If a generated PDF shows the wrong typeface, inspect its font list first. In Adobe Acrobat, open File > Properties > Fonts and check whether the intended font is listed as embedded or embedded as a subset. If you can access the source document, make the intended font available to the exporting app, confirm it is permitted to embed, and export again with font embedding enabled where available. Then check the new PDF and review its layout.
Check whether the font is missing from the PDF
In Acrobat, open the PDF’s document properties and select the Fonts tab. Adobe recommends this check when copying and pasting from a PDF is difficult; it is also a useful first step when the displayed typeface looks wrong. Look for the font in question and whether Acrobat reports it as embedded or embedded as a subset. Interface wording can vary by version. Adobe’s font embedding and substitution guidance explains the distinction.
To help isolate the cause, compare the PDF in another compatible viewer or on another system, and compare screen display with print output if possible. These comparisons are diagnostic clues, not proof: the viewer, printer, and locally available fonts can affect what you see. A PDF can also look correct while copy-and-paste or text extraction behaves poorly; font embedding is one thing to check, not the only possible cause.
Choose the repair path that matches what you have

Correcting the source generally gives you more control over the original typography and layout. A PDF-only fix can be useful when the source is unavailable, but it has more constraints. Adobe explains font embedding and Acrobat’s Preflight option.

Fix the source document and export again
- Confirm which font the document is meant to use. Check the source formatting rather than choosing a replacement based only on how it looks in the PDF.
- Make sure the exporting application can access that font. If the app cannot use the intended font, it may substitute another one during output.
- Check embedding permissions. Font settings and licensing can restrict embedding. If it is not allowed, use a font permitted for embedding or ask the vendor or rights holder for guidance; do not try to bypass the restriction.
- Enable font embedding in the PDF export or print workflow, if offered. There is no universal menu path: controls depend on the app and its version. Microsoft’s guidance concerns publication embedding in Publisher and should not be treated as a universal PDF-export procedure.
- Export a new PDF and inspect it. Return to Acrobat’s Fonts tab to check embedding status, then review the PDF visually.
Microsoft explains that font substitution can change line and page breaks, spacing, hyphenation, and overflow. After any font change, inspect pagination and special glyphs as well as the typeface itself. Microsoft’s Publisher guidance applies specifically to Publisher; it says Publisher can embed only TrueType fonts that are licensed for embedding.
When the font cannot be embedded
Embedding is controlled by the font’s settings and permissions. Check the applicable license or contact the vendor or rights holder. If embedding is not allowed, the practical alternative may be a different font whose permissions allow embedding. That substitution can alter text flow, so review the entire output for wrapping, pagination, spacing, hyphenation, overflow, and special characters. Microsoft’s font redistribution FAQ provides background on font redistribution; it does not grant permission to embed a particular font.

If the source document is unavailable
Adobe says Acrobat can embed fonts in some cases using a Preflight fixup. First keep an untouched copy of the original PDF. If you try a fixup, check the resulting font list and inspect the output visually. Whether it can work depends on the needed font being available and permitted for embedding; a fixup is not a way to override font restrictions. - Select Adobe PDF as the printer, then open Properties.
- Under Adobe PDF Settings, clear Rely on system fonts only; don’t use document fonts.
This is targeted troubleshooting for the failure described by Adobe, not a general remedy for every substituted font. Adobe also lists a registry change, but because registry edits can have broader effects, consult its full instructions before considering one: Acrobat PDF conversion fails due to virtual fonts on Windows.

- It can prevent substitution. Adobe describes embedding as including font data in a PDF so the original font is available for viewing or printing, helping readers see the text in its intended typeface.
- It can be full or partial. Adobe distinguishes embedding an entire font from embedding a subset containing the characters used in the document.
- It may affect file size. Adobe describes the increase as slight, with a different qualification for CID fonts commonly used for Asian languages; it does not give a universal size increase.
- It does not guarantee identical layout after a font change. Substitution can alter text flow even when the replacement looks similar.
- It does not grant embedding rights. The font vendor’s settings and permissions still apply.
For Publisher specifically, Microsoft says only licensed TrueType fonts can be embedded in publications. Do not generalize that product-specific rule to every PDF creator. See Adobe’s font guidance and Microsoft’s Publisher article.
