Google Calendar now lets you schedule ‘Focus time’

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Google Calendar’s Focus time feature is designed to protect blocks of time on your calendar for deep work. Instead of manually creating “busy” events that you’ll have to keep adjusting, Focus time gives you a faster way to schedule dedicated focus periods—so meetings and reminders don’t quietly erode your plan.

Below is a practical, step-by-step reference for scheduling Focus time on the web and in the Google Calendar app for iPhone, iPad, and Android, plus what to do when the option doesn’t show up or behaves differently than expected.

What Google Calendar Focus time does

Focus time is a dedicated event type in Google Calendar meant to signal “do not schedule me for work that requires my attention right now.” In most setups, it’s treated as a form of busy time and helps you plan your day around execution instead of calendar housekeeping.

  • Create a clear visual pattern on your calendar so you can plan around focus sessions
  • Keep you from accidentally stacking meetings with no breathing room

Who can use Focus time (requirements and availability)

Availability can vary by account type and by where you’re using Google Calendar. In general, you’ll need a Google Account or a Google Workspace account with permission to use Google Calendar features on your domain.

Where you’re most likely to see it

  • Google Calendar web on a modern browser (Chrome, Edge, Firefox, or Safari)
  • Google Calendar mobile app on iPhone, iPad, and Android

What to check first if you don’t see it

If Focus time doesn’t appear when creating an event, confirm you’re on a supported version and that your account has access to the feature rollout.

  • Update the Google Calendar app to the latest version available for iOS/iPadOS or Android
  • On the web, try a hard refresh (or sign out and back in) to clear stale UI state
  • If you’re on a managed Google Workspace domain, ask your admin whether new calendar features are enabled for your organization

How Focus time works with meetings, notifications, and your schedule

Focus time isn’t just a label—it affects how your availability is communicated and how your calendar visually communicates time you intend to work without interruptions.

Meetings and invites

When Focus time is treated as busy/occupied time in your account, it can influence whether others can find you for meetings. If you’re using scheduling tools, your “busy” state generally carries more weight than free events.

Notifications

Focus time uses the event notification model of Google Calendar. That means you can still end up with reminders depending on your notification settings (including default event notifications and per-event notifications). If you’re trying to avoid distractions, double-check alerts for Focus time events.

Visibility and conflicts

Focus time events are visible on your calendar. If you schedule other events on top of a focus block (for example, by stacking manually or due to invite conflicts), those overlapping events can undermine the point of the focus window. Use it as a protective block, not a decoration.

Schedule Focus time on the web (Google Calendar for desktop)

On desktop, you’ll usually schedule Focus time directly from the event creation UI. Here are reliable steps you can follow in Google Calendar.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open Google Calendar in your browser and sign in.
  2. Click the date/time slot you want, or click Create.
  3. In the event details panel, look for the Event type or Title field options.
  4. Select Focus time as the event type (or choose it from the suggested templates, if shown).
  5. Set the time range using the start and end time controls.
  6. Adjust repeat settings if you want it recurring (for example, daily weekdays or weekly blocks).
  7. Optionally set notifications to what you actually want during focus (many people prefer fewer alerts during focus).
  8. Click Save.

Schedule Focus time on iPhone and iPad (Google Calendar app)

On iOS and iPadOS, the UI can vary slightly between app versions, but the flow is usually similar: open the app, start a new event, pick the event type, then save.

  1. Open the Google Calendar app on your iPhone or iPad.
  2. Tap + Add (or the + Create button).
  3. Choose Event to open the event editor.
  4. Find Event type (or a template/type chooser) and select Focus time.
  5. Set the start and end times.
  6. Set Repeat if you want it to recur.
  7. Check notification options so you don’t get distracting pings during your focus window.
  8. Tap Save.

Schedule Focus time on Android (Google Calendar app)

The Android app also typically supports selecting Focus time during event creation. If you don’t see it immediately, confirm the app is updated and that you’re creating an event (not editing a different object type).

  1. Open Google Calendar on your Android phone or tablet.
  2. Tap + to add a new item.
  3. Select Event.
  4. Open the Event type picker and choose Focus time.
  5. Set the time range and adjust repeat settings if needed.
  6. Review notifications (or notification presets) for that event.
  7. Tap Save.

Use smart rules: choosing titles, availability, and time blocks

Even though Focus time gives you a standard event type, your outcomes depend on how you structure the blocks. A few patterns work better than random scheduling.

Pick a focus window length that matches your real work

Common effective blocks are 45–90 minutes. If your meetings culture is aggressive, shorter blocks (like 45 minutes) can prevent your whole day from being hijacked by interruptions.

Use recurring focus time for the work you do every week

If you’re doing recurring execution (weekly planning, content drafting, sprint work), set a weekly Focus time pattern so your calendar stays “protective” without constant manual edits.

