Getting a failure when you click Word’s Export to PDF button is frustrating—especially when the document looks fine. In 2024, the most common causes are an outdated Office build, a broken Word component or printer/PDF driver, or a problematic add-in.
This guide focuses on three simple, proven fixes you can apply in a typical Word setup. It also includes fallback methods (Print to PDF, Word for the web, and conversion workarounds) and a quick troubleshooting checklist based on the kind of error you’re seeing.

What the Export to PDF error in Word actually means
When Word fails to export, it usually can’t complete one of the steps behind the button—rendering the document layout, writing the PDF file, or using the installed PDF output components. Depending on your setup, this may show up as a generic message like “Word can’t create the PDF” or a more specific failure tied to printers, file permissions, or add-ins.

- Office/Word components are out of date or corrupted (common after failed updates or crashes).
- The PDF path fails (printer/driver issues, invalid file location, restricted folders, or OneDrive sync conflicts).
- An add-in interferes with rendering (PDF add-ins, email/compliance tools, document management plugins).
- Document content triggers the export engine (rare, but formatting, embedded fonts, or legacy objects can cause rendering failures).
Before you change anything: prerequisites and quick checks
Before running repairs, take a minute to remove the easy causes. These checks often resolve the issue immediately.
- Confirm you’re using the right Word mode: desktop Word (Windows/macOS) behaves differently from Word for the web.
- Try exporting to a local folder: e.g.,
C:\Temp(Windows) or/Users/yourname/Desktop(macOS). Avoid locked network drives. - Close background apps that modify PDFs (PDF editors, document scanners, antivirus “web protection” features).
- Remove special characters from the file name (use letters, numbers, spaces, hyphens only).
- Reboot once. Printer/PDF driver failures can persist across sessions.
3 simple solutions to fix Export to PDF error in Word (2024)
Solution 1: Update Office and reset Word settings (fastest fixes)
Export failures often come from a bug fixed in a later Microsoft 365 update. Then, if settings drifted, resetting Word settings can clear a bad state without a full repair.
Step 1 (Windows): update Microsoft 365 / Office
- Open any Office app (Word is fine).
- Go to File > Account.
- Under Office Updates, click Update Options > Update Now.
- Wait for updates to finish, then restart Word.
Step 1 (macOS): update Office
- Open an Office app (Word).
- Go to Help > Check for Updates.
- Install updates (if any) and restart Word.
Step 2: reset Word settings
Resetting Word settings is a controlled way to revert UI/export settings without deleting your documents.
Windows reset
- Close Word.
- Press Win + R, type:
%appdata%\Microsoft\Word, press Enter. - If present, rename the folder Startup (or remove custom templates temporarily).
- Then start Word in safe mode: press Win + R, type:
winword /safe, press Enter. - Try Export to PDF again. If it works, you likely have an add-in or setting conflict.
macOS safe mode check
- Close Word.
- Open Word while holding Shift to launch in safe mode (or start it normally and test with add-ins disabled in Solution 3).
- Try export again.
What to watch for: If the export works only in safe mode, don’t skip Solution 3—your add-in is the usual culprit.

Solution 2: Fix the PDF output path (printer/driver, file location, permissions)
Even when Word says “Export to PDF,” the process still depends on installed PDF plumbing—often the Microsoft Print to PDF driver or an installed PDF printer. If it’s misconfigured or missing, exporting can fail.
Step 1: Verify you can create a PDF using Print to PDF
- Open the document in Word.
- Go to File > Print.
- Set printer to Microsoft Print to PDF (choose it from the printer dropdown).
- Click Print.
- Pick a save location and confirm you can generate a PDF.
If Print to PDF succeeds but Export fails, your issue is more likely an export pipeline problem or an add-in. If Print to PDF fails too, focus on driver/permissions (next steps).
Step 2 (Windows): ensure Microsoft Print to PDF is installed
- Open Settings > Bluetooth & devices > Printers & scanners.
- Click Add device (or Add printers & scanners).
- Look for Microsoft Print to PDF. If it doesn’t show, install/update the “Print to PDF” capability by updating Windows components.
- Restart Word and try again.
Step 3: use a clean local folder and avoid locked locations
- Create a folder:
C:\Temp(or any folder you fully control). - Export using that folder as the destination.
- If your document is saved in OneDrive/SharePoint, try making a local copy first (right-click file > Make available offline or Copy to local storage).
Step 4: test with a short file name and simple path
- Export to
C:\Tempusing a simple name liketest.pdf. - Try again.
What to watch for: If the failure disappears with a local path, you’re dealing with permission, path-length, or sync locking—common in corporate environments.

