Choose field service management (FSM) software by tracing a real job from intake to closeout—not by counting features. Dispatchers need to match work to the right people while handling schedule changes; technicians need clear job information, usable mobile tools, and a reliable way to record what happened. Compare those workflows using your own job types, skills, territories, shifts, parts, and exceptions.
What is field service management software?
Field service management software connects the work an organization needs done with the people and resources that do it away from the office. It typically supports work orders, scheduling and dispatch, technician field execution, and the records needed to close a job. Depending on the product and configuration, it may also cover customer communication, asset history, preventive maintenance, parts and inventory, time, and billing handoff.

A work order is the operational thread through the process: it can capture the service request, tasks, products or parts, and services or labor. That structure helps office staff assign work and gives the technician a defined job to complete. Microsoft Learn’s Dynamics 365 Field Service overview describes this work-order model.

Dispatchers need more than a calendar. The system should make the constraints behind a workable assignment visible, offer an appropriate level of scheduling assistance, and leave staff able to respond when the plan changes.
#1 Best Overall
- Assignment constraints: Check whether the scheduler can account for technician availability, territory, location, skills, job priority, customer time windows, travel assumptions, and required parts or equipment where relevant.
- Schedule visibility: Ask whether dispatch can see workload and availability clearly enough to spot conflicts and gaps, and whether managers can monitor job status and exceptions.
- Scheduling control: Establish whether assignments are manual, suggested by the system, or automated—and whether dispatchers can override or correct them.
- Change handling: Test what happens when a technician is delayed, a job takes longer than expected, or a task depends on another task. Confirm how reassignment and updated instructions reach the field.
- Customer updates: If appointment visibility, reminders, or self-scheduling matter to your service model, verify how these are supported and configured.
For example, Microsoft’s Dynamics 365 Field Service documentation describes a schedule board and resource matching by location, availability, skill, and priority, with manual, assisted, and automated approaches. ServiceNow’s Dynamic Scheduling page describes route and schedule optimization, reassignment, and task dependencies. These are descriptions of documented capabilities, not evidence that either product will produce better schedules in a particular operation.
What should technicians be able to do in a field service app?
Evaluate the mobile workflow from the technician’s perspective: can they understand the job before arrival, complete the required work at the site, and leave a usable record for dispatch and the back office?
- View the assigned schedule, work order, customer details, location, and relevant asset or service history.
- Read job instructions and required steps without needing to reconstruct the scope from separate systems.
- Update job status and communicate with dispatch or customers while keeping the conversation connected to the work.
- Record work completed, time, parts used, and any follow-up required.
- Capture evidence such as photos, videos, or a customer signature when the process requires it.
- Complete mandatory fields and close the work order—or flag the job for follow-up when it cannot be completed.
Microsoft’s documentation describes a technician mobile workflow with work orders, instructions, customer assets, service history, completion and follow-up, photos or videos, signatures, and offline information downloads. Microsoft’s product page also describes customer appointment visibility and automated reminders; it identifies a scheduling agent as preview in the material reviewed. Salesforce’s Field Service Mobile App help lists mobile inventory, communication, geolocation, and knowledge associated with work orders. Confirm which functions are available in the edition and packaging you would actually license.
Does field service software work offline?
Some field service products document offline mobile capabilities, but the word “offline” does not guarantee that every screen, record, or action remains available without a connection. Microsoft’s documentation describes downloading information for offline work; the reviewed vendor materials do not establish identical offline behavior across products.
Rank #3
In a demo or pilot, test the actual conditions technicians encounter: what information is downloaded, what they can edit or capture without connectivity, how conflicts are handled, and when changes sync after service returns. Verify supported devices and operating systems, as well as company security and device-management requirements. Do not assume a particular phone or tablet model is certified or required without checking compatibility with the vendor.
How do assets, maintenance, parts, and closeout fit?
These capabilities matter most when jobs depend on installed equipment, repeat visits, or controlled parts. Follow the records through the full job rather than treating each as a standalone feature.
- Assets and preventive maintenance: Check that equipment history is attached to the relevant customer and location, that technicians can see it at the job, and that recurring maintenance can generate the work your team expects.
- Inventory and returns: Trace truck stock, replenishment or purchasing, parts used on a work order, and returns. Confirm that the job record and inventory records reconcile after completion.
- Time and billing handoff: Verify how labor and used parts are recorded, what must be complete before a job closes, and how the resulting information reaches billing.
- Reporting: Check whether managers can report on work orders and scheduling using the fields and measures the operation actually needs.
Microsoft documents customer asset history, preventive maintenance, inventory, purchasing, returns, time tracking, billing, and analytics. Its overview says that closing a work order can generate an invoice for used parts or labor. Salesforce Help documents access to inventory from its mobile app. These descriptions establish vendor-stated coverage, not how much configuration or integration a specific deployment will require.
How do I compare field service management software?
Use a consistent scenario for each product. A demo built around a simple appointment may conceal the constraints and exceptions that make your operation difficult to schedule.

- List the job types you actually run. Include emergency repairs, scheduled maintenance, inspections, installations, multiple-technician jobs, or dependent tasks if they apply.
- Write down assignment constraints. Specify skills and certifications, territories, shifts, customer windows, priority rules, travel assumptions, required parts, and equipment. Ask vendors to demonstrate those exact conditions.
- Walk one job through both roles. Have a dispatcher receive or create the job, assign it, handle a delay, and reassign it. Then have a technician open the work, find the necessary information, record work and parts, complete required steps, and close the job or flag follow-up.
- Test mobile conditions. Use the devices and connectivity conditions relevant to your workforce. Check offline access and sync, supported operating systems, and security or device-management requirements.
- Follow assets and parts end to end. Demonstrate truck stock, replenishment, returns, asset history, recurring maintenance, and the resulting inventory records using a realistic job.
- Check fit with the rest of your systems. Validate CRM and ERP connections, identity, mapping, customer communications, reporting, data migration, configuration effort, implementation needs, and licensing. Ask vendors to confirm current availability and packaging for your country, edition, license, and deployment.
- Set pilot measures before the pilot. Possible measures include time to assign, schedule adherence, first-time completion, travel time, work-order completeness, inventory accuracy, and timeliness of customer updates. Define the baseline and measurement method before interpreting results as improvement.
