A field-services time clock should record complete work hours across changing job sites, preserve punches when connectivity drops, and send hours into the employer’s review and payroll process. Compare the actual workflow—not just whether an app advertises GPS: check devices, location controls, offline behavior, job coding, and payroll compatibility.
What a field-services time clock needs to do
Field crews may start at one location, travel between jobs, and finish somewhere else. A useful system must capture when work begins and ends, associate hours with the correct employee and—when needed—the right job or project, and give a supervisor a way to review and correct records before payroll.

Time-clock software can use an employee’s phone, a shared tablet kiosk, or both. Workforce.com describes mobile clock-ins on iOS and Android as well as an on-site tablet kiosk; FieldServicely describes an iOS and Android app. These are vendor descriptions, not a guarantee that every device or operating-system version is supported. Check compatibility with your specific hardware before rollout: Workforce.com’s time clock app and FieldServicely’s time and attendance software.
Employee phone or shared kiosk?
Phone-based punches can suit crews that move independently between sites. A shared tablet may be more appropriate when workers report to a common location or the employer wants a fixed clock-in point. A mixed workforce may need both. Decide who supplies and manages devices, how workers authenticate, and what happens if a phone is unavailable; the reviewed product pages do not establish one universally required device or model.

How location controls work—and what to verify
Location features can include GPS captured when an employee punches, a geofence around a job site, or a prompt or restriction tied to that boundary. These behaviors are not interchangeable. A product’s mention of GPS or geofencing does not establish that it tracks only at clock-in, blocks every off-site punch, or has a particular accuracy level. Ask the vendor to demonstrate the precise settings and the employee experience.
- Does the system capture location at a punch, continuously, or at other times?
- Can administrators set a geofence for each site, and does it prompt, warn, or prevent a punch outside it?
- What can a supervisor see, and can an employee explain or correct a location exception?
- Can administrators control access to location data and its retention period?
Before adopting location-based controls, define what information is collected, when collection begins and ends, who can access it, how long it is retained, and how workers will be informed. Applicable requirements depend on jurisdiction and context; the product descriptions cited here do not establish a universal legal rule. Examples of vendor-described GPS and geofence features appear on FieldServicely’s GPS time clock page and WebWork’s geofencing time clock page.

Can crews clock in without cell service?
Offline capture matters at remote sites, indoors, or anywhere coverage is unreliable. Workforce.com and FieldServicely describe offline punch storage with syncing after connectivity returns. Those are vendor claims, not independent tests; confirm the behavior for the product and devices you plan to use.
Ask what an employee sees while offline, whether a punch is stored locally, how and when it syncs, and how the system handles duplicate or conflicting records. Trial the workflow in realistic work conditions—including the devices, site conditions, and connectivity gaps crews actually encounter—before relying on it for payroll. See the vendors’ descriptions at Workforce.com, FieldServicely, and its job-site time clock page.

Connect punches to jobs, timesheets, and payroll
A punch records time; it does not by itself ensure those hours land in the right job or payroll category. If labor costs must be assigned to projects or work orders, confirm that employees can select the correct job and that supervisors can review the resulting allocation. Then check whether the system creates timesheets and whether the payroll handoff fits the employer’s existing setup.
Compare the workflow end to end: employee punch, job or project assignment, supervisor review, correction or approval, and payroll export or integration. Vendor pages describe timesheets, review, and export, but those descriptions do not prove compatibility with a particular employer’s payroll system. Verify the exact integration or export format with the vendor and payroll provider. For a concrete integration example, ADP Marketplace’s allGeo listing describes features for ADP Workforce Now Next Generation; it does not establish compatibility with other payroll editions.

|---|---|---|
| Clock-in device | Employee phone, shared tablet kiosk, or both | Which supported devices will be available to every crew and at each site? |
| Location method | GPS at a punch, geofence prompt, geofence restriction, or another configuration | What does the system actually collect or enforce, and when? |
| Connectivity | Online-only punches or offline capture with later sync | How are punches stored and reconciled during an outage? |
| Labor attribution | Employee timesheets alone or job/project-coded hours | Can workers select the correct job, and can supervisors review it? |
| Payroll handoff | Manual export or a named integration | Does the handoff match the current payroll product and edition? |
| Privacy administration | Available controls for collection, access, and retention | Can settings match the employer’s operational policy and applicable requirements? |
Federal U.S. recordkeeping: the clock is a means, not the rule
For the federal Fair Labor Standards Act context, the U.S. Department of Labor’s Wage and Hour Division says covered employers must keep specified employee, hours, and wage information accurately. Its Fact Sheet #21, marked revised July 2008, says, “Any timekeeping plan is acceptable as long as it is complete and accurate.” It identifies a time clock, a timekeeper, and worker-entered time as possible methods; it does not require a particular time-clock product or format.

Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →The fact sheet says payroll records generally should be retained for at least three years, while records used to compute wages—such as time cards and work or time schedules—should be retained for two years. This is federal guidance, not a full analysis of state or local rules, exemptions, industry requirements, collective bargaining obligations, or an employer’s specific coverage. Employers should assess the rules that apply to their workforce.
A practical rollout checklist
- Map the current process. List the devices crews have, where they work, how often they lose connectivity, how jobs are assigned, and which payroll system receives approved hours.
- Set acceptance criteria. Specify required phone or kiosk support, job coding, location behavior, offline handling, supervisor review, and payroll output.
- Demonstrate edge cases. Ask the vendor to show an off-site punch, a missed punch, an offline punch and later sync, a job change, and a correction before payroll.
- Run a field pilot. Test the exact devices and settings at representative sites, including locations with weak service. Compare recorded hours and job assignments with the employer’s normal review process.
- Document access and policy. Decide who can view or edit time and location records, establish retention and employee-notice practices, and train crews on exceptions and corrections.
- Confirm the payroll handoff. Validate the exported or integrated data with the payroll process before relying on it for a full pay cycle.
For a device plan, a generic Android smartphone may support a mobile-app workflow and a shared tablet may support kiosk clock-ins, but no specific model, ruggedness rating, price, battery target, or universal compatibility is established by the product descriptions cited here. Confirm the vendor’s current requirements before purchasing hardware.