Step 1: run a quick Office repair (Windows)
- Close Word and any other Office apps.
- Open Settings > Apps > Installed apps.
- Select Microsoft 365 (or Microsoft Office).
- Click Modify.
- Choose Quick Repair > click Repair.
- Restart the PC after it finishes, then test Export to PDF.
Step 2: if needed, run Online Repair (more thorough)
- Repeat the same steps and choose Online Repair.
- Allow the process to complete, then restart and test again.
Step 3: disable add-ins in Word
- Open Word.
- Go to File > Options.
- Select Add-ins.
- At the bottom, next to Manage, choose COM Add-ins and click Go….
- Uncheck all add-ins, click OK, then try Export to PDF.
- If it works, re-enable add-ins one at a time until the problem returns.
Step 4: test templates and formatting side effects
If export fails only on one document, try creating a new blank document and paste just a small portion (e.g., one paragraph and one table). If the small paste exports fine, you’ve likely got a specific object causing the export error.
Alternative methods when PDF export still fails
Sometimes Word’s export button is just the wrong path for your environment. These fallbacks are practical and fast.
Use Print to PDF instead of Save/Export
If Print to PDF works, it’s a valid workaround even when Export fails. It typically uses a different rendering route.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors- Go to File > Print.
- Choose Microsoft Print to PDF.
- Click Print and save the resulting PDF.
Export using Word for the web as a fallback
When desktop Word breaks export, Word for the web can often generate a PDF successfully because it runs rendering server-side.

- Upload the document to OneDrive.
- Open it in your browser using Word for the web.
- Use File > Download > choose PDF (wording varies by tenant).
Save as a different file type, then convert
If PDF export fails because of a specific formatting feature, converting through an intermediate format can help.
- In Word desktop, try File > Save As and choose PDF or OpenDocument Text (*.odt) (if available).
- Alternatively, save as .docx (from a legacy .doc file), then export again.
Troubleshooting by error pattern
Use the symptom to cut straight to the likely cause.
| Error pattern | Most likely cause | What to try first |
|---|---|---|
| Export fails immediately for every document | Broken Office install, broken add-in, or missing PDF printer | Solution 1 (update) + Solution 3 (repair + disable add-ins) + check Microsoft Print to PDF |
| Export fails only for one specific document | Bad object (embedded font, image, equation), corrupted formatting | Create a new document and paste content in small chunks; try exporting after removing problematic objects |
| Export fails when saving to OneDrive or a network path | Permission/sync locking/path restrictions | Export to C:\Temp first; then upload the PDF |
| Print to PDF works, Export fails | Export pipeline/add-in specific to Export | Disable add-ins (Solution 3); try exporting with a fresh Word profile |
| Export works in safe mode but not normal mode | Add-in conflict | Solution 3: disable COM add-ins and re-enable one-by-one |
Common mistakes that keep the error coming back
- Trying to export into the same folder the document sync is using (OneDrive/SharePoint). Export locally first.
- Assuming the PDF issue is the document. If it fails on all documents, it’s almost always Office/PDF output components or add-ins.
- Ignoring add-ins because Word still opens fine. Export can be where rendering extensions break.
- Using a PDF printer that isn’t Microsoft Print to PDF. Third-party PDF drivers sometimes conflict with Office’s export/rendering steps.
- Not testing a short file. Without a quick test (new doc + paste a paragraph), troubleshooting becomes guesswork.
FAQ
Why does Word fail specifically when exporting to PDF?
Most causes are external to the document—Office build bugs, corrupted Word components, printer/PDF driver issues, or add-ins that hook into export/rendering.
Does Word for the web export PDF differently from desktop Word?
Yes. Desktop Word runs locally with your installed components. Word for the web typically renders on Microsoft’s side, so it can succeed when desktop export fails.

Will repairing Office delete my documents?
No. Office repair targets the application installation. Your Word files usually remain untouched, but it’s still smart to keep backups before major changes.
Is Microsoft Print to PDF required?
Not strictly, but it’s the most reliable option on Windows. If Export depends on a working PDF output path and your PDF printer is broken, Microsoft Print to PDF often resolves the issue.
What should I do if only my company’s computers can’t export to PDF?
That pattern points to policy-managed add-ins, printer drivers, or restricted write permissions. Try exporting to a local folder like C:\Temp and disable add-ins in File > Options > Add-ins (if allowed by your IT rules).
Bottom Line
If you want the quickest route to a fix, update Office first (Solution 1) and test the PDF pipeline with Print to PDF. If the failure persists, repair Office and disable add-ins to isolate the specific conflict (Solution 3).
When you’re blocked and need the PDF today, use Print to PDF or Word for the web as a practical workaround—then follow the solutions above to stop the error from returning.
