How to fill in the table so it leads to action
- Set the reporting period. Put the date or date range at the top so readers know how current the update is.
- Choose a clear status and explain it. Pair labels such as “on track,” “at risk,” or “off track” with a brief reason. A status without context leaves readers guessing what changed or what is affected.
- Report changes, not a running diary. Summarize completed work and material changes since the prior update. For a recurring report, the weekly format described by Smartsheet emphasizes a concise, repeatable update covering overall status and components such as milestones, budget, and scope.
- Make next steps assignable. Give each action an owner and target date. If a decision or support is needed, say what is needed, who should provide it, and by when.
- Separate a risk from its response. Record the risk or blocker, its likely impact, and the mitigation or escalation. Name an owner where someone is responsible for moving it forward.
- Use numbers consistently. Include completion, cost, or hours in a portfolio table only when your team defines and maintains those measures consistently. A percentage without a shared basis can make projects look comparable when they are not.
Choose the layout for the audience and job
| Need | Useful layout | What to include |
|---|---|---|
| Regular delivery-team check-in | Weekly single-project update | Overall status, changes, upcoming work, milestones, risks, and requests for help |
| Several active projects | Multi-project spreadsheet | Project name, status, owner or assignee, deadline, next step, and—if used—completion, cost, or hours |
| Leadership overview | Executive summary | Overall health, material progress, significant risks, milestone outlook, and decisions required |
| Detailed progress record | Narrative report or detailed table | Completed work, milestone detail, risk and issue information, budget position, and next steps |
These distinctions are practical guidance based on the template types and fields described by the sources; they do not establish the contents of Table V09. Keep a team update focused on work and ownership. For an executive audience, elevate exceptions and decisions rather than copying every task-level detail.
Which format should you use?
