features are on.
Problem: Imported mail arrives late or inconsistently
POP import isn’t instant. Check provider-side throttling and Gmail import behavior. As a workaround, forwarding often gives more immediate delivery into Gmail.

Disable one path. For example, if you enable forwarding and also keep POP import running, Gmail can receive the same message twice. In Gmail’s POP import setup, remove the old import if you no longer need it.

Problem: Messages don’t land in the label/inbox where you want
Confirm your Gmail filter criteria and label application. For POP import, confirm the import destination label in the import settings.
Problem: “Sent mail as” verification fails
SMTP credentials can be fine, but Gmail’s address verification may fail if the verification message isn’t routed correctly. Check spam folders and any provider-side quarantine rules.
Common mistakes to avoid
- Trying to replicate Gmailify exactly. POP/forwarding/client IMAP won’t match 1:1 behavior. Pick what matters to you.
- Leaving Gmailify enabled while adding a replacement. This often leads to duplicates and confusion during the overlap period.
- Assuming IMAP will work in Gmail import. Gmail’s “Accounts and Import” POP retrieval uses POP3, not IMAP.
- Skipping app password setup under 2FA. This is the most common authentication failure during migrations.
- Not testing with a single real sender. A quick test prevents “everything is broken” discoveries after you’ve relied on it for days.
FAQ
Will my existing Gmailify messages stay in Gmail?
Usually, yes. Existing messages are stored in Gmail. The main risk is future sync stopping, not the deletion of already-imported mail. Still, export or archive anything critical just to be safe.
Can I use Gmailify alternatives without a computer?
Forwarding can be configured on most provider mobile apps, but POP import setup and “Send mail as” configuration in Gmail are easiest on a browser. If you only have a phone, plan for a quick computer check.
Does forwarding preserve folders, read/unread status, and threading?
Forwarding generally doesn’t preserve full folder structure or IMAP-style state synchronization. You’ll get messages in Gmail, and then you’ll use labels/filters for organization. For full sync, use IMAP in a client.
What’s better: POP import or forwarding?
Choose based on your needs. POP import is a mailbox-to-Gmail migration style but can be less immediate. Forwarding is simpler and often faster, but it won’t replicate inbox state and folder sync.
What if my provider doesn’t support POP?
Then POP import isn’t an option. Use forwarding (if supported) or an IMAP email client workflow so you can keep sync from your provider.
Bottom Line
Gmailify shutting down changes how third-party mail enters Gmail. The fix is straightforward once you decide whether you want emails to live inside Gmail (POP import or forwarding) or keep full sync outside Gmail (IMAP in a client).
Pick one ingestion method, recreate your organization rules, and test with a real sender before the cutoff. That’s how you avoid duplicates and keep your workflow intact.
