For most construction firms, the clearest starting point is one company-wide team for shared information and a separate team for each active project that needs distinct members, files, or access. Start project teams with Microsoft’s Manage a Project template, then adapt its channels, SharePoint site, and Planner tasks to your workflow. This is a practical pattern, not a Microsoft-prescribed construction standard.
Choose a company-wide and project-level structure
Keep company-wide material—announcements, operating guidance, and reusable resources—in a company team. Create a project team when a job has its own membership, document set, schedule, or access boundary. This makes project ownership and file locations easier to understand.

Smaller firms or teams handling repetitive work may prefer fewer Teams teams with a channel for each project. Compare the options against how many projects each person must navigate, whether projects need separate files and lifecycle ownership, how guests participate, and whether your company can administer and close out each space. Microsoft describes the underlying team and channel options, but does not require a one-team-per-project arrangement: Teams channel types.

Microsoft’s Manage a Project template starts with General, Announcements, Resources, and Planning channels. It also includes project and issue tracking Lists, Planner, OneNote, Approvals, and SharePoint Pages. It is a general project template—not a construction-specific blueprint. Use it as a foundation and remove or rename elements that do not fit your company’s process. See Microsoft’s team template guidance.

Set up project channels around recurring work
Use recognizable channel names for work people repeat across projects, rather than creating a channel for every conversation. A workable starting set is:
- General: project overview, orientation, and links to essential resources.
- Announcements: updates and decisions intended for the full project team.
- Field coordination: site questions and day-to-day coordination.
- Drawings and documents: discussion about controlled files, with the authoritative files stored in the agreed SharePoint library or construction platform.
- Planning: task ownership, milestones, and near-term coordination.
- Issues and decisions: items that need tracking and a durable record.
This is a suggested taxonomy based on Microsoft’s template and construction workflow examples, not an industry standard. Adjust channel names to match your delivery model and trade vocabulary. Keep broadly relevant project work in standard channels so team members can find it together.

Choose channel types based on audience
Microsoft describes channels as conversations around a topic, department, or project. Use the channel type that matches who should participate:
- Standard: for work open to all members of the team.
- Private: for a smaller group that should not see the broader project conversation.
- Shared: for collaboration with people outside the host team or organization.
A new team or private channel also creates a SharePoint site. Channel type therefore affects membership and connected file locations, not just visibility in Teams. Decide the intended audience when creating the space, and have team owners review membership as the project changes. Set guest approvals and access rules according to your organization’s security and contract requirements; Microsoft’s channel guidance does not establish those local policies. Make SharePoint the durable home for project information
Use the project’s connected SharePoint site for documents and information people need to find and maintain over time. Microsoft’s Project management site template includes a document library, project tracker, issue tracker, calendar, and status-report template, which can be customized. Files shared in Teams channels sync to the corresponding SharePoint document library. Tell staff where the authoritative copy belongs, and avoid parallel file stores that can create conflicting versions. Track shared tasks with Planner
Use Planner when project work needs shared task ownership and due dates. Its Grid view supports list-oriented review, Board groups work in a Kanban-style layout, and Schedule places tasks on a calendar. Microsoft’s construction guide illustrates a superintendent using Teams on mobile for notifications, site visits, project information, file review, meetings, and task planning. That example does not establish offline availability, reliable connectivity at every site, device suitability, or safety compliance. Have field staff validate the actual workflow under their working conditions before making Teams the required route for critical updates.

Define how Teams relates to construction platforms
Teams does not automatically need to replace a construction management platform already used for drawings, submittals, correspondence, or other specialized records. Microsoft’s AECOM customer story describes project onboarding across Teams, SharePoint, Autodesk Construction Cloud, and Revizto; Autodesk also documents a Teams integration. For each important information type, decide which platform owns the authoritative record and whether Teams should carry the file, a link, or a notification. This prevents staff from treating a convenient conversation or attachment as the controlled project record when another system is responsible for it.
Set local rules for access, retention, and closeout
Before rollout, ask IT/security, project controls, and records owners to agree on guest access, retention, legal holds, naming, document control, and project closeout. The right choices depend on your Microsoft 365 tenant, contracts, and records obligations; general product guidance cannot prescribe them. Make a closeout process part of project ownership so teams know what happens to files, membership, and ongoing records when a job ends.