Protect your most important hours first

If you know when you think best, schedule Focus time during those hours. If you always “try” to focus after meetings, you’ll train yourself to fail—your calendar won’t.

Customize Focus time behavior (what you can and can’t control)

Focus time is still a Google Calendar event, so customization generally happens through standard event settings. What you can control usually falls into these categories.

Setting What it changes Common gotcha
Event time range When you’re blocked for focus Time zone mismatches when traveling
Repeat Whether it repeats weekly/daily Accidentally repeating on weekends
Notifications How often you get alerts Default reminders may be too noisy
Visibility/availability behavior How your “busy” status is interpreted Overlapping events can override the intent

What you generally cannot do

Because Focus time is a calendar event type managed by Google, there may be limited customization compared to fully manual events. If you’re looking for advanced automation (rules, conditional blocks, AI-based rescheduling), you’ll likely need an external workflow or alternative approach.

Troubleshooting: Focus time missing or not working

If Focus time isn’t showing up or doesn’t block what you expect, work through these checks in order. This tends to resolve the majority of issues.

1) Focus time option doesn’t appear when creating an event

  • Update the app on iPhone/iPad or Android. On iOS, also ensure the app isn’t in an outdated background state—restart the app after updating.
  • Try the web UI. If you can create Focus time on the web but not on mobile, the feature may be staged later for mobile.
  • Check the event creation mode. Make sure you’re creating a standard Event and not a different entry type.
  • Sign out/in on the device or browser to force the latest feature flags to load.

2) Focus time is created, but it doesn’t block scheduling the way you expect

  • Check overlap: if you have meetings already scheduled within the focus block, your calendar becomes “busy” for those meetings, but you may still get invites.
  • Review availability settings: your scheduling and sharing model can affect whether others see you as unavailable.
  • Confirm time zone: if your travel or device time zone changed, Focus time may not land where you think it does.

3) Focus time notifications are too frequent (or none show up)

  • Check the event’s notification settings (and your default notification settings for calendar events).
  • On mobile, verify the Google Calendar app notification permissions in the system settings.
  • If Focus time uses fewer alerts by design for your account, ensure you didn’t disable notifications globally.

4) You see Focus time on one platform but not the other

This usually happens during staged rollouts. The workaround is straightforward: create Focus time on the platform where it’s available, then verify that it syncs across devices.

Common mistakes to avoid

  • Scheduling focus blocks at random instead of around your real energy curve (it turns into time you don’t use).
  • Leaving notifications noisy. If Focus time is meant to reduce distraction, adjust reminders accordingly.
  • Overlapping meetings that consume the block anyway. Focus time isn’t protection if you keep scheduling over it.
  • Ignoring time zones when traveling. Set expectations before your calendar shifts.
  • Assuming all accounts get the same UI. Google features can roll out differently across Google Workspace tenants and personal accounts.

Alternatives if you don’t see Focus time

If Focus time isn’t available on your account yet, you can still get nearly the same practical result by using event templates and busy time settings.

Use a manual “Busy” event type

Create standard events marked as busy and label them “Focus” or “Deep work.” Then set them to repeat on a cadence that matches your work rhythm.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Create a recurring template event

Make one Focus-ready event, then duplicate it week to week (or set it to repeat). If you rely on notification defaults, make the template the right one so you don’t fix it every time.

Use scheduling links or office hours (workaround for availability)

If the main benefit you want is scheduling protection, set office hours or adjust your meeting availability rules in your scheduling tool. Your goal is the same: don’t let invites land during your focus blocks.

The Verdict

Google Calendar Focus time is a practical quality-of-life feature: it turns “do not schedule me” into a quick event you’ll actually use, with calendar visibility that makes your day easier to follow. If you care about protecting deep work, it’s worth setting up recurring blocks right away.

If you don’t see Focus time yet, don’t wait—use a manual busy recurring event and tune notifications so your calendar becomes equally protective. When the feature lands on your account, you can swap over with minimal disruption.

FAQs

Can I make Focus time recurring?

Yes. When you create a Focus time event, you can set a repeat schedule (for example, weekly or on weekdays). Use recurring blocks for work you do every week to reduce calendar upkeep.

Will Focus time stop me from receiving meeting invites?

It can help, because it’s designed to represent unavailable time. However, invites depend on how scheduling and availability rules are configured on your account and by your collaborators.

Does Focus time sync between devices?

Yes. Focus time is a standard Google Calendar event type, so it should sync across your Google Calendar web view and the mobile app as long as you’re signed into the same account.

Why is Focus time showing at the wrong time?

Most often it’s a time zone issue. Check your device time zone, your calendar time zone settings, and whether travel or automatic time updates changed how the event renders.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do I reduce distractions from notifications?

Open the Focus time event and reduce notifications to match your workflow (or remove reminders entirely during deep work). Then confirm the Google Calendar app’s notification permissions on iOS or Android.
